Initial Coding and Communicating Tuition Classification to Applicants - Georgia State University Scott M. Burke, M. Ed. Director of Undergraduate Admissions Georgia State University

Getting Started on Tuition Classification Tuition Classification is currently determined at the initial review of all incoming undergraduate applications at Georgia State University Applications arrive in Undergraduate Admission either electronically or paper application Staff member reviews the application and makes the initial decision on tuition classification based on application information

Determining Tuition Classification : Electronic Applications New/Incoming applications are first received by the Initial Processing/Operations Team in Admissions The electronic applications are printed and the Tuition Classification determination is coded on the first page of the printed application After applications are coded, the printed electronic applications are sent over to Document Management Center where they are imaged The Document Management Center scans all applications and a list is sent back to Admissions, where routing lists are later generated

Determining Tuition Classification: Electronic Applications For electronically received applications, initial set up is performed in the order that applications were received via the routing lists

Determining Tuition Classification: Paper Applications Paper applications arrive in Admissions to the Initial Processing/Operations Team The applications are first reviewed for tuition classification and the determination is coded on the first page of the paper application After applications are coded, they are set up immediately and sent to the Document Management Center

“R” Tuition Classification Code “R” –Resident: Used if all information is consistent with criteria for in-state classification Examples: Born in Georgia, Attended High School, Paid State/Federal Income Taxes Georgia and Georgia Driver’s License

“N” Non Resident “N”-Non Resident: Used if applicant is clearly not a Georgia Resident Examples Out-of-State Address and Work Experience, Out-of-State Driver’s License, Out-of- State for State/Federal Income Taxes

“G” Green Card Tuition Classification Code “G”-Green Card Needed: Used if all information is consistent with criteria for in-state classification but applicant is a Permanent Resident Alien and we do not have their Permanent Resident Card Student is initially coded in Banner as “Non-resident Alien and a hold is put on their record Once the Green Card is received, their status is changed to Resident and the hold is removed

“Q” Tuition Classification in Question “Q”—Tuition Classification in Question is used when the applicant indicates that they do qualify for in-state Tuition Classification, however, the information on their application does not clearly state or contradicts that they are a resident of Georgia. Examples: Out-of-state driver’s license, out-of-state address and out-of-state employment

“O” Tuition Classification Not Yet Determined “O”—Tuition Classification Not Yet Determined: This is a Banner System default value for application records (SAAADMS) that have been entered into the system but Tuition Classification has not yet determined. This is only applicable for electronically received applications that have not yet been reviewed

Updating Applicants on Tuition Classification Once a tuition classification decision has been determined, the applicant is able to view their initial status immediately via our online application status check system Students are also sent an Acknowledgement stating that we have received their application. Students without Social Security numbers and addresses are sent a letter.

Acknowledgement Letter The Acknowledgement Letter thanks the student for applying to Georgia State University Provides the status of the application (biographic information, term applied for and tuition classification) Status of application is also on line via the Check Your Application Status link on our website Gives clear direction on how to proceed with the “Q” tuition classification Status in Admissions

Tuition Classification and Acceptance Letter Every Acceptance Letter (for all admit types) will have the appropriate tuition classification listed If tuition classification is “R” (Resident) You have been classified as a resident for tuition payment purposes If tuition classification is anything else… You have been classified as a non-resident for tuition payment purposes (Q, G or N)

Tuition Classification Appeals Process Students who question their tuition classification are directed to review the Georgia State Tuition Classification Web-Page for additional details.

Tuition Classification Updated at Acceptance  At the beginning of each semester, an automated process is run in Banner to change any “Q” status on the student records (SGASTDN) to “N” non resident.
