2.1 – Analyzing the structure and format of functional workplace documents

What is a functional workplace document? Any document that helps people get things done effectively. –Instructions –Contracts –Warranties –Business letters –Memos –schedules

How do you ANALYZE a functional document? To ANALYZE means to look at something carefully, piece by piece, part by part The things we look for in a functional document are: – Structure – Sequence – Format

Step 1: Structure iPod Instructions I. Step One Download the map file and save the file somewhere where you can find it and access it. II. Step Two Open the “.zip” file. Use WinZip for the PC or Stuff-It Expander for Mac. If you don’t have WinZip for the PC or Stuff-It Expander for Mac. Download: III. Step 2: Sequence Sequence is the order in which ideas are presented STEP-BY-STEP Step-by-Step is used when each step or direction must be followed in a particular order How to Play Bingo 1. Take a bingo card from the host and have a seat. 2. Cover the "Free" space in the center of your card with a marker. 3. Listen as the host calls out a letter and number such as "B-3." 4. Place markers over the letter and number combinations that appear on your card. 5. Yell out "BINGO!" as soon as you cover the numbers in a winning pattern - usually a straight line going horizontally, vertically or diagonally. 6. Call out the numbers you've marked in your winning pattern when the host asks you. 7. Collect your prize from the host after the numbers are verified.

POINT-BY-POINT Point-by-point is used when the steps can be read out of order and even followed out of order

Step 3: Format Format is the design of a document. The purpose of format is to highlight important information and focus reader attention on key words, sections and ideas. To format a document, a designer thinks about: –Formatting elements –Graphic elements –Design elements

Formatting Elements: bold or italic type margin width Indentation line spacing Graphic Elements: Drawings Photographs other artwork Design Elements: placement of text and graphics on the page Use of white space Choice of color

Critiquing the Logic of Functional Documents What is the purpose of functional documents?

I. Well written documents are easy to follow  Good documents should… List directions in the order they should be carried out Label graphics (pictures) and put them next to the text they are about Use numbers or bullet points to make directions easier to read and follow

 What is one thing that well written documents should have?

II. Documents are not always perfect  Some parts might be wordy, confusing, or in the wrong order  When you read documents, be critical: look at them carefully for any errors in spelling, order of steps, etc.

III. Ask yourself questions to help you evaluate the document 1. Is each section clear and easy to understand? 2. Is the sequence (step by step, point by point) used in the document logical? What sequence does the document use? 3. Are all of the steps in order? Can I spot any errors in the order? 4. Are there any errors in spelling or grammar? 5. What else could be added/changed in the document to make it easier to understand?

How to draw Chunky Monkey Step 1 -- start with a pear. Step 2 -- add two ovals for the eyes. 1.Is each section clear and easy to understand? 2.Is the sequence (step by step, point by point) used in the document logical? What sequence does the document use? 3.Are all of the steps in order? Can I spot any errors in the order? 4.Are there any errors in spelling or grammar? 5.What else could be added/changed in the document to make it easier to understand?

Step 3 -- Add the ears (like a C forward and backward), the nose (a small V), eyeballs (with a white area left for a highlight), and his hairline (turn you head to the left, it's a 3 ). 1.Is each section clear and easy to understand? 2.Is the sequence (step by step, point by point) used in the document logical? What sequence does the document use? 3.Are all of the steps in order? Can I spot any errors in the order? 4.Are there any errors in spelling or grammar? 5.What else could be added/changed in the document to make it easier to understand?
