Using HR Charter Inserting a chart into an message

This is a PowerPoint presentation of about five minutes duration. It will explain how to copy and paste your organization chart into an message. You may exit the presentation at any time simply by closing the Window. Where this arrow appears, click on it to advance the slides.

HR Charter images are stretchable! HR Charter map images have a special graphic metafile format. The benefit is that they can be stretched or shrunk to fit the available space… with no loss of legibility! Even the tiniest of fonts can be read on screen if the user “zooms” to adjust the screen magnification.

Zooming in on these differently sized images would reveal that each is crystal clear.

1. First complete your chart design… Note: The whole chart will be copied whether or not it fits conveniently in the window like the one above.

2. Copy the map to the Clipboard… The stretchable graphic image is now stored on the Clipboard, ready to be pasted into your .

Open your application and prepare a draft message. Leave a place for your organization chart. Place your cursor in the spot where your org chart is to be inserted.

Paste your chart from the Clipboard into your message… At first your pasted chart will appear impractically large…

Click on the image, then scroll up the page (or press Ctrl+Home)… The little corner anchor for the image file should be visible Click and drag that corner anchor down and to the right to shrink the size of the chart… Repeat the click and drag process until the chart fits the width of your screen…

If the chart is not wide, you can click and drag this anchor downward to make the printing more readable… …otherwise, just send the message as is!

The recipient reverses the process, and either stretches the image for direct viewing or copies and pastes it into a document for storage.
