Agenda Discuss Analysis experience Summarize survey data Explore resource center Finance website Discuss next steps in Analysis Transition Communicating to users in your area

Ask The Super Users Finish this statement: As of today, I use Analysis… o 100% of the time. o About 75% of the time. o About 50% of the time. o About 25% of the time o Never. I’m still only using BW.

Let’s Discuss Why are you still using BW? Type your answers into the chat box.

Number One Challenge: Time Based on survey results, we have established that time is the number one reason people have not yet transitioned to Analysis. Why does this matter? Part of your responsibility is to be an advocate and prompt the transition from BW to Analysis. Remember – 90 days after training window, non-super users will lose the BW tab. Time is important! So we need to encourage users to use all the time we give them – even if it’s a slow, gradual move – start now.

Time To Debrief We asked you… What has been the hardest part of your transition to Analysis? What do you like about Analysis? What do you want to learn more about? How can we better support you, the Super Users?

Survey Results What has been the hardest part of your transition to Analysis?

Other text responses: Report/Screen Layout How the reports are displayed on the screen Report layout look of the reports and formatting Getting used to the new look and feel viewing the whole screen Time not enough time to buckle down and force myself to use only analysis Too busy to take time to play with it Finding the time to transition bookmarks and get more comfortable with the system No time to learn and use the Analysis platform as of yet. Miscellaneous Recreating reports Remembering to use Analysis every day still transitioning; very pleased with process fitting training into a busy schedule remembering to "save" items (prompts, filters, etc.) no difficulties yet Issue that come up along the way. Like not being able to use auto saved reports I am just starting the training process. dealing with the slower speed of the new system. Survey Results What has been the hardest part of your transition to Analysis?

Survey Results What do you like about Analysis?

Other text responses: cleaner look That everything you need should be at your disposal. looks better, easier to read I have not used Analysis yet. I am missing the practice time as of now.

Survey Results What do you want to learn more about?

Ask The Super Users How would you like this advanced feature training? o FastFacts o Classroom training o Job-aids o Show-me videos

Survey Results How can we better support you, the Super Users?

I would like more items mentioned in item 3- for instance, enhanced graphing, focused analysis tabs and conditional formatting Tips and tricks could be sent to super users on a regular basis. Reminds the super users that the system is available for use. I really enjoyed the hands on workshop because we were able to meet other super users; ask questions; work through our own reports. I would like to see a super users forum established. higher level functions. (Specifically, most of the items from question #3 above.) All of the FF sessions were basically repeated at the half-day hands on training. I didn't feel the hands on training taught us much more than the FF sessions did. more frequent s out to the super user group about what's expected of us. The support to get started has been great! I'm better at learning a new system when I can use it in my daily functions, so having the fastfact presentations on hand to reference have been really helpful. The only thing I would like to eventually see is more instruction on some higher level functions, such as the graphing and custom calculations, and conditional formatting. Have a fast facts on formatting and totaling. Have a blog for questions so I can do a find on the blog and find my answers. For example; how do you do "show repeated texts in Analysis" I could go to the blog or FAQ and select find "repeat" and find my answer I think that additional hands-on training would be great- perhaps "lab" time where we can bring a real world project, create our report, and have an instructor oversee the work and help us? Question #3. I had more than one selection. Custom calculations, enhanced graphing, format measures. The hands-on session was very helpful. Instructors were very knowledgeable and friendly. They answered all of my questions. Took the training but have not dug into transitioning all reports yet. The process to recreate the reports seemed fairly straight forward as communicated in the web training provided to date.

Super User Resources JHU Finance Website: Job aids - including a crosswalk Help videos Super User Toolkit – NEW Comprehensive BW usage report list – NEW Training completion data – NEW Let’s demo the site

Ask The Super Users Why haven’t you accessed the Help Videos posted to the finance website? o I didn’t know they were there o I already learned about the information they contain o I haven’t had time to transition to Analysis, therefore I haven’t been using any training resources

Ask The Super Users What resource on the finance website do you think you will send to your users when they ask for help? o FastFacts o Job aids o Crosswalk o Help videos o All of the above

Wave 2 has begun! Wave 2 – FastFacts – complete Hands-on training begins in February Wave 3 – FastFacts begin in February Hand-on training begins in March

Remember Your Role The super user role includes: Serve as a project advocate to generate enthusiasm and excitement for the change. Lead, reinforce, and validate optimal application use and best practices. Provide at-the-elbow support for all users within their departments. Assist the project team with identifying and resolving application issues that may arise. Attend periodic super user meetings, report outcomes to their departments, and distribute communications to help implement any changes.

Communication Is Key Communicate to the users you support. Let them know to expect links to FastFacts and classroom training from The Analysis Project Team. Constant contact – re-subscribe Check-in with users. Ask how they’re doing. Are they coming to you with questions? If you don’t have time to walk through the solution, direct them to the Finance website Finance.jhu.edu – Reports & Guides – Analysis Information

Comments and Thoughts We’re going to open the phone lines now! There will be a slight pause, and then a recorded voice will provide instructions on how to ask questions over this conference call line. We’ll be answering questions in the order that we receive them. We’ll also be answering the questions that were ed to us during the presentation. If there’s a question that we can’t answer, we’ll do some research after this session, and then the answer to all participants.

Thank You! Thank you for participating! We appreciate your time and commitment to this transition process.

Survey Before we close, please take the time to complete a short survey. Your feedback will help us as we plan future Super User debrief sessions. Click this link to access the survey… Thanks again!
