ESKOM CAPE TOWN EXPO FOR YOUNG SCIENTISTS HOW TO PLAN AND PREPARE FOR CAPE TOWN EXPO 2013

PROGRAMME FOR TODAY 3.30pm – 4.15pm: General introduction and quick chat about how to prepare for Expo 4.15pm: Non engineering projects: Walk around and chat to Shannon, Ben, Monwabisi and Abongile who will be speaking at CT Expo. Committee can also answer questions. 4.15pm: Engineering projects: Meet Brian and others from Eskom at another venue and go through what an engineering project is etc, judging sheet with reference to engineering projects and making sure that the projects comply with engineering standards. 4.45pm: Reminder: plagiarism form, info on research plan & abstract, sample judging sheet, Cape Town Expo programme, ethics checklist. 5.00pm Preparation afternoon ends.

YOUR PROJECT……… You have already done most of the work – yippee! Now to finish off and get ready for Expo There are still some things to do …. At this stage good time management is the secret to success!

CHECKLIST – get this from your teacher ITEMS TO PREPARE AND BRING TO EXPO: Poster, project file and Project data file/book Any other equipment/models needed for the display Prestik ONLY Spare paper and pens 5m electrical lead (not on a wheel) and multi-plug – for projects requiring electricity Computer + security cable – essential for Senior Computer Science projects Optional – bottle of water, cash, snacks THINGS TO BE DONE BEFORE COMING TO EXPO: Have you looked carefully at the judging sheet? Group projects: have you planned who is saying what in the interview? Is your name on ALL your posters, files and equipment etc ? Have you prepared for the interview?

AT EXPO….

DAY 1 - TUESDAY 20 AUGUST 2013 REGISTRATION AND SET UP OF PROJECTS 2.30 – 5.45pm: All entrants register and set up their entire project in the Main Hall at the Good Hope Centre and then leave. NB: ALL of your project must be left on your table at Expo – scientific report in file, poster summarising your work, project data book. Deadline for registration: 5.45pm Deadline for set up: 6.00pm (Main Hall closes at 6.00pm)

AT EXPO….

DAY 2 – WEDNESDAY 21st AUGUST INTERVIEWS FOR PRIMARY AND JUNIOR ENTRANTS (GRADES 6 - 9) 12.30 - 1.00pm: Primary and junior students arrive and go to their projects 1.00 – 3.00pm: Judges interview students & photos taken & all ethical violations sorted out by latest 2.30pm, students to view exhibits in Main Hall when not being interviewed AND……3.00 for 3.15pm: Senior students arrive and go to Main Hall

JUDGING....THE INTERVIEW

DAY 2 – WEDNESDAY 21st AUGUST OPENING CEREMONY 3.30 – 4.15pm: Official opening of the 31st Eskom Cape Town Expo for Young Scientists and snack packs on order.

DAY 2 WEDNESDAY 21st AUGUST 4.15 – 6.15pm: Senior students are interviewed/photos taken & all ethical violations sorted out by latest 5.30pm. Interviews to be up to 15 mins. Students to view exhibits in Main Hall when not being interviewed.

DAY 3 – THURSDAY 22nd AUGUST 12 -12.30: ALL participants return to the Main Hall and go to their projects 1.00 - 3.00pm: Open time for visitors to the Expo, visitors to view exhibits outside Main Hall 3.00 – 3.30pm: Students take down projects and store them at the back of the Main Hall. Tables stacked against entrance to Main Hall. Main Hall readied for Prize giving. 3.45 – 5.15pm: Prize giving and announcement of Finalists to attend Eskom Expo South African International Science Fair in September. 5.30pm: Students remove their projects etc, Main Hall tidied and closed up by 6.00pm. Committee to assist. 5.30pm: Finalists, parents and teachers meet in the meeting room to discuss Eskom Expo South African International Science Fair 2013.

PRIZE GIVING – Thursday 22nd August @ 3.45pm A few speeches. Special prizes announced before and after medals. Bronze medal winners announced. Silver medal winners announced. Gold medal winners announced – most gold medal winners are selected as National Finalists. Compulsory meeting after Prize giving on 22nd for ALL National Finalists @ about 5.45pm

THINGS TO BRING TO EXPO 1. TYPE YOUR SCIENTIFIC REPORT AND PUT IT IN A NEAT FILE/FLIPFILE 2. SUMMARISE YOUR PROJECT AND PUT THAT ON A POSTER 3. FILE ALL ORIGINAL WORK IN A PROJECT DATA BOOK 4. PLAN YOUR DISPLAY 5. PLAN YOUR INTERVIEW

SCIENTIFIC REPORT IN A FILE Neat file – contents page, dividers, logical arrangement AT THE FRONT OF THE FILE: PLAGIARISM PLEDGE AND ABSTRACT, RESEARCH PLAN THEN……………. Introduction (Why) Aim and hypothesis Method (How) Results (What happened – tables & graphs) Discussion of results – Describing what happened in words & patterns and trends and why they may have happened Conclusions (refer directly to aim /hypothesis) Extras – errors and modifications (what went wrong and what could you have done to improve your project if you had time) References and (which books and sites you consulted and referenced correctly) Acknowledgements (people you talked to and who helped you and state what help they gave you)

PROJECT DATA BOOK This is a Record of ALL your work - no matter how untidy it is! Date all work File all emails and notes from interviews File all designs and plans File copies of articles you have read File all survey questionnaires
