Emergency Guidelines SOEST Fiscal Office August 20,

What should we do in case of emergency??? Call Campus Security at Pay attention to UHM Alerts – these are to be considered as OFFICIAL notifications as they may also be our only warning. In case of evacuation: Know where your office’s designated meeting place is. In case of evacuation: Make sure that everyone gets out of the office and make sure to lock the doors behind us. Stay calm. 2

Numbers to know: Campus security (or land line during power failure) Facilities (power or water outages) RCF (or ITS Helpdesk if after hours) for computer network outages Telecom (phone outages; during work hours) Dean’s Office or Note: These numbers will be posted on our doors. Be aware that depending on the circumstances of the emergency, it may be necessary to make the call from our cell phones. 3

FIRE Be aware of where your nearest fire extinguisher is located before there is a need for it! Activate fire alarm. Call security or 911 to report the fire. Evacuate the building (make sure no one is left behind). Do not use the elevators, use the stairs. HIG staff should meet in the quad courtyard, POST staff should follow the direction of their respective departments. Make sure that all personnel, including students, are accounted for. Await further instructions. 5

SUSPICIOUS MAIL, HAZARDOUS SUBSTANCES, BOMB THREATS All bomb threats should be considered legitimate. Try to get as much information as you can from the caller. Call security immediately Notify everyone in the office to evacuate. HIG staff should meet in the quad courtyard, POST staff should follow the direction of their respective departments. Make sure that all personnel, including students, are accounted for. Await further instructions. 6

GUN THREAT Be aware of your nearest exit routes before there is a need to escape! If you can safely evacuate, escape quickly. Call security or 911 as soon as you can. If you are unable to evacuate, lock all office doors and turn off the lights. Try to barricade yourself in if possible and stay low to the ground. Put your phone on silent and speak quietly. Do not open the door for anyone. Try to account for all personnel, including students. Try to contact someone outside to let them know where we are. Wait for the “all clear” notification. 8

GAS LEAK If the leak is in our building, DO NOT pull fire alarm, touch light switches, or electrical equipment (to avoid a spark). Evacuate building immediately upon notification using the stairs. HIG staff should meet in the quad courtyard, POST staff should follow the direction of their respective departments. Make sure that all personnel, including students, are accounted for. Supervisor discretion will be utilized to release employees. 9

WEATHER RELATED DISASTER ALWAYS FOLLOW UHM ALERTS Tsunami: Seek higher ground. Earthquake: Stand against the walls of the room, avoid glass windows and overhanging fixtures, evacuate building when safe and report to respective designated meeting areas to account for personnel and students. Hurricane: Stay away from glass windows and doorways. If safe to do so, employees will be released when University officials close the campus. 10

ELECTRICAL OUTAGES Make sure that the APS units are in working order and that all computer equipment is plugged into either the APS or a surge protector. Save your work and properly shut down your computer immediately. Unplug what you can to avoid damage when power is reinstated. Wait for further instruction…generally if power is not reinstated within 90 minutes, supervisor discretion will be utilized to release employees. 11

PLEASE REMEMBER HEALTH and SAFETY ALWAYS COMES FIRST! It is important to follow instructions and evacuate when you are told to do so. These situations are emergencies so we may not always be able to put up signs or notify our users of our office closure. Therefore if there are any complaints after the fact, please refer them to me immediately for handling. If you are sent home, if resources are available, please try to keep tabs on your for any requests that may arise in our absence during business hours. 12
