Creating and Editing Reports

Starter – Guess the Words… Reports R e p o r t Label

Lesson Objectives By the end of the next 3 lessons you will be able to: 1.Create reports from queries 2.Use calculated fields in a report 3.Create and format labels from queries or tables 4.Export data

Reports A Report is a formatted hard copy of a query, table or both. Queries display the results to our questions and reports format the results for printing in different ways.

Report Layout… Report Header Page Header Detail Page Footer Report Footer You need to know what each area represents for the exam

Report Layout… The Report Header and Footer is displayed only once per report. The Page Header and Footer is displayed only once per page. The Detail contains the information from either the queries, tables or a combination of both.

What will I be asked in the exam? The next slide shows the type of question you will be asked in the exam for this section. Your teacher will go through the question and together decide which items relate to creating a query and which relate to creating a report.

Task 1 – Create a Report Using videos Report Part 1 and Report Part 2 create a report which: Contains a new field called Amount_Euros which is calculated at run-time. This Field will calculate the Total Deposit paid per tutor group displayed in Euros with 2 decimal places Shows only the fields Tutor Group, Id, Amount Paid, Min Outstanding Balance, Max Outstanding Balance, Average Outstanding Balance with their labels in full Fits on a single page wide Has a page orientation of landscape Sorts the data into ascending order of Tutor Group Calculates the Total Deposit Paid and places it at the bottom of the report Has a label to the left of this number Total Deposit Includes the heading Deposit Paid at the top of the page Has your name, centre and candidate numbers on the left hand side in the footer Save the report The exchange rate is £1 = 1.25 Euros Data collected from queries or tables A calculated field which is added to the report

Task 2 – Calculated Fields and Hiding! In the exam you will also need to know how to do the following:  Create a calculated field on a report  Hide a label  Hide a field Using the Runtime Calculated Field and Hiding a Field videos modify your report as instructed…

Task 3 – Create a 2 nd Report Produce a report which: Contains a new field called Paid_Euros which is calculated at run-time. This Field will calculate the Deposit paid per student displayed in Euros with 2 decimal places Shows only the records for students in Year 9 that have paid a deposit Shows only the fields Date Paid, Forename, Surname, Tutor Group, Year Group, Deposit Paid, Amount Paid and ID with their labels in full Fits on a single page wide Has a page orientation of landscape Sorts the data into ascending order of Date Paid Calculates the Total Deposit Paid and places it at the bottom of the report Has a label to the left of this number Total Deposit for Year 9 Calculate the no of students that have paid and place it at the bottom of the report Has a label to the left of this number No of Y9 Students Paid Includes the heading Deposit Paid For Year 9 at the top of the page Has your name, centre and candidate numbers on the left hand side in the footer Save the report The exchange rate is £1 = 1.25 Euros Data collected from queries or tables

Task 4 – Creating a Label Using the Creating Labels video produce labels from all the data which: Are arranged in two columns Show only the records for students who have an allergy Show only the fields Forename, Surname, Tutor Group, Number and Allergy Display the field name as well as the data In a larger font at the top of each label include the heading – Warning I have an Allergy Add a report title Students who have an Allergy Add your name, centre and candidate numbers to the bottom of each sheet Save the labels Data collected from queries or tables

Task 5 – Exporting Data Using the Exporting Data video export the requested data. Try to export some data in different formats e.g..txt and.rtf.
