Word 2007 – Quick Intro

The user interface has been redesigned in the Office 2007 programs: Word, Excel, PowerPoint, Access, and Outlook (in the composing and reading windows). The File menu has been replaced with the Microsoft Office Button.

The Ribbon helps us quickly find the commands that we need. Commands are organized into logical groups, which are collected together under tabs. Each tab relates to a type of activity, such as writing or laying out a page. To reduce clutter, some tabs are shown only when needed. For example, the Picture Tools tab is shown only when a picture is clicked on and selected. To minimize or restore the Ribbon, press CTRL+F1.

The Undo “Left Turn” arrow can undo up to 20 of our previous steps. We can also click the down arrow on its icon and choose several steps to undo at once. Many 2007 Menus do not have “Cancel” buttons and we often have to click “OK” and then use the Undo arrow to reverse out the changes.

If we left click and drag to highlight a block of text with our mouse, and then right click, a nice new formatting menu comes up, as well as the “old” 2003 menu.

Headers and footers are areas in the top, bottom, and side margins of each page in a document. As well as text, we can add page numbers, the time and date, a company logo, the document title or file name, or the author's name. In Word 2003 Headers and Footers were accessed from the “View” menu. In 2007 we access them on the ribbon under the “Insert” tab.

Headers are fairly easy to make. Click on the small arrow underneath “Header” and a gallery of premade designs are available to choose from. We also use this method to edit an existing header. There is no “Done” button: To finish editing a Header or Footer, double click back into the main part of the Word 2007 document.

Note that as soon as we start editing a header or footer, the ribbon changes over to the Headers and Footers menu. We can close the Header and Footer editing by clicking the right hand red “X” icon, (or double click back into the main part of the document).

Footers are made in a similar way to Headers, by choosing from a Gallery of layouts. However, if we want to have “Page X of Y” in our Footer, it is a totally different creation method than in Word 2003; and is not one of the standard options in the Word 2007 ribbon menu options. (See next slide)

If we want to have “Page X of Y” in our Footer, we need to click on “Quick Parts”, then click “Building Blocks Organizer”. This gives a huge list of premade objects (See next slide)

In the“Building Blocks Organizer” list, find “Page X of Y” pre-mades in the “Category” column. Clicking each one will show a preview of how it will appear in your document. Click the Insert button when you have the one you need.

Right click on any picture to bring up the format menu, and then choose options like Brightness, Contrast, Rotate, Text Wrapping, Shadow, Recolor, and so on. Pictures can have extra effects added to them like rotation and drop shadows.

Pictures can be made into monotone colors. (Right click on the picture to bring up the format menu).
