The Pitch Letter

Objective The introduction letter that you send to a music industry executive, to a potential employer, to a school, or to anyone you are trying to make any kind of connection with is one of the most important things you can learn how to write in your college career. With this letter, all you are trying to do is get the permission to send the reader your materials – be it a CD or DVD demo, an art portfolio, your resume, or any other materials that will be part of your demo package.

Introduction Greet the reader

What is your connection with the reader? Here is where you let the reader know why you have a connection. Did someone introduce you to each other? Did you see them at an entertainment industry conference? Did you find out about them from the Internet? Did you meet by chance? Let the reader know that you are not a complete stranger to them and their work.

What do you do that you want to demonstrate to the reader? Briefly describe what talent you have and how it is connected to the readerʼs work in the industry. You can “sell” yourself a little, but save something for the demo package you will be sending in later.

What does the reader do that is important to you? What is the connection between what the reader does in the industry and what you will be sending later? Why is it important for the reader to review your demo?

What is your “call to action” from the reader? Here is where you ask the reader for permission to send material to them to consider.

What kind of follow up will you do? Will you call to make sure you can send your follow-up materials? Will you continue to look at other options and perfecting your craft (i.e. keep playing shows, recording demos) until you hear back from the reader?

Say Thank you! Thank the reader and sign off.

And remember: IT IS IMPORTANT TO BE RESPECTFUL OF THE READER AND HAVE SOME FORMALITY TO YOUR LETTER UNLESS YOU ALREADY KNOW EACH OTHER. STRICT ENGLISH COMPOSITION GUIDELINES MUST BE MET. SO-CALLED “INSTANT MESSAGING,” “TEXTING,” OR “E- MAIL” FORMATED CORRESPONDENCES WILL RECEIVE NO CREDIT FOR THIS IMPORTANT ASSIGNMENT.
