My Pilot Club would like to participate in the Scholarship program – where do we start? What do we do?

Print out a copy of each of the 4 scholarship applications and the associated descriptions and rules

THE RUBY NEWHALL SCHOLARSHIP TO BE AWARDED TO STUDENTS FROM FOREIGN COUNTRIES WHO ARE ATTENDING COLLEGE IN THE USA OR CANADA - WHO COMMIT TO RETURNING TO THEIR NATIVE COUNTRIES AND USE THEIR EDUCATION TO MAKE A BETTER LIFE FOR ALL OF HIS FELLOW CITIZENS

WHEN YOU LOOKED AT THE APPLICATIONS – DID YOU NOTICE THAT YOU AND YOUR CLUB HAS SOME RESPONSIBILITIES?

BEGIN EARLY ALLOW YOU AND THE STUDENT PLENTY OF TIME COMMUNICATE WITH PROSPECTIVE APPLICANTS MAYBE HAVE THEM VISIT WITH YOUR CLUB LETTER OF RECOMMENDATION WITH 2 SIGNATURES COMPLETELY REVIEW THE APPLICATION COMPLETE CHECK OFF LIST SIGN THE CHECK OFF LIST

MARCH 1 ST IS THE POSTMARK DEADLINE FOR GETTING THE APPLICATION IN THE MAIL TO THE DISTRICT PILOT INTERNATIONAL REPRESENTATIVE YOU MUST HAVE REVIEWED, CORRECTED AND SIGNED IT ON OR BEFORE MARCH 1 ST – KEEP A FULL COPY FOR YOUR RECORDS

WHAT IS THE RESPONSIBILITY OF THE PI REP? Beginning March 1 st – Be sure to check your mail daily If an App comes in – review it as quickly as possible – if corrections are needed - contact club immediately!

TELL THE CLUB WHAT NEEDS TO BE CORRECTED – CLUB MUST GET IT CORRECTED AND BACK TO PI REP IMMEDIATELY. PI REP MUST REVIEW AGAIN AND COMPLETE THE CHECK LIST AND SIGN IT AND GET IT IN THE MAIL TO PI HEADQUARERTERS ON OR BEFOR MARCH 15TH

WHAT HAPPENS WHEN THE APPLICATION GETS TO PI HEADQUARTERS?

MEGAN MAKES COPIES OF THE APPLICATIONS FOR EACH OF THE MEMBERS OF THE SCHOLARSHIP COMMITTEE AND SENDS THEM TO THE MEMBERS – SHE ALSO INCLUDES A GRADING SHEET. THE COMMITTEE MEMBERS EACH GO THROUGH THEIR BOX OF APPS AND READS AND STUDIES EACH APPLICATION. IT IS GRADED IN THE FOLLOWING AREAS:

CAREER PLANS – 15 TO 25 POINTS ACADEMIC RECORD – POINTS FINANCIAL NEED POINTS EMPLOYMENT-VOLUNTEER RECORD – 1-20 POINTS LETTERS OF RECOMMENDATION – 1-5 POINTS APPLICATION FORMS – 1 -5 POINTS

COMMITTEE MEMBERS COMPLETE THE GRADING PROCESS AND RETURN THE GRADING SHEETS TO MEGAN MEGAN THEN AVERAGES THE 4 GRADES AND RELAYS THAT INFORAMATION TO THE COMMITTEE THE GROUP MEETS VIA A CONFERENCE CALL AND DISCUSS THE GRADES AND DISCUSSES WHICH ONES MUST BE DISQUALIFIEED – WHICH ONE S NEED A LOWER GRADE, ETC. THEY THEN LOOK AT THE AMOUNT OF MONEY THEY HAVE TO DISBURSE AND CHOOSE THE MOST WORTHY CANDIDATES. MEGAN THEN CONTACTS THE CLUBS AND THE ASSOCIATED SCHOOLS STUDENT MUST MEET WITH THE SCHOOL FINANCIAL OFFICER AND COMPLETE PAPERWORK BEFORE CHECKS CAN BE MAILED!
