Offense Maintenance Table How to Use This Presentation The graphics below are designed to help you navigate through each presentation. The navigational guides require a single mouse click and are located on the left side of each slide. There is a Contents slide with hyperlinks to topics covered in each presentation that may be helpful if a review of a specific topic is desired. To print the PowerPoint presentation, right click anywhere on the slide and choose “Print”. To view a full-screen slideshow, right click anywhere on the slide, scroll down to the line that says “Full Screen,” and left click to choose that option. To return to the original view, right click on the slide and choose “End Show” or hit the Escape key (Esc) on your keyboard. 4 The Offense table in TNKids is a table that currently lists over 2,000 offenses as derived from Tennessee Code Annotated. Currently, there are only two ways to search through the list of over 2,000 values. One is by using the TCA number, which most of the time is unavailable to case managers. The other is by typing in the first few letters of the offense name and having the list sort to those values beginning with those letters. This is even less reliable than using the TCA number because the legal language of the Offense Names does not allow the names to be grouped by families or classes of offense. The changes include grouping Offenses into categories and then providing a keyword search function using that category name. This prevents the user from having to search through 2,000 values each time he or she wants to record an Offense. With this change the user will search on the category name and then be presented with a list of only those Offenses that are associated with the category. The owner of the Offense Maintenance table will update the table to include only those Offenses that would be applicable to children served by DCS. There are many adult offenses with which a child would never be charged in the table; therefore. they will need be removed from the list. This will lessen the number of values even more. The owner of the table must have General Maintenance security access level to make changes to the table Offense Maintenance Table Overview

5 To locate the icon, the user will double-click on the Maintenance Folder in the TNKids tree, double-click on the General Maintenance folder, and then double- click on the Offense Icon Offense Maintenance Table Offense Maintenance Icon

6 To add an Offense to the table, the user will right- click and select “Add Offense” Offense Maintenance Table Add New Offense

7 The Add Offense window will then appear. The user will enter the TCA number and the TCA offense name. These are free form text fields. The user will then select the correct value from the Type drop-down box (Delinquent, Non-Delinquent, Unruly), Offense Level drop-down box (I, II, III, IV, or V) and Category drop-down box (Felony, Misdemeanor, Not Applicable). The user will then select an Offense Keyword from the drop- down box. Choices may include Abuse, Alcohol/Tobacco, Arson/Fire, Assault, Automobile Driving, Bomb, Burglary, Casual Exchange, Disorderly Conduct, Drugs—Other, Drugs—Schedule I, Drugs—Schedule II, Drugs— Schedule III, Drugs—Schedule IV, Drugs—Schedule V, Drugs—Schedule VI, Drugs—Schedule VIII, Escape/Runaway, Evading/Resisting, Extortion, False Reports, Forgery, Fraud, Harassment/Intimidation, Hunting/Gaming/Fishing, Juvenile-Technical, Juvenile Status, Kidnapping, Larceny, Murder (Homicide), Other, Rape, Riot, Robbery, Sexual Conduct, Theft, Theft of Property, Theft of Services, Trespassing, Vandalism, Vehicle, Weapons/Ammunition. Only one Offense Keyword can be chosen for any given offense. All of the above fields are required to add a new offense to the table Offense Maintenance Table Add Offense Window

8 After all values have been entered into each of the required fields, the user will then click on the OK button to proceed Offense Maintenance Table Add Offense Window

9 After the user clicks the OK button, the Offense List will be displayed with the new offense highlighted. At this point, the process is complete Offense Maintenance Table Add Offense Window

10 In the screen shot above, all of the “In Use” check boxes have a check mark in them. This indicates that the offenses are active and any TNKids user will be able to select them when trying to add an offense to a client’s court intake. To make a offense inactive, the user will simply click on the check box for the offense he or she wishes to deactivate Offense Maintenance Table Inactivating an Offense

11 In the screen shot above, the user has decided to inactivate the offense that was just added. When the user clicks on the check box, the check mark is removed and a pop-up screen is displayed asking the user, “Are you sure you want to inactivate the offense?” To continue with the inactivation, the user should click on the Yes button. If this is the wrong offense or if the user wishes to cancel the inactivation, he or she will click on the No button. NOTE : Clicking on a check box with a check mark removes the check mark Offense Maintenance Table Inactivating an Offense

12 Once the user deactivates an offense, the “Inactive Date” field will automatically be populated with the current date. If the user decides at a later date to reactive the offense, the inactive date will return to an empty field. The system does not keep a record of activations and deactivations Offense Maintenance Table Inactivating an Offense

13 The user/owner of the maintenance table, selected by Central Office staff, is able to add an offense to the Offense Maintenance Table and also is able to deactivate an offense that is currently active in the table. The user will be able to see the date of the deactivation, but the system will not keep a history log of when selections are added or deactivated in the table. The user/owner will also assign each offense a key word to help the TNKids user narrow the choices of the more than 2,000 offenses listed in the table. The user/owner of the maintenance table must have General Maintenance security access level to be able to make changes to the table Offense Maintenance Table Summary
