Irish Butterfly Monitoring Scheme Tutorial for online system

This tutorial provides a step wise guide on how to register the details of your Irish Butterfly Monitoring Scheme walk and submit data each week.

Step 1: Register to use the site

Step 1: Register to use the site

Step 2: when you have registered you’ll get a username and password so that you can login to use the system

Step 3: you need to fill in details about your walk. You just need to do this once. Select ‘My Butterfly Sites’ Step 3: you need to fill in details about your walk. You just need to do this once. Select ‘My Butterfly Sites’

Step 3: you need to fill in details about your walk. You just need to do this once.

Step 3: TIP You can type the Grid Ref into the box if you know it (use a central point). It can be 6 or 4 figure (e.g., O or O1245). Alternatively you can zoom into where your walk is using the map (make sure to zoom in far enough) and click on a central point and the Grid Ref will fill in automatically.

Step 3: EXAMPLE This is an example of completed Site Details. I zoomed into the map to get a central grid reference for my walk. Try to fill in as much of the form as possible. Don’t worry if you’re not familiar with habitats, just try to chose what you think fits best. You don’t have to fill in notes on land use and management, but you can if you think it would be useful/relevant. Once you’re happy you’ve filled in all the site details click ‘save’

Step 4: Fill in the details of your route When you click save it automatically brings you to the next section where you map out your route. Step 4: Fill in the details of your route When you click save it automatically brings you to the next section where you map out your route. To map your route you can either have the background map based on ‘google streets’ (as here) or on ‘google satellite’ (on next page). Personally I find it much easier to visualise my route using the satellite option. * If the blue box doesn’t appear click on the blue + symbol

Step 4: Fill in the details of your route To map your route you can either have the background map based on ‘google streets’ or on ‘google satellite’ (as here). Personally I find it much easier to visualise my route using the satellite option.

Step 4: Fill in the details of your route Select S1 (section 1) and draw your route using the mouse. When you’ve reached the end of the section double click and it will be saved. You can delete and make as many attempts as you need until you’re happy.

Step 4: Fill in the details of your route When you’ve finished S1, click on S2 and do the same; then on the other sections until you have the whole route mapped. On this screen I have just finished drawing S4

Step 4: Fill in the details of your route I’ve now mapped out the entire route of my walk

Step 5: Fill in the details on each of your sections Once you have the route mapped out go to the ‘Section Details’ tab. This will allow you to fill in the details on each section.

Step 5: Fill in the details on each of your sections Select S1 and fill in as many or as few details as you like. If you could attempt to fill in the Principal habitat present and the section length it would be much appreciated.

Step 5: Fill in the details on each of your sections When you move on and try to select S2 it will ask you if you want to save the details – click ‘Yes’

Step 5: Fill in the details on each of your sections Do the same for each of the other sections

Step 5: Fill in the details on each of your sections You may find that there are certain sections where it is necessary or possible to fill in more details than others. Once you’re happy you have filled in ‘Site Details’, ‘Your Route’ and ‘Section Details’ make sure it is saved. You won’t need to go through this step again.

Now when you click on ‘My Butterfly Sites’ you’ll see the details of your transect. IMPORTANT You can go back into the system and edit your site, route, or sections details at this stage. You can also delete it entirely and start again. However, once you start entering weekly butterfly data it will no longer be possible to make any changes to your site details. If you notice a problem at that stage you’ll need to contact us directly.

Step 6: Once you’re happy you’ve filled in the details of your walk you can start using the system to record your data each week. To submit data each week go to ‘My Butterfly Walks’

Step 6: Submitting weekly monitoring data Use the calendar and select the date that you carried out your walk on (click on the green button) For this example I’m going to add data for the 30 th of May. In this screen shot we have already added data to the system for the 26 th of March.

Step 6: Submitting weekly monitoring data Fill in the details of your weekly walk. The example shows our data from Carriganore on the 30 th May. For % sun use an average value across all your sections. Once you’re happy click ‘Next’.

Step 6: Submitting weekly monitoring data You can now fill in details of the butterflies you spotted in each section.

Step 6: Submitting weekly monitoring data Fill in the details of the butterflies you spotted.

Step 6: Submitting weekly monitoring data You can also add details of Day Flying Moths or Dragonflies if you’ve recorded them.

Step 6: Submitting weekly monitoring data If you want to add a comment just select the ‘Notes’ tab and type in your comment. When you submit it’ll be attached to that days data.

Step 6: Submitting weekly monitoring data When you’re happy you’ve filled in all your weekly details click ‘Finish’

You will now be able to see the details of any walk at any stage. If you need to make changes or corrections this can be done at any stage and as many times as you like up until the end of the scheme each year.

Information on the summary data This summary is live and will take into account everyone's data as it is submitted. It shows the number of sites that each species is being recorded on.

By going to ‘Annual Butterfly Summary’ you can see live graphs of the numbers of each species across all walks each week. Information on the summary data

The map on the homepage shows the location of each walk in the butterfly and bumblebee monitoring schemes. ‘Mapping’ and ‘Download’ are options that are only visible to scheme co- ordinators. It allows the Data Centre to keep track of the schemes in real time. Information on the summary data

GENERAL INFORMATION 1.We’ve worked hard to deal with any bugs and problems in the system. You may still encounter some. Please let us know if you run into problems so that we can address those. 2.You will need to put in the details of your walk before the scheme starts in April Once it begins again, we recommend entering your data each week but it can all be done at the end if necessary. 3.We understand that registering the details of your walk may be problematic and we will provide as much assistance as we can 4.Sometimes you may carry out more than one walk each week in an attempt at better weather conditions. You can enter both and the system will use your best results. 5.If you are unable to submit data using the online system due to internet connection problems you can still submit data in paper format.

THANKS Huge thanks to the ‘UK Butterfly Monitoring Scheme’ who provided the core online data submission system and allowed us to adapt it to our needs. Thanks to John van Breda who adapted the system to Ireland. Thank you to Anthony Pickering who helped test the first version of the system to identify problems and bugs. Massive thanks to all of you who participate in the scheme and collect the valuable data in the first place.
