CPSP Staff Education Booklet CPSP Staff Education Booklet Presented By: Deja Castro, Perinatal Service Coordinator, Riverside County

Fishing for a Provider? Throw out the line- find providers who are billing Medi-Cal for OB services Find new offices by word of mouth or driving through the area Find new offices by the phone book or other provider directories, like managed care books

Add some bait… Visit the office every few months Bring local resources for them to use they might not know about Leave educational pamphlets for them to utilize Keep reminding them of the benefits CPSP offers the patient and the financial reimbursement they will receive

Reel em’ in! Soon as they are open to you explaining the program in depth, go out there! Once they commit to starting it, go quickly in person if possible to explain the application process and bring sample application materials Offer to return in person if possible to review the completed application and then approve them once finalized!

Marinate them with spicy ingredients! When they say they are ready to start offering services go out in person to educate the staff Show up with your best seasoning and get ready to jazz it up!

The secret sauce… (educational booklet) The purpose of having a booklet to educate with is to keep things consistent To make sure all topics addressed To leave something they can reference, and you can reference them to if they call or you To provide a great start for all your new fish!

Section 1 Welcome them to the lake of CPSP Introduce yourself assuring all staff understand you are the catch and release team not there to kill and eat! You are the good guy, the educator, the preparer, the one who ensures they understand and are ready for any audit that can occur! You are approachable, knowledgeable, and friendly

Section 2 CPSP overview - most people don’t know what the letters stand for or the real reason for the program… The four components and that each and every one is equally important!

Section 3 The three key books!!!! ◦ STT ◦ Provider Handbook ◦ Protocols (answer key to the questionnaire) ◦ How to customize the protocols and why they need to!

Section 4 What are the requirements for CPHW? What is the process for updating staff or office changes? How do they fill out the change/update form?

Section 5 CPSP flow of services Walk them through steps/requirements of orientation with a patient Show them how to sell it versus ruin the deal (getting patients to participate in CPSP) Explain why we assess and how that leads to educational direction and care plan lay out

Cont. Explain that the ICP is not stressful and does not need to have fancy wording - that it is like “homework” for the patient Teach about optional forms for nutritional assessment and instruction on how to use them! They will nod like they get it, they don’t!

Cont. Make sure they understand the weight grids, give them a sample weight and height then let them show you which grid to use! Talk about ICP expectations, coordinator, strengths, (depending on what type you use) If you have samples of ICP etc., give it to them! Sharing is caring!

Section 6 Mandated referrals- ensure they understand what these are and when to offer them ◦ Dental Care ◦ WIC ◦ Family Planning ◦ Genetic Screening ◦ Well Child Care - CHDP

Section 7 A clue about billing! Try your best to make sure they know how to reach Medi-Cal for questions and… ◦ They understand their billing form ◦ What a unit of time is… ◦ That they must be face to face… ◦ What bonuses they can utilize.. ◦ Remember billing can be stinky!

Section 8 Quality review requirements and intervals ◦ How often you will visit to review charts and the site? ◦ What you are going to look for during quality assurance visits and the specific documentation that has to be in the record ◦ If they ever change the forms, they need to contact you for approval and if they go EMR to not change the order of the questions, keep them numbered and aligned with the protocols!

Pinch of spice… Toss in what other items you think you could use… ◦ I use items that relate to topics on SIDS and safe sleep since I work with other programs ◦ Be creative and do two things at once when it applies!

Thanks for your time! Now go fishing!!!!
