3  Simpler backgrounds  Use the slide layouts!  Don’t add text boxes  Add your text content in the outline view

 Select Home, then New Slide (or select the New Slide button)  A menu of slide types will appear. 4

5  Select Home > New Slide, ( or select the New Slide button)  A menu of slide types will appear.

 Insure good contrast  Use Sans-serif: Arial, Veranda, Tahoma…  Use large text  Do not use color as the only way to convey content. 6

7  Know your audience  Check reading level  Avoid or define abbreviation and acronyms

 Make sure you use a unique title for each slide.  Can number if similar (Title Text 1, Title Text 2 and so on.)  “Invisible” titles also work for screen readers. 9

 For all images which add meaning  Just leave decorative text blank  Meaningful description of what you see.  Do not use the presenter notes area for alternative text. 10

11  Right click on image  Select “Format Image”  Select the “Web” tab  Enter alt text  Click “Ok”

12  Select image  Right click  Go to “Format Picture”  Select “Alt Text”  Leave the “Title” blank  Enter text in the “Description” box

13  Avoid automatic slide transitions.  Use simple slide transitions as complex transitions can be distracting.  Insure animations are brief not distracting.

14  Use the tools in PowerPoint for creating hyperlinks  Use meaningful text  May want to include the url if providing a print version.

17  Video: Must be captioned and have accessible player controls  Audio: Ensure a transcript is included.

18  Layers in PowerPoint  The order slide items are read  For Office 2010, accessibility checker will help.  Can use a program called PPT2HTML or LecShare.

19  Can check using the Tab key in the slide view.  Use the Order commands on the Draw menu to move items forward and backward in the stacking order.

20  Do not use the “Save As Web Page” option.  Does not create accessible HTML content!  Don’t use it.

21  Accessibility Checker!  To run the accessibility checker:  File  Info  Check for Issues  Check Accessibility

22  Text only – select “save as” and then choose the “Outline/RTF”  I add the alternative text to the text only version.  Add the url information for any hyperlinks.

23  Save presentation as PowerPoint 97 – 2003 or.ppt  Export to PDF and provide a.pdf version  Also provide an outline version as a “Rich Text Format” or.rtf

24  Import your PowerPoint  Correct accessibility  Create accessible HTML version  Include a Table of Contents  Slides have watermark  Free
