EMERGENCY PROCEDURES AND PROTOCOLS

Evacuation Plan When an alarm sounds, close the doors and drawers and cover your mouth with a sashes and exit immediately closing the door behind you. Exit the building through the nearest emergency exit. Do not use the elevator. Meet at the pre-determined assembly point as indicated in the building evacuation plan.

Evacuation Plan - Continued People with mobility disabilities should go to the pre-determined safe location. Emergency responders or coordinators will assist with their evacuation. Do not reenter the building until the Finance emergency coordinator indicates it is safe to return.

FIRE When an alarm sounds, begin immediate evacuation using the building evacuation plan. If you discover a fire, activate the nearest fire alarm and call 911 or 786-6444 (cell). (cell). Rescue individuals in need. If you have time, shut down any hazardous processes or equipment.

Fire - Continued If you can extinguish the fire with out compromising your safety, do so. If the fire is too large, you are unfamiliar or uncomfortable with extinguishers, follow evacuation procedures. If the alarm does not sound, verbally notify occupants. The Finance emergency coordinator will initiate established communication protocols.

Remember the acronym RACE, Rescue Alarm Confine Extinguish should you choose to extinguish the fire.

Severe Weather The Finance emergency coordinator will monitor weather conditions if there is a potential for severe weather. Should a severe weather warning be issued, the Finance emergency coordinator will notify the department (email, word of mouth, telephone). Managers should direct employees where to go. People with disabilities should be provided assistance if requested. Do not use the elevator.

Severe Weather - Continued Occupants should seek cover in established safe areas. These locations are identified in the building evacuation plan. Safe areas are located in the lowest level of the building and away from outside walls. Personnel can return after the warning has ended.

Utility Outages In the case of an electric or water outage, contact RE or EU. In the case of a phone outage, contact your supervisor.

Medical Emergency Call 911 or 786-6444 (cell). Provide your name, type of emergency, location and condition of victim, and dangerous conditions. If needed, provide CPR if you are trained and feel comfortable doing so. Have someone stand outside to meet the emergency responders.

Bomb Threat Gather as much information as possible. Notify City Police by calling 911 or 786-6444 (cell). Notify your supervisor or the Finance department coordinator. Emergency responders will determine if evacuation is warranted.

Bomb Threat - Continued If warranted, evacuate using the building evacuation plan. Do not touch suspicious or unfamiliar items. Report them to the emergency responders. Do not conduct a search of the building unless asked to do so by emergency personnel.

Chemical Spills/Releases (Indoors) Small spills of a gallon or less may be cleaned up by qualified laboratory personnel unless the material is extremely hazardous. Contact the Fire Departments Hazard Mat & Safety (?) for spills larger than a gallon or if the material is extremely hazardous. In the evening call City Police (774-5100.). In both instances, evacuate the contaminated area or the building if necessary.

Chemical Spills - Continued If there has been a fire, explosion or personal injury, contact the Police 911 or 786-6444 (cell). Measures should be taken to prevent people from entering the contaminated area. Meet emergency responders to provide information and assistance as needed.

Hazardous Materials Incident (Outdoors) If an incident occurs that could impact building occupants, emergency responders will select one of two strategies to protect building occupants. These two strategies include evacuation or shelter in place. Emergency responders will select the safest plan and notify emergency coordinators. Emergency coordinators will notify building occupants.

Hazardous Materials Incident - Continued If evacuation is selected, use the building evacuation plan. If shelter in place is selected, occupants will stay in the building until an all clear is given. Employees will take the following actions: close all windows and doors, turn individual heating/cooling units off, notify others of the situation.

Earthquake Check for fires, spills or leaks. Do not run for exits. Do not use the elevator. Seek shelter under non-laboratory benches and tables. After the quake, check for injured personnel in your area. Do not attempt to move the injured unless they are in immediate danger. Check for fires, spills or leaks. Turn off ignition and gas sources. Exit the building and go to the evacuation assembly point. Use the telephone only for urgent matters.

Workplace Violence/Terrorism Should a violent act be witnessed, call the Police (911 or 786-6444 (cell). Inform the Finance Department emergency coordinator of the violent act. The Finance Department coordinator will attempt to inform all building occupants that a perpetrator of workplace violence is in the building.

Workplace Violence - Continued If an explosion, gunfire or hostage situation occurs, evacuate using the building evacuation plan. If evacuation places you at risk, take refuge in a locked room. If you receive a physical threat, get away from the individual and call City the Police (911 or 786-6444 (cell).

Suspicious Package or Mail If you receive a suspicious package or letter, do not open it. Place the letter or package in a secure location. Do not hand it to others. Contact City PD at the non-emergency number of 774-5100. Remain with the package or letter until the police arrive.

Contaminated Package or Mail If you inadvertently open a package or letter that leaks an unknown substance, immediately set the item down where it was opened. Evacuate personnel from that area. Contact PD at the non-emergency number of 774-5100.. All potentially exposed personnel should wash exposed skin with soap and water.

Contaminated Package or Mail - Continued If possible, shut down fans, air conditioners or heaters. Return to an area adjacent to the room, such as the hallway, and wait for police. Keep personnel out of the area. Public Safety will evaluate the situation and provide further instruction.
