The Objectives:  Investigate the feasibility of consolidating three student administrative areas into one Centre.  Improve the student experience through the consolidation, & simplification of the student services delivery processes  Identify functions from the Science Student Office and Student Central that can be performed at the Administrative Centre..  Investigate flexible staffing and resource sharing opportunities.  Map processes and identify opportunities for improvement  Identify savings opportunities Progress Report on the Three Schools Pilot Project Schools: BABS, BEES & SOMS

Advantages to Students Provide a single point of contact for all student administrative matters for students undertaking courses in the three Schools. Identify barriers to efficient service delivery Provide easy access to academic advice and assistance from any of the Schools Reduce referrals outside the Office to other administrative units Advantages to Staff Members Improved career development opportunities Reduction in stress levels of staff because of the larger core of staff members Better opportunities for accessing staff development and training Ability to manage leave and ensure cover Opportunity to review and refine roles and functions and to build a better relationship with other Schools and the Faculty offices Opportunity to identify process improvements

Advantages to the Schools Save space, three Offices currently occupy space that could be used for teaching and research. Location still has to be decided. Combine resources, equipment and staff Develop common procedures and encourage cooperation to build best- practice into work flow Reduce total costs of running the Offices by reducing need for overtime and casuals Advantages to the Faculties Identify core tasks and responsibilities for Student Administrative Offices Build effective communication with Faculty and Central Student Administration and reduce duplication and repetition of tasks Develop protocol for cooperation between School Offices and the Faculty Offices Advantages to the University Address a key goal of the North Shore Partners Review of reducing the number of student touch points Utilise experience for this Project to create other combined Student Centres Save money

The constraints are the speed with which we can work on the process maps and documentation and agreement on the tasks to be carried out in the Office the willing cooperation of the staff members the support for the changes provided by the academic and executive staff of the Schools

Next  Continue the interviews with academic and administrative staff  Workshop work flows with the administrative staff and build process maps to identify shared practices  Analyse the Task list in consultation with the staff  Identify Tasks that are unique to each Office and assess the value of retaining it in the Student Administrative Centre  Identify a core set of tasks and duties that are appropriate to a Student Administrative Centre  Work with the staff to identify ways in which the combined Office could be made to work optimally for all concerned
