EPICS Conceptual Review Template Notes:  Use the template as a guide to preparing your presentation….you may add, subtract, or rearrange as needed to tell your project’s story.  Information about how to use the templates will be written in italics, whereas content suggestions, prompt questions or examples of slide titles are in normal text.  Use actual project/prototype or pictures as much as possible in the presentation instead of describing the project with words. 1

EPICS Conceptual Review Template Notes, cont.  You can use other templates/designs for your slides. Just make sure they are readable when displayed on the projector (especially if using a colored background or different colored text).  Each slide should include: team and/or project name and page number.  The name/logo of your sponsor should be included at least once during presentation.  If you use this template, make sure you insert team and project name where indicated in template. 2

Project Partner: Name Background information such as:  Your project partner’s mission and who they serve  Summary of the activities the project partner engages in to fulfill their mission  How does your team support the work of your project partner?  Note: If your team has different Project Partners for each project, this information should be moved to within the project sections. 5 Insert Team Name Here Insert Sponsor Name/Logo Here

Team Overview: Organization  Insert a team organization chart, showing the team leader(s), projects, project leader(s), and how all of the team members are distributed between projects (see example below) 6 Team Leader Project 1Project 2Project 3 Project Leader Team Member Insert Team Name Here Insert Sponsor Name/Logo Here

9 Project Identification  What is the need that is being addressed? (Note: this information is the same as what you are gathering for Project Charter.) What was the motivation for the project? (e.g., what device, tool, or process is the project partner currently using?) What goal or end are you trying to achieve with the project? How will project improve current situation? Who are the stakeholders? What is the overall timeline for the project? Insert Project Name Here Insert Team Name Here Insert Sponsor Name/Logo Here

10 Specification Development  What is the context in which the project is situated?  Background research What else is out there that can/is used to address this problem? How well do the available solutions meet the Project Requirements? A table is a good way to summarize and compare this information.  What are the needs/characteristics of the various stakeholders? (Stakeholder profiles) How will the various stakeholders interact with the project? (User scenarios) Insert Project Name Here Insert Team Name Here Insert Sponsor Name/Logo Here

11 Specification Development, cont.  What prototypes and mock-ups were created and what feedback did you receive from each?  How users will interact with project (task analysis and user scenarios) Based on information gained from these activities…  What are the customer requirements/specifications and the evaluation criteria? (A table is a good way to organize this information.)  Gate 2 review: Does Project Partner and advisor agree that team has identified “right” need and no existing commercial projects meet design specifications? Insert Project Name Here Insert Team Name Here Insert Sponsor Name/Logo Here

12 Conceptual Design Overview  What process did you use to explore the design space and generate multiple solutions? How was the Project Partner included in this process?  What are the different design concepts that you considered? What prototypes or mock-ups do you have to demonstrate these?  Did the requirements/specifications change during this process? Insert Project Name Here Insert Team Name Here Insert Sponsor Name/Logo Here

13 Conceptual Design Overview, cont.  What analysis or proof-of-concepts tests were completed as part of this phase?  How did you evaluate the different approaches and select the “best” one to move forward? Gate 3 review…  Does the Project Partner and advisor agree that team has explored multiple solution options and selected the best solution to move forward? Insert Project Name Here Insert Team Name Here Insert Sponsor Name/Logo Here

14 Project Overview If appropriate, include an overview of the system.  Systems overview (what are the major subsystems and how are they connected?)  If project has progressed beyond this point, then should consult “Design Review Presentation Template” for guidance on what to include. Insert Project Name Here Insert Team Name Here Insert Sponsor Name/Logo Here

EPICS Conceptual Review Template Notes, cont.:  Other aspects you may want to include in your presentation: Issues/problems encountered Specific items you want feedback on Risk areas  Project design  Project management 15

16 Budget Information  Overall project budget (all semesters)  Costs to date (prior semesters and this semester)  Anticipated future costs  Development versus “production” cost. How much you have spent developing this prototype or first version versus how much it would cost to replicate? If appropriate, can address cost of producing larger quantities. Insert Project Name Here Insert Team Name Here Insert Sponsor Name/Logo Here

17 Discussion of future plans  Work to be completed this semester and detailed plans for accomplishing this work. Show Gantt chart for rest of the semester  Work on the project to be completed in future semester and plans for accomplishing this work.
