ADMINISTRATIVE STAFF EXCHANGE & MOBILITY PROGRAMME University of Fribourg 9th General Assembly of the CGU

Administrative Staff Exchange & Mobility Programme INTRODUCTION The aim of this programme is to provide opportunities for administrative staff mobility, to enhance cross cultural experience and work placement experience by means of two weeks work exchanges among University members within the Compostela Group. Nowadays, there are many different national and international programmes and projects available for students and teachers but there is a clear lack of initiatives for the staff who works at Universities.

These working visits will allow participants to discover the functioning of a similar service at a different university and improve his or her skills. The host institution and service could also profit from these visits (a specific or necessary profile may be requested). ACTIVITIES: Working visits of administrative staff among member universities Administrative Staff Exchange & Mobility Programme

During the period , 9 Universities of the CGU have signed a letter of endorsement, confirming its wish to take part in the development of these working visits, and have outlined an offer form, explaining which services, offices or departments the administrative staff could visit and the benefits provided by the host institution. 16 candidates participated in the exchanges during the first year of the programme, mainly in the following areas: Libraries, Computing Services, International Offices. Period of the exchanges: March- September Administrative Staff Exchange & Mobility Programme

Member Universities of the CGU participating in the programme: - Masaryk University - University of Oulu - Universidade Portucalense - University of Vigo (coordinator of the programme) - University of Westminster - University of Fribourg - Pompeu Fabra University - University of Leon - Adam Mickiewicz University Administrative Staff Exchange & Mobility Programme

The steering group, which will meet twice a year and will be in charge of candidates’ selection and awarding of the Compostela Group grants, consists of: - Masaryk University - University of Oulu - Universidade Portucalense - University of Vigo - University of Westminster Administrative Staff Exchange & Mobility Programme

Documents created: - Letter of Endorsement - Offer form - Candidates’ application form - Assessement reports for candidates At each institution, a contact-liaison person will be responsible, among other aspects, for advertising and collecting applications. Administrative Staff Exchange & Mobility Programme

All universities of the CGU interested in participating in the programme should sign the letter of endorsement and fill in an offer form, explaining which services or departments are open to short working visits and its financial contribution (such as accommodation, meals, etc. for receiving participants). Deadline to submit the offer forms and the letter of endorsement to the Compostela Secretariat: end of October Administrative Staff Exchange & Mobility Programme

The listing of post available will be then published at the CGU website. Each applicant interested in participating in a working visit, and having considered the different offers, should fill in the application form and submit it to the coordinator at its own Institution. Applications will be submitted to the Compostela Secretariat by each institution’s coordinator. Maximum of two applications per institution. Deadline: end of January Administrative Staff Exchange & Mobility Programme

Mid-February 04, the steering group will meet to look at applications and offers and match exchanges. Priority will be given to the relation of West Europe universities with those of Central and East Europe. The steering group will allocate grants according to candidates’ needs (accommodation cost, flights and subsistence) and the host institution contribution. Administrative Staff Exchange & Mobility Programme

The steering group will inform the Compostela Secretariat of its decision and the Compostela Group Executive Secretariat will communicate both home and host institutions the selection. Exchanges will take place from March till September 04. Each participant will fill in an evaluation form at the end of his/her stay. Administrative Staff Exchange & Mobility Programme

FUNDING - A total of euros to be used in the shape of grants for the mobility has been granted by the Compostela Group for the year Host institutions’ contribution: free or low accommodation and/or meals to visiting administrative staff. Administrative Staff Exchange & Mobility Programme

Assessment reports from participants and host universities: - Experiences were very positive and enriching, not only because of the professional aspect of the exchange but also because of its multicultural side. - A brochure explaining this programme will be created and it will include information regarding the CGU. This year results could be also included in next CGU’s publications. Administrative Staff Exchange & Mobility Programme
