MO TM Undercover Accounting and Control System

FM and AM determine how many to order Christy orders them FM and AM put together initial sales packs We receive order, FM and AM departments count and check FM and AM count and record remainder of inventory FM or AM check out inventory as needed FM or AM record how many were sold by each member every meeting, since the last meeting FM and AM do weekly cash and receipt checks to make sure the numbers match with our inventory numbers FM and AM reports final inventory count Inventory Control Flow Chart FM checks the Internet purchases and records them

Finance and Accounting get together and determine how many to order based off of the presales and how many we think we can sell. Christy gets the number from Finance and Accounting and orders the product from the supplier. Ordering Inventory From Supplier

Product is Received Product is received at the proper address. Finance and Accounting Departments, President, and VP President both count and make sure all of the product is accountable for and in good condition.

What to do with the Invoice The Invoice is taken from the box or whatever the product comes in and given to the finance manager for the bill to be paid. Finance Manager goes to the bank and gets a cashier’s check to send to the supplier for payment. Finance Manager pays the bill after the inventory has been checked and accounted for. The Invoice is then filed away with the receipt that the supplier has given us.

Checking out of Inventory Inventory is Initially checked out by everyone through the Finance or Accounting manager. After the initial inventory checkout there will be a chance to check out additional inventory if needed every Monday, Wednesday, and Friday from the Finance or Accounting Manager.

Personal Selling Individual Company Members sell our product to customers Must keep a record of transaction and fill out the receipts that were given to you and keep them until you are to turn them in.

Keeping Track of Inventory Every meeting Caleb and I will collect the brown envelopes from everyone and take them to the office and record how many each person sold since our last meeting. We will also count the money in each envelope to make sure it matches quantity sold plus donations if any were received. The cash will then be counted and double- checked by either the accounting or finance manager and then put in each person’s individual file and the receipts are to be filed away in the same file.

Weekly Cash Check Every Friday we will fill out our weekly cash check to make sure our numbers match up from throughout the week. Each person’s file will be recounted and all money recounted to make sure it all matches. The money from each file if correct will go to our safe for deposit later that day on Friday’s only. Finance and Accounting will then compare all of the updated information and give an update on Monday. Our cash on hand will be documented by using the following sheet.

Bank Deposit’s Finance and Accounting Manager will determine the amount of cash that needs deposited and fill out the deposit slip and deposit the money every Friday after we complete the Cash on hand forms. Deposit must be done together. Finance or Accounting Manager will then take that receipt from the deposit and file it away for their records.

Internet Sales Finance Manager checks for online sales and has the item delivered by a company member. –Finance Manager records the credit to the account.

Petty Cash If a company member needs petty cash they will go to either the finance manager or accounting manager and fill out the following form that is shown on the next slide. When they replenish the funds they took they must go to the FM or the AM and get them to sign that they replenished the funds into petty cash

Our Final Inventory Count Every week the FM or AM will count the inventory after we do the weekly cash on hand reports. At the end of the semester or selling period the FM and AM will configure up how much inventory we have left, also any damaged, lost, or returned goods. This will be done using the following slide.
