Academic Planning Data Base System Overview California State University

System Objectives u Collect, analyze, and provide statistical data on faculty workload and on courses taught u Conduct special statistical studies with data as needed for the Chancellor, Human Resources, Academic Affairs, CSU Administrators, CPDC and State Legislators

Overview The Academic Planning Data Base (APDB) is a Computerized Information System based upon two separate but coordinated files: The Faculty File – contains information on all persons compensated from instructional or administrative accounts, and having teaching responsibilities in the CSU. The Section File – contains information on all courses offered during a given term. The two files are linked by Social Security Number (SSN)

Campus Faculty File Key elements are : Year Term Campus Code Faculty SSN Faculty Name Assigned Dept & School Code Salary Range Code Instructional Faculty Fraction Instructional Admin Fraction Administrative Level Code Assigned Time Code Assigned Time WTU Other Support Fraction Faculty Transaction Data File # 1

Campus Course File Key elements are: Discipline Code Course Level School Code Department Code Course Abbreviation Course Number Course Suffix Section Number Course Classification (CS) Number Course Credit Unites Enrollment Space Type Begin & End Time Meeting Days Facility ID (Bldg & Room) Faculty SSN Team Teaching Fraction Faculty Transaction Data File Course Section Transaction Data File # 1 # 2

APDB – Faculty File Process Faculty Master File Campus Faculty Data File Create Faculty File Audit Errors Yes No Errors are corrected and file is re-created Master file is good no correction needed # 1

APDB – Crossover Section Master File Faculty Master File The Crossover (both files are combined via SSN) CSR - for Space Utilization CPD&C Group Code Audit

APDB Standard Term Reports Course Section Report Section Size Frequency Distribution Rpt FAD Faculty Assignments by Dept. Report Summary by Classification and Level Report Course and Section Data Report

Key Benefits u Monitor faculty workload u Monitor student faculty ratios u Monitor course offerings, enrollments, class sizes and mode of instruction by course level (LD, UD & GD) and Course Classification (Lec, Sem, Lab, Act, etc.) u Monitor Space Utilization CPD&C

APDB System Overview Data Elements Important to CPD&C

Course Classification (CS) Numbers Definition This data element identifies a particular mode of instruction for a resource segment activity. Structure Two (2) alphanumeric characters. Values Value must correspond to an authorized value in the COSAR Table 12. Latter values are listed below. ValuesCorresponding Modes 01 to 04C1 to C4 (lecture) 05 C5 (seminar) 06C6 (seminar/demonstration) 07 to 14C7 to C14 (activity) 15 to 16C15 to C16 (laboratory) 17 to 21C17 to C21 (activity) 23S23 - Social Work Supervision 24S23 - Practice Teaching Supervision 25S23 - Work-study, Thesis Project and Independent Study 36S23 - Field Work, Studio Instruction, Supervised Activities 48 S23 - Independent Study, Studio Instruction, Supervised Activities 77C77 (non state supported instructions, e. g. ROTC) 78C78 (non traditional instruction, e. g. examination or evaluation, 78 modes are state supported) "C" stands for "Classroom" "S" stands for "Supervision"

Space Type Definition A code that identifies the type of space, i.e., room, in which a particular course is most appropriately taught. Values 0=Not Applicable 1=Lecture 2=Laboratory 3=Non-Capacity 4=Multi-mode instruction Space Type of 0 - should always have CS Number 00. Space Type of 1 - usually associated with CS Numbers 1 thru 6. Space Type of 2 - usually associated with CS Numbers 15 thru 16. Space Type of 3 - usually associated with Supervision courses CS Numbers 17, 23, 24, 25, 36, or 48 Space Type of 4 - usually associated with instructional CS Numbers 01 thru 16 No set Space Type - Sections with CS Numbers 06-14, 18-21, 77 or 78 have no set Space Type, and the appropriate code must be determined individually by course. The value assigned refers to the most appropriate type of space for a particular course, not the actual type of space in which the course was held.

HOW FTE’S ARE REPORTED ON THE APDB COURSE SECTION REPORT (CSR) CSR COLUMN CLASS SELECTION CRITERION FOR COLUMN* LABEL “LECTURE” Class mode is “lecture” or “seminar (CS numbers 01 thru 06) OR “Non state supported” (77) or “Non-traditional” (78) are reported as Space Type “lecture” (1)** “LABORATORY” Instructional mode is “laboratory” (15,16) OR “Non state supported” (77) or “Non- traditional” (78) is reported as Space Type “laboratory (2 or 4)” “ACTIVITY-LECT” Instructional mode is “activity” (07, 08, 09, 10, 12, 13, 14) such that the reported Space Type is “lecture” (1) “ACTIVITY-LAB” Instructional mode is “activity” (07, 08, 09, 10, 12, 13, 14) such that the reported Space Type is “laboratory” (2 or 4) or “non capacity” (3) “INDEP STUDY” Instructional mode is “independent study” (23, 24, 25, 36, 48) “OTHER NON CAP” Any class which fails to satisfy all of the selection criteria for the above columns * Corresponding CS number(s) and Space Types are in parentheses ** Campuses are requested to report the ideal or optimal space type for a given class rather than the actual space type of the room in which the class was held. See APDB DED page for Space Type.
