Student/Academic Information Systems Course Scheduling Course scheduling is a collaborative effort between the Records Office and the Graduate Schools. Drafts and edits are reviewed before publishing Room reservations are entered in R25 Schedule is published two weeks before registration is open Changes (approx. 400 per semester) are continuously updated

Student/Academic Information Systems Course Scheduling Making Changes to the Schedule Current method: Changes are recorded in four places Changes made in the student information system are not automatically reflected on the published schedule or the room reservation system. We also maintain a grid in our office for quick reference Future method: Changes made in the student information system will be immediately reflected immediately on the published schedule A process will be available to update the room reservation system, thus avoiding more manual entry

Student/Academic Information Systems Course Scheduling Other changes to course scheduling as a result of Banner implementation (part of M2 integration) Subject Headers are changing – e.g. IM is now IMGT Course Numbering – all MIIS courses now begin with 8 and most follow with the same three digits as before, e.g. IP 520 is now IPOL A few course numbers were changed – some ED and LIN courses were changed from 4XX to 5XX Course Titles – some had to be shortened to 30 characters Building and room codes had minor changes

Student/Academic Information Systems Registration Registration is open two weeks after the schedule is published. Registration for the fall semester usually opens in mid-April Registration/adds for regular semester courses remain open until the 10 th day of the semester Drops for regular semester courses remain open until the 25 th day of the semester Adds/Drops for workshops happen throughout the semester

Student/Academic Information Systems Registration Current method: When a student has obtained the appropriate signatures/approvals on registration form, student registers at the Records Office Student receives confirmation of registration in the form of a printout Student cannot view schedule on-line Records Office prints class lists for Faculty Future method: For the fall semester and for registration for the spring semester, student will still come to the Records Office to register Student will not receive a confirmation in the form of a printout Student schedule will be available on-line via Banner Web Faculty will see class lists on-line via Banner Web On-line registration will be available in April for summer and fall 2010

Student/Academic Information Systems Grading and Transcripts Current method: Records Office sends grade sheets to the Graduate Schools for distribution to the faculty Faculty return grade sheets to the Records Office Records Office record grades in student information system Students receive grades if they complete a grade mailing form or come to the Records Office Future method: Distribution and recording of grades will remain the same for the fall semester Beginning later this month, students will be able to see their grades on- line via self-service in Banner Web, eliminating the need to come to the Records Office Beginning in January, we are planning to implement on-line grading for Faculty

Student/Academic Information Systems Degree audits and Diplomas Current method: Student submits graduation application to the Records Office Some students (policy programs) also submit a degree completion checklist to the Graduate School Records Office reviews transcripts/degree maps for requirements Records Office sends confirming/missing items to the student and consults with graduate schools for any clarifications needed Records Office orders diplomas Future method: We don’t anticipate major changes in the immediate future We will be investigating the possibility of checking for core requirements and recording academic waivers in Banner (spring/summer 2010) On Aug 2010 diplomas – still say BOT of MIIS? Need to change affiliate to graduate school of Middlebury College
