HELP Ministries – Final Presentation Team: Dave Hess, Ria Ghose, Bobby Lusk

Executive Summary Worked with HELP Ministries Created a MS Access DB The DB takes in client info using forms Reports can be generated reflecting all client info This DB lays the groundwork for others to continue the development of the HELP DB

Project Introduction Christian Churches United HELP Ministries HELP provides emergency services Provides: food referrals, prescription medication, shelter, fuel, etc.

The Problem Currently HELP uses a database in Alpha5 Reports and forms generated by Alpha5 do not match HELP needs Many bugs exist in forms and limit the ability to search for clients and quickly enter data.

Project Overview: Phase 1 Summary: Decided to make changes to current DB by reverse engineering and fixing bugs through out the system Lessons Learned: Initial interaction with HELP and the usage of Alpha5

Project Overview: Phase 1 Issues Addressed: Alteration of Reports and forms required a password, which was missing. Without the password our project reached a dead end. May not be able to identify all the bugs present in the current system. Perhaps it will be easier to rebuild the system.

Project Overview: Phase 2 Summary: Decided not to use Alpha5, instead use open source DB tools Lessons Learned: We got a better idea of the working environment of HELP Issues Addressed: SRS shows different aspects of the project: its scope and different increments

System Overview SecretaryHELP Staff Enters initial client info… Search to find existing records Name, Date, SS#, Family, Etc… Enter all client info. One of Main Areas Database Laptop Synchronization Business Office Staff can take a copy of DB to remote Searches DB to retrieve Locations, and create new records which unpaid records, and matches May be added to the DB upon returning. Requests to a funding source.

Project Overview: Phase 3 Summary: UML data model showing the major working of the system was developed Lessons Learned: Better understanding of the system helps us to implement Business rules. Issues Addressed: We were able to incorporate several items requested by HELP into the UML like drop down menus, etc.

Project Overview: Phase 4 Summary: Tables were created in SQL using phpMyAdmin along with a HTML GUI Lessons Learned: We realize that none of the team members are coherent in JSP or ASP, etc and open source may not have been a good choice to begin with. Issues Addressed: At this point we were thinking of migrating to MS Access.

Project Overview: Phase 5 Summary: The database was switched from SQL to Access. All the tables, forms, reports and queries have been created. There still remains several bugs to be fixed. Lessons Learned: Changing scope of the project half way through is a BAD IDEA! Issues Addressed: MS Access solves the problems of doing searches, generating reports, forms and queries. Although Complex forms and queries can be very hard to set up in Access.

Project Overview: Phase 6 Summary: Worked on fixing the bugs in the database, creating a navigable menu, and getting the Report to work. Issues Addressed: Creating the menu helped improve the navigation within the DB, and makes it much easier to understand.

Application Impact The current DB meets the initial goals for report creation and doing queries. The DB does not reflect whole system of HELP More work can be done in continuing this project.

Project Strengths and Weaknesses Strengths: MS Access has more potential than Alpha 5 since it is a more commonly used Application, and is a more error free environment. Features like generating reports, forms and queries can be done fairly painlessly in Access. –Assuming they are simple forms/reports. Weaknesses: –Does not reflect the entire HELP DB –Will not be used right away by HELP

Sponsor Organization Assessment John Scarpato, our contact, is happy with the transition to MS Access. He understands the scope of the project was beyond what could be achieved in mere three months He appreciates our effort to building the DB anew and actually likes the groundwork we have set forth.

Lessons Learned Changing the goals of the project half way through the project plan is not a good idea. Understanding the scope of the project from the very beginning and proper estimate of what can be accomplished in a certain time is important. Constant interaction with the sponsor organization as well as the team members is necessary. Making proper use of resources: the team’s knowledge base and experience and being objective about what we can achieve.
