Creating Content Importing non MARC content Lise Foster Systems Librarian Institute of Financial Services

Content Creation  Background  Aims  Procedure

Background  The LIS holds 30,000 books, 250 journals  Good sources of information on particular topics are also catalogued on Unicorn using Topic and Source formats  A list of useful addresses exists in Access and printed formats.

Aims  Import the list of addresses into Unicorn without typing them in manually  Make the list searchable by subject  The list is updated quarterly so had to be quick and easy to remove old data and replace it with the updated information  Add an appropriate location, call number and material type to each record in the upload

Procedure  Convert access file to flat ascii file with required field names and save the converted file in /s/sirsi/Unicorn/Marcimport directory  Create policies  Use bibload report to import the data Use setdiscard and remdiscard reports to remove previous addresses (selecting on unique addresses format) or to start again!

Formatting How to get the records into a Unicorn friendly format? The IT department came to the rescue! The Access database was converted into an Oracle table, then output as a plain text file with the correct labels, ready to load into Unicorn. Sample record: *** DOCUMENT BOUNDARY *** FORM=ADDRESSES.110. |aAccounting Standards Board (ASB).ADDR. |aHolborn Hall.ADDR1. |a100 Gray's Inn Road.ADDR2. |aLondon.PSTC. |aWC1X 8AL.TEL. |a FAX. |a EMAI. |ACCOUNTANCY 657 *** DOCUMENT BOUNDARY *** FORM=ADDRESSES The.txt file then needs to be saved in the Marcimport directory

Policies Cataloguing Policies  Classification  Catalog format  Item type  Holding code General Policies  Location

Cataloguing Policies The holding code policy is used when loading bibliographic records into Unicorn via the record loading reports Name: ADDRESS Description: Address Ignore item: Code: Address Library: CIB Location: U-KNOW Item type: ADDRESS Item category 1: Item category 2: Circulate: Permanent: Price:
