INSTALLING SCAN BOOK

Installation: I Scan Book Insert the installation CD into your Cd-Rom drive. Click Start then Run. Type D: setup and press <ENTER> Follow the step by step installation procedure. It is recommended that SCANBOOK is installed into your local directory (C local) C:\Scan Book: this will create a program group called Scan book in your start menu. End of Installation I

Installation:II ScanBook Directory Creation In the Scan Book application 2 folders will need to be created, the first folder will contain all scanned and processed data. The second folder will contain job/form definitions. Select Start Select Programs Select Scan Book Select File Select New: folder create a folder with the name:Scan Data, press enter. This folder will contain all scanned and processed data. Select New: folder: create a folder with the folder name: Scan Jobs This folder will contain all form/job definitions.

Installation II continued… After you have completed 2 of the 3 installations close your scan book folder, by selecting the X in the upper right hand corner. The last installation will be to configure your scanner. For this installation you will use Scan Book software.

Scan Book opens with the Process Log window by default Scan Book opens with the Process Log window by default. The Process log window shows the results of a scanning job as they are sent to Scan Book.

CONFIGURING YOUR SCANNER

CONFIGURING YOUR SCANNER Verifying your scanner communicates with the Scan Book software. Select the “Tools” pull-down menu

Select Scanner Properties. Your scanner settings for this tab should read as the following: If you are unsure of the port, start with COM 1.

SELECT The SCANNER TAB: Make sure your ES 2260 scanner is powered on at this point. Select the “Detect” button. If the scanner is communicating, the model number and channels will automatically change to your scanner’s settings If the scanner did not detect, return to the COM port tab and change to another Port ….COM 2

Before you begin scanning you need to instruct Scan Book to interact with your scanner to retrieve data. You do this by setting up a Job that defines the following settings: A list of Forms to be scanned. The name of the file to store results of the scanning session. (If you do not specify a file name, the data will not be not saved) Your OMR configuration.

The 2260 model has the ability to print messages on Forms as they are scanned. Creating a Job Definition continued… Global Values Global Values Tab: This option controls the specific characters that are entered in the output record when particular situations arise. It is recommended that these settings should not be changed. The settings shown here should look identical to the settings on your 2260 scanner. Select okay from the Job Properties Box.

Pre-Scanning Checklist It is recommended to organize and scan your forms by subject and teacher. In case you need to re-visit the hard copy forms again you will be able to locate a particular form. Remove any stray marks from the form. Observe the timing marks on the left-hand side of your form. Verify the demographic data in the form: Student Id and Tested: (If the demographic information was hand-bubbled)

Pre-Scanning Checklist continued.. If your form is torn or contains extra marks the scanner will NOT read the form. Remove any paperclips. Do not Staple Forms together.

Process Log Once the forms you wish to scan are defined and scanning jobs created within Scan Book, you are now ready to begin scanning form data. During processing, Scan Book receives the data form the ES 2260 scanner and displays it in the Process Log window as it writes the data to the file. Each line in the Process Log window represents a single form.

End Key Press Key 1 to perform the function that is displayed on the LCD. The END Key is used to end a process mode or scan job. The SEL (select) Key is used to select an option or process and to enter a mode of operation.

Operating Messages from your E2260 End of Batch: The end key (located on the control panel) was pressed. Feed Form: The scanner received a valid read command from your computer and is ready to read a form. Feeding Form: The scanner is feeding a form under the redhead. Rejecting: The scanner detects form and/marking error(s) on the current form and directs the form to the output hopper.

Feeding Forms Place the scanner in a slanted position so forms will stack properly in the output hopper (I). Orient the form so that the timing track is facing you. Place the Form into the input hopper (C) with the edge close to the timing track at the bottom of the input hopper.

Feeding Forms Continued… Make sure that the form rest on the bottom of the input hopper. Gently press the input hopper tray (A) to lower it into position for loading forms.

Feeding Forms Continued… Adjust the input hopper form guide (D) so that it rests near the top edge of the forms.

Feeding Forms Continued… Place the paperweight on top of the forms. To attach the paperweight: Lower the input hopper tray and load the forms. Insert the paperweight insertion slot (A) along the bottom of the input hopper until the retaining tab (B) is secured on the edge (C) of the input hopper. The paperweight should rest on the stack of forms inside the input hopper. Raise the input hopper tray.

Feeding Forms Continued… Do not insert the leading edge (D) of the form underneath the input rollers until the LCD (E) displays “feed the form”. You can use the input hopper extension if need be. Verify that the LCD displays feed the form.

Feeding Forms Continued… Feed the form until the input rollers begin pulling the form. (Do not push the form into the scanners) If the form lodges in the paper path, remove the form from the paper path press KEY 2 (G) to continue scanning, and scan the dislodged form again. When you are finished scanning forms, Press the End key (H) on the scanner.

If the scanner is correctly connected to the host computer, the following actions occur while feeding forms: The Receiver Lamp blinks as the scanner receives a command from the computer. The LCD displays Feed Form when the scanner receives a command to read a form and continues to display until you feed a form. The LCD displays Transmitting and the transmit lamp blinks when the scanner transmits data.

Operating the ES 2260 As you feed forms into the scanner, the ES 2260 either accepts or rejects the forms. Accepted Forms: The ES2260 accepts a form if the scanner detects no marking errors (bad erasures, multiple marks, missing marks, etc) or form errors (wrong number of timing lines, wrong side of forms, etc) Accepted forms travel through the ES 2260 and eject into the output hopper (I). The data read from the form transmits to your computer, and the scanner then is ready to receive another form.

Operating the ES 2260 Rejected Forms The ES 2260 rejects a form if the scanner detects one (or more) of the following form and/or marking errors. Double sheets feeding into the scanner. Missing marks where at least one mark must exist.

Rejected Forms Continued… Multiple marks where only one mark is allowed. Wrong number of timing lines. Wrong identification marks or wrong form. Wrong side of the correct.

Rejected forms will travel through the scanner and eject into the output hopper, according to the option specified in your form definition: If the stop-on-error option of the READ command is enabled, the scanner will stop and require operator intervention. If the stop-on-error option is not enabled, the scanner will transmit a signal to the application that an error occurred, and the application program determines what to do with the form.

Avoiding Common Problems Minor preparation can help you to avoid the most common problems associated with collecting data from scannable forms. Here are a few trouble shooting ideas. Form jams: Straighten pinched or dog-eared forms. Remove all staples, tap or paper clips. Flatten creases in folded forms. Rejected forms: Orient the forms properly while feeding Ensure that the forms are undamaged and intact (no tears). Check critical form sections for correct information. Make sure you fed the form properly (For example, timing track at the bottom of the input hopper.)

Each school is responsible to schedule service, outside of the December yearly scheduled service.
