Clarity Educational Community Overview Of Portfolio Management Portfolio management helps an organization decide which investments to start, continue, discontinue, or postpone. Provides the ability to balance the different portfolios and efficiently allocate funds Understand resource needs within the portfolios and determine if there is capacity to execute the desired portfolio investments Understand the balance of investments against a corporation’s strategic goals Prioritize investments within a portfolio Apply different scenarios within a portfolio based on different prioritization objectives, or increase/reduction in available funds

Clarity Educational Community DISCUSSION 1 How many of you are actively using Portfolio Management Today? What challenges are you facing?

Clarity Educational Community Organizing Portfolios Decide how you will organize – Investment Type Applications only New product development investments – Specific Investments All active projects Projects that start and finish within a specific time period – Organizationally All marketing related projects Projects related to a specific line of business – Interest/Goal Projects that will grow the business Investments considered to be innovation vehicles

Clarity Educational Community Investment Hierarchies in Portfolios It is possible to include Programs and Master Projects within your portfolios, but there are some key items to be aware of:  Master Projects and Programs planned costs  Project Allocations Impact  Ranking capabilities within the Master Project/Program hierarchy

Clarity Educational Community Setting Portfolio Constraints Set the boundaries and guidelines you need to plan and manage the portfolio investments Create targets to analyze the portfolio investments Financial and Resource targets are available for any portfolio – Financial Targets Total costs, capital costs, operating costs Benefit and planned benefits coming from the investments – Resource Targets By Unit (either Hour or FTE) Resource Capacity or Role Capacity

Clarity Educational Community DISCUSSION 2 Is management using Portfolio Management to make informed decisions? If so how? If Not Why?

Clarity Educational Community Prioritizing Investments $ You can manually rank investments or set up rule-based rankings using the Waterline view. Larger organizations benefit the most from manual ranking rules Keeping the number of investments small makes it easier to rank them manually Manual ranking works best when there are no preset guidelines for ranking investments, and ranking is done on a case-by-case basis

Clarity Educational Community Managing The Waterline Use the waterline view as a “what-if” environment to manipulate items and see the impact against the cost and resource constraints that have been set. Utilize Ranking Rules to prioritize the investments, or manually rank investments Compare plans against one another to determine the best course of action for implementing the portfolio

Clarity Educational Community Portfolio Planning and What-If Scenarios You can create multiple plans within a single portfolio that can contain different: – Start and Finish dates – Rankings – Targets This allows you to explore hypothetical portfolio alternatives and save them for future reference

Clarity Educational Community Common Challenges ETCs vs. Allocations – How is planned cost impacted Portfolio Ranges – Multi Year vs. Fiscal Year Views Adding Custom Attributes To The Portfolio Sub-Portfolios – Managing a portfolio hierarchy Managing resource capacity targets

Clarity Educational Community Keys To Success A solid foundation of – Demand – Project – Resource – Financial Management Consistency, consistency, consistency
