Goals

Scope Out of scope: In scope: In scope and out of scope parameters helps the team to stay focused and not spend too much time on out-of bounds issues that we can’t affect. We only had 3 short days together so our time was limited.

Customer Requirements Key customer group Requirements

Swim Lane Map Key Handoff Task (Time) Decision? Wait (Time) Storage Location

Current State Map Change out this photo with the team’s current state photo Legend: Vertically depicts who touches the process – horizontally is the time line of what occurs. Goods/Srvs are received, Receive an Invoice, Payment processors, Payment approval, Payment sent, documents filed: Pink – tasks the same across all divisions Yellow – tasks done in each division Blue diamonds – decisions Gold – handoffs to others in or out of the division Hot Pink – wait times where the delays in the process were noted Purple – storages both paper and electronic storages

Observations of Current State This is what we discovered after mapping out the current state.

Future State Map Change photo to team’s future state photo

Vision of Success We realized these as benefits for our future state improvements.

Improvement Current State Future State Tasks Waits Handoffs File/Store Quantity Time Tasks Waits Handoffs File/Store Decisions Totals % Change = (Current hours – Future hours)/Current hours) x 100 [ ] % reduction in lead time [ ] % reduction in task time

Quick Hits (Just do it!) Quick wins are improvements we identified that can be implemented relatively quickly with little resources needed.

Formal Recommendations Here are the formal recommendations that the team identified for our improved future state.

Recommendation Prioritization IMPACT DIFFICULTY Top Recommendations (high impact + low difficulty) high impact + high difficulty low impact + high difficulty Low Hanging Fruit (low impact + low difficulty) 7 4 6 8 3 1 9 5 2 This is our impact difficulty matrix we did on our recommendations. The numbers correlate to our recommendations. As you can see all of our recommendations have high impact and only two fell in the high difficulty range. None were low impact improvements.

Parking Lot   Parking lot issues are issues we identified as impacting our work processes but they were out of our scope and we could not affect them. But since they do impact our work we wanted to get them listed. We are hoping that some of these can be worked on in their own improvement projects following ours.

Lessons Learned

Action Plan # Item Owner Timeline 1 2 3 4 5 6 7. You don’t need to go through each one of these but just show that all the improvements identified in the project have an owner to take them forward and to ensure they are followed up on in a timely manner. One way to do this is to sign per formal recommendations and quick hits.

Questions? Thank you!
