Student Employment Program Training Manual

Mission Statement The mission of the Student Employment Program at Piedmont College is to provide students with a meaningful work experience aimed at enhancing college and career goals while providing financial support through college work experience.

Before Beginning Work: Student Employment Hire Packet Checklist Job Description Job Application Confidentiality Statement Tax Forms: Federal & State I-9 Form: (Passport OR two forms of ID will be needed) **Incomplete Hire Packets may result in an employee’s first check being delayed.**

Regarding Benefits… Student Employees are not eligible to receive: Health/Dental/Vision Insurance Paid Vacation/Sick/Holidays Disability or Life Insurance Retirement Benefits Unemployment Benefits *Student Worker positions are at-will positions and are not guaranteed from one semester to the next.*

Employment Eligibility Must be enrolled in school to work May work summer with proof of fall registration Students must maintain satisfactory academic performance Must be a citizen or permanent resident of the U.S. or show proof of eligibility to work on campus Students must have a Social Security number to work on campus-please visit the HR Office before beginning work to learn how to begin this process

Proper Attire Must dress appropriately for the job in which you’re working Avoid dressing as if you are going to class No torn clothing No pajamas, miniskirts, or tank tops No excessive exposure of skin No undergarments in view  Ask your supervisor for specific requirements  “What is appropriate for me to wear to work?”  Students in highly visible positions should remember that they are often a prospective student’s first impression of the College; please look respectable.

Confidentiality All information in confidential – Information you see, hear, read, etc. is NOT to be repeated, shared, or acted upon outside of your work environment – You must be careful to limit the information you provide over the phone or in person Confidentiality Statement – Cover online access to computer data – Covers data viewed, discussions heard, etc. FERPA Motto: “Keep any information obtained in the workplace at the workplace.”

Work Hours Students are expected to work all scheduled hours each week. The maximum number of hours a student can work depends on his or her classification, i.e., freshman, sophomore, etc. Freshman: 8 Sophomores: 11 Juniors & Seniors: 15 Students are allowed to work in more than one department as long as they do not exceed their allotted number of hours and two separate timesheets are completed. When transferring from one department to another, a new job description form must be completed and turned in to Human Resources. Working during class times is strictly prohibited. If class is cancelled or dismissed early, your supervisor must initial beside the time listed on your timesheet.

Breaks Shifts lasting longer than 5 hours require a half hour (30 minute) break Shifts lasting 8 hours or more require an hour (60 minute) break Breaks must be shown on timesheets and are unpaid. – Example: – 8:00AM-5:00PM may appear as 8:00-1:00, 2:00-5:00 – 2:00PM-8:00PM may appear as 2:00-4:30, 5:00-8:00

Timesheets Timesheets should be submitted according to the “Student Worker Pay Schedule” found on Piedmont’s website (bi-weekly on Thursdays) Timesheets must be typed and completed accurately Your class schedule should be grayed in Timesheets should be signed by both the student and supervisor

Absenteeism & Missing Work Excessive absences or failing to work scheduled hours may result in termination Unexpected absences should be reported in the manner preferred by the supervisor (i.e., by , phone call, etc.) If possible, discuss future absences with your supervisor in advance. Student Workers are employees at will. Employment can be terminated at any time should the supervisor feel you are not respecting the position you hold. Leaving during scheduled hours without permission from your supervisor is grounds for termination from the Student Employment program.

Conflict Resolution Student should make every attempt to resolve conflicts with their supervisor. If conflicts cannot be resolved through the supervisor, they should be reported to the Assistant Vice President of Finance and Human Resources.

Understanding the Pay Schedule This is the date you must have your timesheet delivered to your supervisor by in order to get paid. The “Pay Date” is the day you can pick your paycheck up in the Business Office. The “Pay Period” is the two-week date range in which you work. This also goes in the “Time Period” section on your Timesheet.

Work-Related Injury & Sexual Harassment Accidents should be immediately reported to the Human Resources Office. Inappropriate behavior and any suspected sexual harassment should be reported immediately to the AVP for Finance and Human Resources.

Important Reminders Falsifying timesheets and breach of confidentiality are serious infractions. Students who commit such infractions of the employment policy are subject to judicial action at a college level and criminal prosecution by the U.S. Department of Education. Examples: – Student fails to work their shift, but records the hours anyway. – Student records hours on timesheet and does not work their entire shift listed on timesheet. – Student allows another student to work in their place, but still counts those hours on their own timesheet. – Students clock in or clock out their friends.
