Supplier List John Malloch

Ledger ‘Hierarchy’ APTOS Ledger Etc. P2 Ledger P1 Ledger Schools Inactive P1 Ledger Active P1 Ledger Supplier List Visiting Lecturers Rates and taxes

Why? Database: To store information about each supplier that is needed to pay invoices. Manageability: To manage the suppliers from which the University procures goods and services. Reference: To provide a useful list of suitable suppliers. (The current list of 8000 suppliers is too big to be useful) Value: To include suppliers providing best value (including risk, sustainability and strategic support) and aggregate business with those suppliers.

Why? Focus: To increase management focus on the suppliers we use most and reduce nugatory effort on suppliers we use rarely, thus getting better performance, lower prices, better efficiency (by reduced administration) and better environmental sustainability. Risk: To reduce the university’s exposure to supplier risks by dealing with known and tested suppliers. Quality: To deal with suppliers that provide goods and services of suitable quality. Flexibility: To provide sufficient flexibility to buyers, with the added support of purchasing cards when unusual purchases are necessary. Legality: To ensure the use of contracted suppliers under EU rules. Exclusion: To exclude suppliers that have not won our business.

New Suppliers 8000 active suppliers A supplier for almost every purpose? New supplier: only if: –no existing alternative; or –a marked commercial advantage P Cards for one-off. (If high value, then add to P1 Ledger)
