Data Distribution Portal What is it…? Data Distribution Portal (DDP) Labs ELR CalREDIE TB Data Warehouse Physicians CMR PP UDF DCDC The Data Distribution Portal (DDP) is the CalREDIE user’s access into the Data Warehouse where CalREDIE data is stored. Every night, the Data Warehouse is populated with all current CalREDIE data that has been entered or edited in the system from the previous day. LHJs App Population

…and why should I use it? Efficient Easy-to-use Fast! “Big box” store There are several advantages of the DDP. It is an efficient way to access data in CalREDIE as it allows users to access CalREDIE information OUTSIDE of the CalREDIE application. It can be easier to use than the CalREDIE application options for downloading data. It’s fast. The DDP allows even large datasets to be downloaded very quickly, and in a format that can be imported into a wide variety of analysis programs. There is a LOT of data in there

System tab data Patient tab Case Investigation tab ELR data System contact data User Defined Form tab data (CRF-level) Clinical tab Epi tab Lab tab EFC forms Outbreak data GI Foodborne GI Other/Unknown Other/Unknown Reports ELR auto-import report STD reports The DDP provides access to system-level exports for all disease conditions tracked in CalREDIE, as well as exports of data from the User Defined Form tabs. Outbreak data for three OB conditions. The DDP also has several reports including the Electronic Lab Report (ELR) Auto Import Report which provides information about ELRs which have been received and automatically imported into CalREDIE; as well as several STD reports including the STD Field Record Report, Syphilis Summary Report, Open Field Records, Open Interview Records, and Early Syphilis Missing Interview Records, Early Syphilis Cases Awaiting State Review and Congenital Syphilis Issues Report.

How do I get to it? Accessing the DDP by logging in using an ‘active’ CalREDIE username and password. If you do not already have a DDP account, call or e-mail the CalREDIE Help Desk and they can set one up. DDP introductory screen How does it work? After entering username and password you see this screen. Access to the DDP is based on user group settings as established by user’s CalREDIE account and LHD. Click on the “Extracts” icon…NEXT SLIDE DDP introductory screen

DDP Data Extracts options How does it work? And user can then create either an export of system tab (CMR) data, UDF (CRF-level) data or Outbreak Extracts. All system tab, UDF and Outbreak Data exports are generated as .tsv files which can be imported into your favorite program for statistical analysis (Excel, SAS, etc.) Click BEGIN button under System Tab Exports to create one of 5 different types of exports…NEXT SLIDE DDP Data Extracts options

Exporting System Tab data (review the 5 types of exports) Export ALL incidents for a specific disease grouping(s) for a particular date range. Choose from a variety of date types (e.g. date incident was created in CalREDIE, disease onset date, CalREDIE “episode” date, disease diagnosis date or the date the incident was received) Export information for one particular disease incident – need to already know the Incident ID and can export JUST that incident. No date range is necessary to enter for this choice. Export of ALL incidents for a specific disease for a given date range Export of all system contact data for a specific disease for a given date range Export of all system lab data (the ELR data) for a specific disease for a given date range “System Tab” data extract options

Exporting System Tab data For the Export ALL disease grouping incidents option, user can choose from a variety of date types (e.g. date incident was created in CalREDIE, disease onset date, CalREDIE “episode” date, disease diagnosis date or the date the incident was received) and enter the range. After clicking the ‘Create’ button, once the data set is created, user gets pop-up message at the bottom of the screen that file has been created successfully. DDP Data Extracts options Exporting UDF data For UDF (CRF-level) data exports, there is only 1 type of export. From this screen click BEGIN under “Complete UDF Data Exports” DDP Data Extracts options

Exporting Outbreak data To get to the OB data, select Outbreak Extracts from the drop down menu in the side bar located under Extracts  Outbreak Extracts. The OB extracts currently available are for GI Foodborne OBs, GI Other/Unknown OBs and Unknown/Other Obs. Clicking on OB Extracts brings you to this screen…NEXT SLIDE DDP Data Extracts options

Exporting Report data Report options There are several types of reports available in the DDP; including the ELR Auto Import Report and several STD reports. To generate a report, select the report of interest and click begin. Report options

Exporting Report data ELR Auto Import Report The ELR Auto Import Report provides information about electronic laboratory reports which have been received and automatically imported into CalREDIE. Although many disease conditions may appear in the drop down menu, reports will only be generated for disease conditions which are part of the auto-import/auto-processed group in CalREDIE including chlamydia, gonorrhea, chronic Hep B and C, giardiasis, campylobacteriosis and coccidioidomycosis. To create an ELR Auto Import report, enter the disease type, Date Start and Date End for the dates the lab result was auto inserted into CalREDIE, and the gender and age parameters for the report. ELR Auto Import Report results Exporting Report data The results of the ELR Auto Import Report will appear at the bottom of the DDP screen. The report can also be exported by selecting a format (such as PDF, Excel or Word – additional formats are available) from the drop down menu and clicking “Export”. Exporting Report data 2014 December CREST 2014 May CREST 2014 April CREST 2014 January CREST There are several STD reports available in the DDP. In general, the STD reports work similarly to the ELR Auto Import Report just demonstrated. However, for more information and instruction on the specific STD reports, please visit the STD Branch’s CalREDIE Resources page. Ddp FUTURe

What can I expect in the future? Phase 1 Remaining UDFs Form changes There are 2 phases for the future of the DDP: Phase I is to continue to generate exports for the few remaining UDFs not currently available in the DDP, as well as updating exports to reflect form changes that have gone into effect.
