CHLA/HEARTH bibliographic metadata creation process

Finding titles Preservation/IT staff record the titles added to the system in Frances’ database LTS staff access the database to learn what new titles have been added LTS staff search Voyager to identify records for new titles

Changing the MARC record (1) Copy the record for the print title and make the following changes to the MARC records: 1.Update ISBD punctuation (most of the records for titles in HEARTH were created using old catalog rules) 2.Add fixed fields computer file electronic resource (OCLC/DLF standards) 3.Add 245 $h [electronic resource] 4.Add 440 series heading

Changing the MARC record (2) 5.5XX fields a.538 note about Internet access b.538 note about how the files of the digital copy were created c.500 note about who funded the digitization d.533 note about who created the electronic reproduction (Cornell and Trigonix) e.516 note about type of file 6.Electronic resource fields a.776 to link print, microfilm and electronic record together b.856 with URL and PURL; we maintain the URL in the PURL server only, not in the bib record. c.899 electronic resource code that we add to all our electronic resources d.906 access rights cots (wo = open to world)

Changing the MARC record (3) 7.DLF/OCLC Digital registry fields a.538 note about how the Digital Master was created b.583 note with digitization information c.538 note with “master and use copy”

Saving the bib record and updating the database Save the new record for the electronic version of the title and add the bib id to Frances’ database
