POWERPOINT TRAINING Introduction to Effective Image Usage in Powerpoint. Eileen Fry Indiana University Sept. 2005

POWERPOINT BASICS GETTING STARTED Understanding the work surface Adding the Tool bars you need for images Creating Image Screens –Selecting the “blank” layout -Creating the black (or other neutral color) backdrop -(In other words, how to be sure your screens don’t look like this bulleted outline!)

Select a blank layout The point is that you don’t want any layout features- no title boxes, no partitions, no templates. Just a Blank screen.

Your work surface has several parts: the screen you are working on (center), the thumbnails of the screens (left) a pane at right that can show one of several things, or be closed. Slide Layout is the most useful. In the lower left corner are three important icons

Work Surface Light table Slide Show You will use all three in creating your presentation a)Make new screens on the Work surface b)Use the Light table to see what you have done and rearrange screens c)Use the Slide show Icon to check how your screen will look to your audience

Now you need to add the toolbars that are useful for image Powerpoints Go to View and click on Toolbars

You need Standard, Formatting, Drawing, Outlining, Picture, and Task Pane toolbars. You may have to repeat to check each one individually

MENU AND TOOL BARS Use this function to insert arrows, connectors, flow chart boxes etc. These are the “quick” icons to create and then insert connectors and arrows Insert WordArt Icon Insert ClipArt Drawing Toolbar. Text Formatting Toolbar (very much like WORD Picture Toolbar. VERY IMPORTANT!

Text Box Use this function to insert arrows, connectors, flow chart boxes etc. These are the “quick” icons to create and then insert connectors and arrows Insert WordArt Icon Insert ClipArt The Text Box. Click on the Icon, then draw a box and start typing. Use these icons for Fill Color, Line Color, Font color, line size, etc.

PICTURE TOOLBAR Insert an Image from a File These functions control the contrast of your image Brightness This function allows you to crop your image Simple Color Correction Compress Picture Transparent Color

CREATING THE IMAGE BACKGROUND Return to your basic blank screen work surface

The white screen is not good for images. We suggest a black, dark gray, or other neutral background

FORMATTING YOUR PRESENTATION -The screen will appear white, which is not suited to display slides to the best advantage To change the background color: 1. Highlight the first slide icon in OUTLINE mode 2. Select the FORMAT function in the tool bar, then BACKGROUND 3. Under BACKGROUND FILL select Black 4. Click APPLY TO ALL 5. The screen should look like this

DUPLICATING THE BLACK SCREEN -Highlight the SLIDE icon 1. In the EDIT menu select Copy 2. Then paste this selection as many times as needed for your slide presentation 3. There are now numerous blank templates in which slides can be entered. Very useful for Mac users!

FORMATTING YOUR REVIEW PAGE -Students prefer a white screen for printing Copy your presentation and format the background to white and the font to a color suitable for printing. Text

INSERTING YOUR IMAGE Locating your image file Applying the insert function –Inserting comparisons –Duplicating slides Modifying slides

LOCATING THE IMAGE FILE Use the INSERT icon to search for a file on either a disk or on the desktop Select a file image (usually a.jpg file) and select INSERT

MODIFYING SLIDES Changing the size of the image: 1. With the mouse click on the image - A frame will appear around the picture - Each corner will have a small box, click and drag any one of the corner boxes to achieve the desired size Cropping the image 1. With the mouse clip on the CROP icon - Move the mouse and the cropping icon to the desired size. - Click the right button on the mouse to complete the action. To undo crop, Select the EDIT function from the menu bar and select UNDO CROP. Changing the image’s contrast/brightness 1. Select either the contrast or the brightness icon. Click to achieve desired affect.

WHEN NOT TO MODIFY SLIDES You can always go smaller, you can still crop, but don’t make small web images bigger than their original size!

TEXT BOXES 1.Use the TEXT BOX icon to include artists’ names, titles, and dates with the image. 2.Click on the icon 3.Move the cursor to the desired location of the text box 4.Click the left button on the mouse to activate the draw mechanism and then move the cursor to create the desired text box size. The text box size can be changed easily by clicking on and then dragging the square boxes that appear around the text box. 5.Type the text. To change the font, character size, or color use the menu bar icons at the top of the Powerpoint screen. These function similarly to WORD commands.

PRESENTING YOUR LECTURE There are many slide show options. To view your Powerpoint seminar project or paper select the SLIDE SHOW option from the menu bar at the top of the screen You may change the slides manually or select a timing function which advances the slides automatically. Manual transitions are recommended. To display the Powerpoint presentation to an audience select SLIDE SHOW then select VIEW SHOW. The slide presentation will appear in full view on your computer screen. To manually advance the slides, click the left button on your mouse. The next slide will automatically appear. To view a previous slide. Click the right mouse button and click PREVIOUS. Note. While creating a presentation the slide show may be used. Click on the Slide Show icon in the lower left portion of the screen. To return to Outline view, hit the ESCAPE button.
