Online Media Accessibility 101: What Service Coordinators Need To Know! AHEAD Conference Sacramento, CA July 16, 2014

Who is Speaking Today? T.J. DiGrazia, MBA Manager/Owner: PostCAP, LLC Director of Operations: Alternative Communication Services, LLC Director of Operations: EduCAPTION, LLC

Learning Objectives Post-Production Basics Define Accuracy Turnaround Time Expectations Pricing Factors/Models Selecting a Provider

Let’s Define Post-Production Captioning! Online Media Files: YouTube, QuickTime, Adobe, Blackboard Collaborate, etc. DVDs Audio Files: MP3 Language Translation: Spanish, French, Chinese, etc.

Post-Production Terms Open Captioning Closed Captioning Time Code Transcript Subtitles Roll-on Pop-up Copyright

General Workflow

Accuracy Rate What’s the ideal accuracy rate required to meet the accessibility needs of my students? Accuracy = Time = Cost Perfection: 100% ($$$) - GOAL Edited (2x): 99% ($$) - Minimal Errors Roughly-Edited: 98% ($) - Target Accuracy For Real-Time Captioning

Example Error Rates Accuracy can be calculated by the number of errors and/or omitted words divided by the total number of words in the transcript. - Example: 30-minute newscast minus breaks/commercials contains approximately 3,500 words. 100% - 0 Errors 99% - 35 Errors 98% - 70 Errors

Turnaround Time Each project has a set of variables and should be reviewed closely to determine a realistic turnaround time. Factors: student needs, length of project, audio quality Average Turnaround: 3 days Rush Turnaround: 24-hours or less Economy Turnaround: 10-days or more Providing advanced notice or planning ahead may translate into additional savings.

Pricing Factors/Models Per Minute Pricing: Industry Standard Remember: Accuracy = Time = Cost Higher Accuracy % = Increased Cost Lower Accuracy % = Lower Cost Shorter Turnaround Time = Increased Cost Longer Turnaround Time = Decreased Cost

Other Pricing Factors Type of Service: DVD ($$) > Online Video ($) Audio Quality Accents Subject Matter: Technical vs. Non-Technical Multiple File Formats

Selecting A Provider Billing minimums per file (example: 15-minute minimum). Defined per minute pricing upfront. Final product: captioning file vs. captioned video FTP File Exchange: how will videos be uploaded/downloaded? Request agency to complete a “test” file.

Questions To Ask Yourself What’s our internal policy (if any) on captioning online videos or DVDS? Are we going to handle post-production captioning internally or use an agency? Are videos/communications on our website captioned? What are my post-production captioning needs throughout the school year? Can I plan ahead? Do faculty members know where to go if they need a video captioned?
