The impact of email downtime can be felt in lower employee productivity and lost revenue. Email downtime can even pose an increased security risk as users resort to managing business emails through personal email accounts during email outages. And with 30% of organizations experiencing email outages that last 30 min or more per month, the costs of downtime begin to add up. Common approaches to email availability Clustering High Cost $$$ Replication Let’s discuss some approaches to email availability – all have different structures, benefits, and costs - and in fact can be used together to contribute greatly towards maintaining email availability. Tape Backup Can be used to restore the system in the event of a catastrophic failure and is low cost. Tape is widely used as a form of backup, common part of disaster recovery strategy. However, it cannot be relied upon as a means to high email availability as it does not provide email continuity during an outage, takes a significant amount of time to restore (as much as 72 hrs) and companies are likely to experience some type of data loss gap during outage. Replication and Clustering These approaches involve a second complete email system that provide a “hot standby” or mirror your primary system, and can be quickly activated in the event of an outage. They can be expensive, and are not immune to database corruption, Active Directory problems, viruses, or malware that are replicated to the secondary. Email Continuity Service Email continuity services offer a backup email system that is synchronized with your primary email. An email continuity service activates automatically in the event of an outage in your primary system. The service is hosted at an off-site location so if you have an unplanned outage at your physical site, email will be available when it is activated. This type of service does not replace, but complements traditional recovery and backup options to provide a highly available solution to email. User experience – Email server not available When the mail server is no longer available and the user is not receiving email in their regular Inbox, they click on the Email Continuity folder within Outlook and access the continuity mailbox. New email will be delivered here and users can send, reply and forward. As noted previously, they also have access to the last 90 days’ emails.
