Writing Cover Letters

What is a Cover letter? It is an introductory letter that is generally submitted with a resume or CV (this stands for curriculum vitae, which is a longer and more detailed version of a resume) when applying for a job, volunteer position, university or specialized academic program, and so on.

Why is a Cover Letter important? A cover letter provides the reader – a potential employer, for example - with an introduction to you, and also allows you to “personalize” your application for their organization. While you may distribute the same resume during your job search, cover letters should be addressed to a specific person or organization. Your communication skills are on display in a cover letter – it should be written formally but with enthusiasm!

The Purpose of a Cover Letter To explain why you are sending a resume To convince the reader to look at your resume To present the match between you and the position for which you are applying. Show how you are unique in your ability to add value to the organization.

Formatting Hints for your Cover Letter The quality of your cover letter will determine the employer’s first impression of you. Here are some general guidelines to help you design your cover letter: A cover letter has to be typed and easy to read Use a business letter format Keep the letter to ONE page only, using the same paper and font as your resume Address the letter to a specific individual (this may involve some research on the company website or even a phone call) including correct title and organization

Formatting Hints for your Cover Letter (continued) Highlight skills and abilities that are relevant to the type of position you are seeking: go beyond a mere restatement of your resume Tailor the letter to the specific position and organization Focus on the needs of the employer and how you can fulfil them Be positive in context, tone, and word choice

Formatting Hints for your Cover Letter (continued) Include a closing statement that expresses your positive intentions on being interviewed, hearing from that individual, and/or taking the next step. This statement brings closure to the letter. Sign your name in ink and type it in full SPELL CHECK and PROOFREAD your letter
