IUPUI P&T Guidelines Dossier Format presented by Christy Cole

IUPUI Guidelines for Preparing and Reviewing Promotion and Tenure Dossiers http://academicaffairs.iupui.edu/PromotionTenure/IUPUI-Guidelines

SECTIONS All dossiers for faculty and librarians should be divided into the following sections: 01. Transaction Forms * 02. Review Level Two (Unit/School) 03. Review Level One (Primary/Department) 04. External Assessments 05. Reference Letters 06. Candidate’s statement 07. Teaching (For Librarians: Performance) 08. Research and Creative Activity (For Librarians: Professional Development) 09. Professional and University Service (For Librarians: Service) 10. Assessment/Curriculum Vitae* 11. Appendices Sections 01-05 are mainly the responsibility of the Primary/Department and/or Unit/School. Sections 06-11 are mainly the responsibility of the Candidate. *Exceptions: Sections 01 and 10.

SECTION 01* Transaction Forms Candidates should fill out the top portion of the Completed Checklist (see Appendices). Candidates should fill out the top portion of the Routing and Action Form (see Appendices) and sign it. If it is a hard copy, then the school coordinator will need to scan and add to the electronic portfolio before transmitting to FAA. Make sure each level of review adds their notations to the bottom of the Routing and Action Form.

SECTIONS 02 through 05 These sections are: not prepared by the candidate. added to the dossier after the candidate turns in their portion. administrative sections added by the dean and/or chair levels.

SECTION 02 Review Level Two (Unit/School) Contains the Dean’s Letter and the School’s P&T Committee Letter May contain reconsideration documents

SECTION 03 Review Level One (Primary/Department) Contains the Chair’s Letter and the Department’s P&T Committee Letter If core school, then the Executive Associate Dean for the IUPUI campus assumes the “chair” role in the process May contain reconsideration documents

SECTION 04 External Assessments Contains: Sample of external assessment solicitation letter External Referee List External Referee Forms* External Referee Letters* *Please note that the forms and letters should be in the same order they are listed on Referee list. For example: Form A, Letter A, Form B, Letter B, Form C, Letter C, etc.

SECTION 05 Reference Letters Not every candidate will have items in this section Contains letters solicited on behalf of the candidate by an administrator (or sent directly to administrator from letter writer) Letters obtained by the candidate or given to the candidate should be placed in the section of the dossier they support (teaching, research/creative activity or service)

SECTIONS 06 through 11 These sections are: prepared by the candidate. added to the dossier before the candidate turns it in to be reviewed. Sections 06 through 09 are limited to 50 pages total. We expect this to be checked BEFORE it is reviewed at any level so it can be returned to the candidate for correction if the total exceeds the 50-page limit.

SECTIONS 07 through 09 These are sections on Teaching, Research/Creative Activity and Service. All three sections should include documentation to support your candidate’s statement. The section you designate as your area of excellence may also include a 2-page narrative analyzing the area. Information on documentation and evidence can be in the dossier format section of the guidelines and in the appendix charts. Use the appendix charts on documenting as a way to structure your documentation for teaching, research/creative activity or service

SECTION 10* Assessment/Curriculum Vita Candidates should provide a copy of their current curriculum vita prepared in accord with the standard format. Another resource is the Curriculum Vita Format presentation posted at http://academicaffairs.iupui.edu/PromotionTenure/Online-Foundational-Programs. *An assessment of dissemination outlets will be added to this section after the candidate turns in their portion. It varies from one school to another as to which administrator is responsible though typically it is prepared by the department chair.

SECTION 11 Appendices As determined by candidate and department/unit Do NOT forward hard copies of this section to the campus level unless specifically requested. If candidates wish to make their appendices electronic, it may be included in the PDF Portfolio; however this is not required.

ELECTRONIC FILES The campus level will ONLY accept electronic copies of the dossiers. It’s up to your school coordinator how candidates will present and transmit their sections of the dossier. However: electronic files should be searchable PDFs. electronic files should be labeled with the Candidate’s Last Name, the dossier section number and section title, for example: Smith 01 – Transaction Forms Smith 02 – Review Level Two Smith 03 – Review Level One Smith 04 – External Assessments (etc.)
