End of the Year Move-Out Process and Procedures Office of Residence Life Community Leader

Check Out Procedure  All students must check out of their room: a) within 24-hours of your last final b) by Thursday, May 9 th at NOON Whichever time comes FIRST is the time your must be fully checked out. Failure to complete the above and following check-out procedures may result in a $50 improper check-out fee.

FIRST!  Each resident must schedule a checkout time with your Community Leader  If they are unavailable to check you out at a convenient time, ask your CL if someone else can check you out.  CLs will post a schedule of available times on their doors/windows/or in a convenient place in the hall.  Please schedule this time with your CL at least 24 hours in advance!

SECOND  TIMING IS EVERYTHING  All residents must be checked out of the halls by Noon, Thursday May 9 th.  You MUST be checked out of the halls either a) 24 hours after your last exam or b) by Noon on Thursday, May 9 th.- Whichever time comes FIRST is your deadline.  Seniors graduating have until Noon on Sunday, May 12 th.  Seniors must complete the Application for Late Check-Out and turn it in to Residence Life by May 1, 2013.

THIRD  You must remove all personal items from your room prior to your scheduled check out time.  This includes but is not limited to:  Posters and all wall coverings  Computers/Electronics  That bear skin  Your fridge that hopefully you defrosted before putting it in your car  Your clothes  Your books  Your movies  Your couch  And everything else! Your room must be in original condition before your check out- this includes furniture placed back to its original spot and the room must be CLEAN.

Fourth  Furniture must be put back the way it was when you entered the room  Beds must be de-lofted & put back to the original position (2 notches from the top)  All dressers/shelves should be unstacked  Albatross and Polaris residents should return all furniture to the same or better condition as move-in

FIFTH  CLEAN YOUR ROOM  Get rid of all trash and dust and anything else you left festering over time  This includes your bathroom, balcony, and suite area.  ALL residents of a room/suite will be responsible for the condition of the bathroom (and common area for those in Atlantic & Pacific halls).

SIXTH  The CL will be posting a check list on your doors or windows.  Keep the Check List posted where the CL can see it.  When you check out, you will sign the sheet and date it.  This checklist MUST be signed and stay posted on your door. Failure to do so may result in a $50 improper check out fee.

At the time of your check out.  You and your CL will review your condition report and walk through your room/suite together.  If you have not followed the previous steps listed or if any severe damage has occurred in your room you may be delayed and asked to finish cleaning or risk fines.  CLs do not assess fines. They will, however, alert students to items that may result in a fine. The professional staff will do a final walk through and assess fines as they see fit. If you know that you were responsible for any specific damage in your room or suite, please notify your CL. Otherwise, the bill will be divided amongst the residents assigned to that room.

Keys  You MUST turn in your hard key at the end of your check out with a CL.  Failure to turn in your key will result in a $75 lost key fee.  Once you leave the campus and have checked out, the key is considered lost- we will not accept mail ins or returns. Exceptions will NOT be made.  For residents who apply for Late Check Out- turn in your key to the front desk PRIOR to leaving campus, and once you have moved all of your materials out of your room.

Like going fast? Express checkout maybe the right choice for you.  PROS  Once you have completed everything on the “Check-Out” list, you can leave without scheduling a time to walkthrough with your CL.  More flexibility with your schedule.  You can now leave whenever you want (within 24 hours of your last final or before Thursday, May 9 at Noon – whichever comes first)  CONS  Both roommates (and all suitemates in Atlantic & Pacific) must apply for this option.  You waive your right to dispute any charges for damages found in your room.  You waive your right to have your CL walkthrough and warn you about any potential damages that may be charged. If you would like to sign up for Express Check Out, you must apply by May 1, (applications can be found with your CL and the Res Life Office)

For those NOT returning next year  Please make sure submit your request for your Housing Deposit Refund to the Office of Residence Life.  Your deposit refund request must be made in writing and submitted to a staff member.

Need an exception to a rule?  Apply for a late check-out with Residence Life.  Late check out forms are located at the front desk of Residence Life.  There is a per-day late check-out fee.  All exceptions can ONLY be approved by Residence Life.  Failure to seek approval for exceptions prior to Wednesday, May 1, may result in an improper check- out fine of $50.
