System Generated s to all applicants that have started but have not accessed their application recently  Generated 30, 60, 90 days since the last time the application was accessed  Tells them They have not complete their application They must complete and submit by 31 Jan in order to be considered Contact their Coordinator if they have questions to all applicants who have started but have not submitted their application  Generated 30 and 10 days prior to website closing  Tells them They have not complete their application They must complete and submit by 31 Jan in order to be considered Contact Coordinator if they have questions

“Select scores” are set and then decreased throughout the year  Many students go into “Pending Decision” status for multiple boards When website closes (31 Jan):  First “non-selects” announced  No additional/update info is accepted Applicants are kept informed through the website   At Recruiter Level for Processing  At NRC level for Processing  At NSTC, for Processing  At NSTC, Board Ready Application is being reviewed by the board but no decision has been made. Scholarship Selection Notification Process

Placement  Each NROTC Unit has a scholarship cap Navy & Marine In-state and Out-of-State  Initial placement is done by OD based on: Individual’s preferences Quotas available.  First Choice school is not guaranteed!!!  If a unit is full – can be placed on the wait list. Need written request from applicant Limited to 3 wait lists Wait list is limited to 25  If applicant has a placement issue they must contact NSTC placement office: 

Medical Once selected, DODMERB is notified that applicant needs a physical  DODMERB notifies Concorde  Concorde contacts applicant and schedules physical DODMERB may PQ or NPQ  If NPQ, BUMED may recommend waiver If CNSTC approves waiver – good to go If CNSTC disapproves waiver – end of the line Once PQ, must notify Unit if medical condition changes If not PQ by start of semester  Will have to pay tuition up front but may be reimbursed if eventually PQ. Useful websites:  

Advice for applicants Be thorough and complete in application – Answer both questions Project activities for senior year Provide details of activities not listed in application Apply to all college choices (5) – Be realistic in school choices Do not wait for selection decision to apply to colleges Ensure contact information is correct and current Issues considered by the Board: – Character – Leadership – Athletics Physical fitness – Academics – Service

Advice for the Officer Interview Interview is EXTREMELY important in selection process MAKE A RECOMMENDATION! Conduct in person if possible Do not repeat application information  Enhance application with additional information obtained during interview Marks should be justified by words Check for cut and paste errors

OBTWs Know who your Interviewers are and that they know what they are doing  Use NROTC Unit personnel if possible Nurse Option is not a path to be a Doctor. Navy Option can be a Doctor but it’s a very, very small number that are asked to go. No update material accepted after website closes (31 Jan) unless requested by CNSB via our CGO. Requests to change Program Option must be received a week before website closes. Don’t hold packages, process as soon as you can.

OBTWs Must process all qualified applicants who “hit” submit before website closes.  If not, make sure you can document why not.  Refer non-qualified applicants to CGO office to discuss other scholarship/commissioning options Update the contact roster on the website College credits/transcripts.  For those students currently in college, credits count and transcripts are required for: Up through the Spring term for those submitting after May. Up through Summer term for those submitting after August. Up through the Fall term for those submitting during January.

OBTWs Applicant’s name must appear on the SAT/ACT score sheet  Name can not be handwritten. Transcripts must be dated and signed or have the school seal Questions on SOU and Debarment forms must have applicants hand written initials not typed or “X’s”. Ensure Recruiter contact info is correct on the application check sheet Copies –if you can’t read it or are having a hard time reading it, don’t send it.  The Board Members won’t be able to read it and will ask for better copies causing a delay in the selection decision

OBTWs Officer Interviews:  An SNSI/NSI can do the Officer Interview OR the Other Teacher evaluation but they cannot do both.  SNSI/NSIs are not Math teachers or Counselor so they can't do those evaluations.  If parents are military; can’t do the Officer Interview Teacher Evals:  A "regular" teacher can do a Teacher evaluation AND (if dual-hatted) do the Counselor evaluation.  Home-Schoolers: Mom and Dad can only do one each, someone outside the family has to do one of the three: Math-Mom, Other-3 rd person, Counselor-Dad Math-Mom, Other-Dad, Counselor-3 rd person

OBTWs Physical status is updated on the NROTC website daily via a link from the DODMERB website. So we see the same status you or the applicant sees. If an applicant contacts you and ask about the status of their physical, ask them if they have logged on these websites to check their status.   If not, tell them to check there first. If they have checked and they have been in the "pending waiver" status for about 3 months, then have them send an to:   Stating that they have been waiting for a waiver determination for 3 months and want to know what the delay is. We’ll find out what’s happening and respond to that .

OBTWs Ensure correct graduation date is entered on the checklist If an application is missing something we’ll notify you  App flagged in the system with note regarding missing info  If we get the correction, we’ll continue to process application  If we don’t hear back from you, we’ll return the electronic portion of the application to NRC You lose credit for that application Know who the NROTC POC’s are in your area?  They want to do the Interviews Know who the NJROTC POC’s are in your area?  Area Manager  SNSI/NSI

Who do I contact? CNRC LCDR Pederson ( )  Stacking Report  Quotas/goals  Move app from one NRD to another NETPDTC (Carol Heckert or Scott Martin)  Flag colors  System issues  Un-submit O/Is & teacher evals “NROTC website/admin Issue” in the subject line

Who do I contact? OD2  Before application is submitted Candidate Guidance Office: NAV.ROTC, Option 3, Ext 0,1,2 or 3  After submitted but before selected Updates/changes, requests to withdraw or change program Selection Office:(850) /9393

Who do I contact? OD2  After selected Questions about placement or a school change request Placement Office /9380  Medical or Nurse questions Medical Office

Don’t, Don’t, Do Not… Let an applicant ship to RTC prior to a decision being made on application  Needs to withdraw in writing Let your phone roster go stale  Ensure voice mails are set up Have unprocessed applications after 7 Mar without a good (defendable) reason Make promises you can’t keep  Specific board  Placement Present “The Big Check” without verifying:  Accepted the scholarship  Admitted to school  Physically Qualified
