Recruitment Plan Overview To earn Chapter Excellence credit: To receive full credit in Chapter Excellence, you must submit this plan and your chapter’s wish list. The instructions below must be followed to earn full credit in Chapter Excellence. Notes: If your chapter is not planning to extend bids this semester, you only need to complete slides 1 and 6. Delete the others and submit. If you have any questions or need help, please contact your Membership Manager or Step 1: Upload Your document on the Phi Sigma Sigma secure website to your chapter’s Resource Library in the Recruitment file folder - Spring Recruitment Plan subfolder or Fall Recruitment Plan subfolder. Recruitment Plan Overview Tips: Work together with your day chairs on creating the best look book for your chapter to ensure the best success. Be creative! Add pictures as needed throughout the document. If you feel any slide needs some additional descriptions, make sure to add that in the notes section! Design Choose a design Feel free to use this template or change it. Create a cover slide It should be a fun page that clearly states the semester in which recruitment will occur (for example – Fall 2013). Make this page interesting to chapter members!

Personal Message/Welcome Note This slide is a great place for the Recruitment Chair to write a note to the chapter. Talk about how excited you are for recruitment, thank everyone for all their help, and get the chapter excited for recruitment. This should be a message that motivates the chapter for recruitment and stresses how vital recruitment is to the success of the chapter.

Recruitment 101 Include basic information about your upcoming recruitment. Recruitment chair’s name: Recruitment advisor or CKA’s name: Indicate the type of recruitment the chapter will participate in this semester: _____Fully structured_____Partially structured _____Minimally structured_____Continuous recruitment _____No recruitment this semester (Reason: ________________________) Is your recruitment “frills” or “no frills”? How many women are on the recruitment committee? How many women are on the chapter’s wish list? Note: If your chapter is not eligible to recruit members this semester, indicate the reason. Quick Tip: You must upload your wish list to earn CE credit

Recruitment Goals Recruitment Strengths List the areas in which your chapter excels. Recruitment Areas for Improvement List the areas in which your chapter has room for improvement. Recruitment Goals How many women can you take as a chapter? What events will you hold on campus to help with our campus PR? Quick Tip: Survey the chapter about strengths & weaknesses

Membership Eligibility Standards Use this slide to list your chapter’s membership eligibility standards. Your chapter sends a clear message about your values through your eligibility requirements. At a minimum, each new member and initiate must meet the following international membership eligibility standards to be a Phi Sigma Sigma: – Minimum GPA of 2.3 (on a 4.0 scale, or its equivalent) – Participation in at least two (2) other activities Eligibility standards can include character, academics, leadership, financial responsibility, athletics, service, campus activities, employment, etc. Eligibility standards must be clear and specific. Challenge your chapter to accept standards that increase the membership, not maintain or lower it. All members must know the standards, which are a reflection of the chapter and Phi Sigma Sigma’s core values. Remember that these standards must be approved by the chapter before recruitment begins.

Sister Expectations This slide is for the recruitment chair to tell the chapter what is expected from each member of the sorority. State important policies (such as attendance). How many women can we take as a chapter? What events will we hold on campus to help with our campus PR?

Recruitment Retreat(s) Include information members need to know about each of the chapter’s recruitment retreats. List the basics (date, time, location, what to bring). Note: You must upload any handouts to be used at the retreat(s) for the CE expert to review. Quick Tip: Include one set of retreat slides for each retreat held

Create a slide for each day of the retreat for the day-to-day agenda. The agenda should be broken down by time and activities. Recruitment Retreat Agenda

Recruitment Committee Include the MRC, days chairs (identified by recruitment round/event), any other committee members, and the recruitment advisor (or CKA). Quick Tip: Use a chart

Bump Groups Does your chapter utilize bump groups during recruitment rounds? IF SO, include the break down of bump groups. The earlier that chapter members know who is in their bump group, the better chemistry those bump groups will have. Do activities throughout the retreat that puts the bump group members together so they can get to know each other better. – Include strong, average and weaker recruiters in each bump group so that there is always a good balance! Indicate who will be the bump captain for each group (ideally, each committee member is a bump group captain). Quick Tip: Use a chart

Chapter Voting This is where the chapter receives information on how the chapter will be voting on all potential new members. Voting should be broken down by each individual round If you are a campus that uses RFM, make sure that you talk about the numbers that you will receive and Phi Sigma Sigma’s policy to follow all carry figures Quick Tip: Check the Resource Library for voting structure resources

Party/Event Details Conversation Guide These slides should tell the entire chapter what types of conversations should be happening during each round. Be sure to also include the topics that should not be covered Quick Tip: Create at least one slide per round

Party/Event Details Schedule and Clothing These slides should outline all of the details for every round/event. Include pictures of what you want so there is no confusion. – Include information on tops, bottoms, shoes, hair, make-up and accessories/jewelry. These slides should tell the chapter the schedule and locations of parties for each day. – Make sure to include set-up time, sister arrival time, theme/round name (Info Night, Preference Night, etc.). Day Chairs should also be named on each page. Quick Tip: Create at least one slide per round

Party/Event Details Decorations and Other Info This is where you detail how the room will be set up. Who is setting up and who is cleaning up each round? – What time does the set up team have to arrive? – What time does the clean up team start breakdown? How will the round work? – Will there be brag tables? – Will there be a craft, video, etc? What decorations will be used? – Include pictures of items that will be displayed. It’s okay if the pictures are slightly off from the final plan. Make this as visual as possible. What food will be served? – Include pictures of what you will be serving. – How will food be served (ex., food table, sisters assigned as servers, etc.)? Quick Tip: Create at least one slide per round

Party/Event Details Entertainment Will you show any media during recruitment? – What will you show (ex., slideshow, movie)? – What type(s) of equipment will you need? What songs will the chapter sing when PNMs enter and leave each round? Who will be speaking at Preference? – Request a copy of all speeches prior to Preference to ensure that all are appropriate and meet time requirements. What songs will we be singing at Preference? – If you are using a Preference Choir (having only a select few strong singers featured during preference), please make sure to list the names of the sisters that will be singing. Quick Tip: Create at least one slide per round

Bid Day Details Conversation Guide This slide should include what types of conversations you want members to have with new members on bid day. Be sure to also include the topics that should not be covered
