Flu Vaccines RPMS Immunization Package New codes will be inactive in the Vaccine Table – Sites must activate them to use them CVX code 111 – Flu-LAIV3 will be inactive – This is the trivalent LAIV (FluMist®) vaccine - will not be available this year Forecasting – Same as last year – begins August 1 st, ends March 31 st – 2 dose algorithm for children < 9 years included

Bug in Patch 5 – Temporary Fix Issue: Disappearing vaccine histories for some adults in the EHR. Solution: Because patch 5 contains critical information for patient care related to influenza, sites should install this patch. To address the problem identified above, sites should either : – DISABLE the High Risk Factor Check in the Imm Managers' menu/ESP, parameter #18, or – Keep High Risk Factor Check ENABLED but remove SMOKERS.

Forecasting (Clinical Decision Support) Site Parameters #8, #9, #11 and #18 deal with forecasting Parameter #8: Minimum vs. recommended – Default should be recommended. If Minimum is selected, system will forecast ALL vaccines at the minimum age rather than the recommended age Minimum age – Pros: if have many children who fall behind or miss well child visits, can provide more opportunities to vaccinate – Cons: Can be confusing for providers Parameter #9 -Forecasting options – All options conform to ACIP recommendations – All options forecast influenza, Tdap and Pneumo for adults – All options forecast Tdap, MCV4 and HPV for year olds – Option to forecast HPV in adults females (19-26 yrs) and males (19-21 yrs)

* SELECT FORECASTING OPTIONS * Versions 1, 3, 5, 6, 7 and 11 forecast the first vaccines series at 6 wks; the others beginning at 2 mths. All versions forecast Rotavirus at 2 (6 wks), 4, and 6 mths, and Influenza between Aug 15 and March 14 for infants 6 months-18 years (or all ages). Options 3,4 & 6 forecast Hep A starting at 12 months, while options 1,2,5 and 11 forecast Hep A at 15 months. Option 11 does not forecast Hep A or Hep B in persons over 18 years, regardless of prior doses. All options forecast Tdap, MCV4, and HPV for adolescents per ACIP recs (HPV doses 2 and 3 forecast only in males who receive dose 1). Using the SubLot field Use if you have: 2 lots of vaccine that you need to track separately because they are different sources, e.g. – VFC and facility purchased flu vaccine – IHS clinic and Tribal PHN program Satellite facilities sharing same RPMS database – Decide how to distinguish different facilities, and put in Sublot field Information in Sublot field is appended with * to the lot # – *VFC – *CHEM

Use of “Facility” field Use with caution! If you enter a facility in the Facility field, then only users logged in under that facility can see that Lot# Useful if you have satellite clinics that share the same RPMS database but receive/manage their own vaccine inventory

Wrong Vaccine Help! I entered the lot number but picked the wrong vaccine – I put Hep B ADLT instead of Hep B Ped. I can’t change the vaccine type in the lot table, and the system won’t let me enter a duplicate lot number! What do I do????? In Lot Table, choose “E” to Edit Lot #. Change the lot# by adding a “z” in the front of the lot # – Warning re: changing lot# will pop up Change Status to Inactive You can now re-renter the lot#, and pick the correct vaccine

But wait! There’s more! We have some patients who had received this lot#, and now their records say they got Hep B Adlt when really it was Hep B Ped. What do we do? Go to Lists and Letters in the Patient Menu Change the following parameters: – Age group (e.g. 0 – 100 years) – Patient group – include Active AND Inactive – Lot # - enter the lot # WITH THE Z IN FRONT OF IT This will give you a list of patients who received the lot associated with the wrong vaccine – You can then choose “E” to edit each patient in that list – go into the patient record and edit the immunization visit to change the vaccine type and change the correct lot# (without the Z).

Forecasting Generally you should NOT turn off forecasting for a vaccine in the vaccine table Does not turn off the forecasting for just the one vaccine Individual vaccines are part of a vaccine group Turning off the forecasting for a vaccine actually turns off forecasting for that entire group of vaccines – Example: if you turn off forecasting for ActHib, you are actually turning off the forecasting for ALL Hib vaccines – If you turn off forecasting for PCV13, you turn off all Pneumo vaccines (including PPSV23)

Vaccine Eligibility Codes Vaccine eligibility is collected in the Patient record for each dose of vaccine administered Previous vaccine eligibility codes were limited to codes for Vaccines for Children eligibility Some states (OR!)are now requiring collection of eligibility status for non-VFC vaccines New vaccine eligibility codes have been added for each state. Can be renamed for local use. – E.g. state provides Tdap vaccine for uninsured adults Non-VFC vaccine eligibility codes are currently only available in the roll and scroll environment, not in EHR
