Fine-Tuning Tasks Lesson 11

Skills Matrix SkillsMatrix Skill Manage task constraints and dependencies Explore the effects of constraints and dependencies on task scheduling Set deadline datesSet a deadline date for a task Establish task priorities

Software Orientation Task Name Specifies whether you want subtasks rolled up to the summary task bar Can range from 0–100 Hides the task bar when viewing the Gantt Chart or Calendar views Task Duration Check here if Duration is estimated Task Priority can range from 1–1000, default is 500 Project’s Task Information Dialog Box—General Tab

Manage Constraints and Dependencies Make sure you are in the Gantt Chart view Review the start-to-finish dependency between tasks 3 and 4 Explore Effects of Constraints and Dependencies on Task Scheduling

Manage Constraints and Dependencies Start-to-finish dependency between tasks 3 and 4 Explore Effects of Constraints and Dependencies on Scheduling (cont.)

Manage Constraints and Dependencies Click the Task Information button Select the name of task 4 Click the Advanced tab Click OK Explore Effects of Constraints and Dependencies on Scheduling (cont.)

Manage Constraints and Dependencies In the Constraint date box, key January 10, 2008 In the Constraint type box, select Start No Later Than Click OK Explore Effects of Constraints and Dependencies on Scheduling (cont.)

Manage Constraints and Dependencies The Planning Wizard appears Explore Effects of Constraints and Dependencies on Scheduling (cont.)

Click OK Manage Constraints and Dependencies Under You can, click Continue. A Start No Later Than constraint will be set. Explore Effects of Constraints and Dependencies on Scheduling (cont.)

Manage Constraints and Dependencies Click Continue. Allow the scheduling conflict. A second alert appears Click OK Explore Effects of Constraints and Dependencies on Scheduling (cont.)

Manage Constraints and Dependencies SNLT constraint applied Task rescheduled to start on Thursday, January 10 Explore Effects of Constraints and Dependencies on Scheduling (cont.)

Manage Constraints and Dependencies Click Options Click Tools Click the Schedule tab Clear the Tasks will always honor their constraint dates box Click OK Explore Effects of Constraints and Dependencies on Scheduling (cont.)

Manage Constraints and Dependencies Rest the mouse pointer on the calendar alert icon in the Indicators column A ScreenTip appears Explore Effects of Constraints and Dependencies on Scheduling (cont.)

Manage Constraints and Dependencies Calendar alert icon and Screen Tip notify you that Project will honor task relationship over constraint Starting date is reset to original starting date Explore Effects of Constraints and Dependencies on Scheduling (cont.)

Manage Constraints and Dependencies Click Options Click Tools Click the Schedule tab Click the Tasks will always honor their constraint dates box Click OK Explore Effects of Constraints and Dependencies on Scheduling (cont.)

Manage Constraints and Dependencies There are four possible types of task relationships  Finish-to-Start (FS)  Start-to-Start (SS)  Finish-to-Finish (FF)  Start-to-Finish (SF) Explore Effects of Constraints and Dependencies on Scheduling (cont.)

Manage Constraints and Dependencies There are three different types of constraints  Flexible constraints  Semi-flexible constraints  Inflexible constraints Explore Effects of Constraints and Dependencies on Scheduling (cont.)

Manage Constraints and Dependencies Flexible constraints  As Soon As Possible (ASAP)  As Late As Possible (ALAP) Explore Effects of Constraints and Dependencies on Scheduling (cont.)

Manage Constraints and Dependencies Semi-flexible constraints  Start No Earlier Than (SNET)  Start No Later Than (SNLT)  Finish No Earlier Than (FNET)  Finish No Later Than (FNLT) Explore Effects of Constraints and Dependencies on Scheduling (cont.)

Manage Constraints and Dependencies Inflexible constraints  Must Start On (MSO)  Must Finish On (MFO) Explore Effects of Constraints and Dependencies on Scheduling (cont.)

Manage Constraints and Dependencies Usually use both constraints and dependencies within the same project When possible, use task dependencies and avoid semi-flexible or inflexible constraints Project always honors constraint dates over task dependencies Explore Effects of Constraints and Dependencies on Scheduling (cont.)

Manage Constraints and Dependencies It is recommended to use the default behavior of honoring constraint dates Always set task relationships first, then apply constraints only when necessary Remember that constraints you apply affect the overall schedule, not just the task to which you have applied the constraint Explore Effects of Constraints and Dependencies on Scheduling (cont.)

Setting Deadline Dates Click Go To Click Edit Key 26 Set a Deadline Date for a Task Click OK

Setting Deadline Dates Click the Set deadlines and constraints link Click Tasks on the Project Guide Key 4/30/08 in the date box under Set a deadline Set a Deadline Date for a Task (cont.)

Setting Deadline Dates Deadline marker assigned to task 26 Set a Deadline Date for a Task (cont.)

Setting Deadline Dates Click the Done link in the Deadlines and Constraints pane Select the name of task 27 Key 6/23/08 in the date box under Set a deadline Set a Deadline Date for a Task (cont.)

Setting Deadline Dates A common mistake of inexperienced Project users is to place semi-flexible or inflexible constraints on too many tasks These constraints greatly limit scheduling flexibility A better way is to use the default ASAP constraint and then enter a deadline for the task Set a Deadline Date for a Task (cont.)

Setting Deadline Dates Deadline — T he date value you enter for a task that indicates the latest date by which you want the task to be completed  The deadline date itself does not constrain the task Project displays a deadline marker on the Gantt chart and alerts you if the task’s finish date moves beyond the deadline Set a Deadline Date for a Task (cont.)

Establishing Task Priorities Click the Task Information button Select the name of task 6 Click the General tab Establish Task Priorities Key 1000 in the Priority box

Establishing Task Priorities Establish Task Priorities (cont.) Task priority of 1000 Click OK when finished

Establishing Task Priorities Establish Task Priorities (cont.) Resource leveling — Process of delaying a resource’s work on a task to resolve an overallocation Resource leveling might  Delay the start date of an assignment  Delay the start date of entire task  Split up the work on a task

Establishing Task Priorities Establish Task Priorities (cont.) Task priority — Numeric ranking between 1 and 1000 of a task’s importance and appropriateness for leveling Tasks with priority 0 are leveled first, so they are likely to be delayed by leveling A task with a priority of 1000 is never delayed by leveling. Use this assignment with care.
