Data Systems 3 data collecting systems:  HEQC-Online  HEQF-Online  HEQCIS Different purpose, structure, process of collecting data

HEQC-Online Purpose: Programme Accreditation Applications for Candidacy Phase and Re- accreditation (PHEIs only) Two-part application: Institutional Profile and Programme Application IP Data incl: Mission and Vision, Contact details (Institutional Administrator, Head of Institution, Sites of Delivery), Student numbers, Policy documents, CVs, MIS, Infrastructural information (libraries, computers, laboratories), Registration information – should be updated regularly

HEQC-Online (cont) Application incl: Response to questions relating to Criteria for Programme Accreditation (1-9), supporting docs, contact and distance info, postgraduate details Processing applications: submission, evaluation, AC, HEQC, Outcomes Reporting: per CESM, NQF level, HEI Data available: Programme data (July 2005 and some 2002 –), Student numbers (U/grad +P/Grad), staffing information, ‘space’ (lecture venues, libraries, laboratories), policies, outcomes and docs

HEQC-Online (cont) Currently….  590 registered users on HEQC-Online (not Public or Agric)  But 117 Registered and Accredited PHEIs  Total submitted progs : 967  Provisionally Accredited: 613  Not Accredited: 212  Not yet processed: 144 (AC Feb + April 2012) Planned that outcomes of HEQC-Online will soon articulate with the HEQF-Online

HEQF-Online Purpose: Gather data re HEQF alignment Submission of Category A, B and C programmes (All institutions) Two-part submission process: complete and upload offline excel template, edit and submit individual qual applications Two-part submission:  S1 (Existing qual info): Qual name, abbreviation, ref, NQF level, credits, duration, SAQA reqs, min admission reqs

HEQF-Online (cont)  S2 (Amended qual info): Qual name, abbreviation, ref, NQF level, credits, duration, SAQA reqs, designator, CESM, WIL credits, research credits, Professional reqs, min admission reqs, sites of delivery (PHEIs) Process: Submission, Checklisting, Evaluation, Review, Return for correction, Resubmit, HEQC Reporting: per Qual, Category, Qual Type, Subm Date, User, HEI, Outcomes (Summary, per Qual, per Inst), Total Offerings

HEQF-Online (cont) Currently…  Category A: 4529 (Nov 1297, Feb 2693, Mar 539)  Category B: 1568  Category C: 2527 Total 8624 submitted 26 PHEIs not submitted of 113 registered institutions 459 Programmes submitted in total In future will need to ensure all Category A and B quals are registered on HEQCIS

HEQCIS Purpose: Collecting student enrolment and achievement data Submission of data from PHEIs used to populate NLRD HEQCIS maintained by SAQA on behalf of CHE Three-part application / submission  Edu.Dex License  Complete Qualification Template / inform HEQCIS  Upload Student Data according to specifications

HEQCIS (cont) PHEIs = required to submit to HEQCIS biannually  15 June and 15 December CHE reports annually to DHET – which institutions have submitted during each submission cycle (as per req of NQF and HE Acts) Current cycle 16 June 2011 – 15 December 2011

HEQCIS (cont) Currently… 109 institutions are registered to use Edu.Dex 93 institutions have submitted qualification templates 76 institutions have made one full data load, whereas only 24 institutions have successfully loaded for a second time learners with qualification uptake results ( achievements enrolments) (a further were shown as de-enrolled)

HEQCIS (cont) Current cycle…(as of 19 December 2011) 32 institutions (i.e. 29% of all unique PHEIs) had successfully submitted at least one full data load learners with qualification uptake results (8 834 achievements enrolments) (a further were shown as de-enrolled).  Every time an institution loads any data to the HEQCIS, it submits its entire dataset.
