Distributing an imported HTML newsletter Prerequisites: 1. Basic HTML knowledge 2.An external HTML editor - requires external HTMTL editing program (e.g. Dreamweaver program ) for editing any external html document (e.g. ) 3.Your IT/ website advisor will know your practice needs and will advise about your needs for external editing program choices and external editing. Purpose: To use an external html document such as a newsletter (e.g. a newsletter contained in an received) for your clients via the Visual Outcomes messaging facility.

This slide show gives simple instructions on how to: – Import the external document into Visual Outcomes – Use the Visual Outcomes Messaging Wizard or Automailer to send on to your clients as bulk – In the process you will use an external editing program of your choice - assistance should be from your IT / website advisors or the external HTMTL editing program you have installed on the PC to which you are importing the external document If you require Visual Outcomes training; or if you would like Visual Outcomes to set up the distribution as a service to your practice, please us at

Open the newsletter in your agent e.g. Outlook Follow the link to view a web version of the message Visual Outcomes acknowledgement of Louise Hay website used in this slide show

Message opens as a web page in your default browser:

Select File/Save As option in the browser: Save as Web Page, complete on Desktop of your PC: (‘Dw’ dreamweaver icon as the saved external document )

Open Visual Outcomes/Navigate/Marketing/Template Manager: Select Create HTML Template: Select External Templates;

Select Import HTML: Browse to your PC Desktop, select saved newsletter and click Open:

Document will be imported. CLICK OK

Select User Templates; find name of imported document, click on it, template opens in Template Manager: #NB : A picture view of externally sourced html is not visible in Template Manager

Click on Edit button on the RHS. Select NO to use Internal HTML editor: Select YES to confirm External editing program is being used : #Visual Outcomes rule: External editor of your choice MUST be installed/ available on the PC/laptop. Example set up one PC for all practice communication work. (external editor to be associated with all HTML and HTM file types on PC, where you’re working)

Now return to the Internet browser, Select View/Page Source from main menu or via right click on web page itself :

you now need to copy page source on browser 1.Select the whole page from the web page on the Internet browser 2. Select Edit/Select All 3.Right click/Copy

The external HTML document requires direct path to display the pictures etc.. 1.Return to open your External editor program 2.Now edit/Select All in the External editor program 3.You are now replacing code with one you’ve copied from page source on browser, this will insert full path to image source – necessary step to display images: 4.Save page in external editor

Save page in External Editor, then close External Editor. 1.Return to Visual Outcomes Template Manager 2.click on Make Live button and confirm changes:

Close Template Manager. 1. Data/Refresh Entire Data Cache. 2.Now template is ready to #Visual Outcomes Rule: All bulk s sent through Automailer (avoids spam blocking via your Internet Provider)
