ODYSSEY PROPOSAL WORKSHOP September 11, 2014

Generate and Develop Your Project What do you want to do? Why do you want to do it? What do you hope to learn? Learning goals! Gather background information. Determine the most appropriate category. Select and consult with an appropriate sponsor.

Three important resources: Odyssey Program Guide (hardcopy or online) Your project sponsor The Odyssey Office

Do I Need Odyssey Funding? Importantly, can you achieve your goals without funding? Many students have done great projects without funds. A request for Odyssey credit is separate from a request for funding, and it can be submitted at any time.

Steps to Crafting a Good Proposal First paragraph-describe your project. Next pages/paragraphs-detail your methods, timeframes, learning goals, and objectives. Concluding paragraph-make the case for Odyssey credit. Explain how the category you have chosen is appropriate including how you will meet the category requirements. The Narrative: Your Chance to Shine

The Narrative Continued Category Considerations –Hours Log –Reflection Component –Presentation/Final Product –The SP Category 2-4 pages in length. Avoid overly technical language. Use the available resources: –sample proposal handouts in the Odyssey Office –checklist on the back cover of the Odyssey Program Guide.

What do we fund? Stipends for students and faculty supervisors Travel expenses (transportation, housing, food, etc.) Program and conference fees Expendable supplies Other as appropriate to your project

tuition at other colleges or universities; stipends for paid internships; durable equipment, hardware or supplies; projects by seniors which take place predominantly or exclusively after their graduation; ordinary expenses to travel abroad (passports, visas, immunizations, etc.); study abroad. $ The CEL generally does not fund:

Budgets that include student or faculty stipends must include the Hendrix share of FICA expenses (7.65% of gross salary). The recipient’s FICA expenses will be deducted from the gross salary. Example: $2, for 8 weeks $ for the Hendrix FICA $2, total stipend request Note that when all deductions are made, the actual net on a $2,400 stipend is usually around $1,900. Stipends

How Much Should I Request? There is no set amount that is too high or too low. It isn’t feasible to compare the funding needs of specific projects since they are all so individualized. You should request the funding you need to make your project possible. -Grants have ranged from a low of $85 to a high of $35,050 for a faculty- led group travel project. -About 64% of projects have received funding. They were awarded an average of 83% of the requested amount. -The per participant average for all funded projects is $1,215.77, with a low of $ and a high of $2, in certain funding cycles. -Personal Contribution

We aren’t made of money. It’s a very competitive process. The goal of the CEL is to be fair and prudent in the allocation of funding. Be sure to consider other sources of funding. Have a back-up plan if you wish to pursue your project and you don’t receive funding. Remember: Odyssey credit granted to a project is independent of funding decisions. And many great projects don’t require funding. Things to Consider:

Wednesday, October 1, 2014 Winter Break and Spring 2015 projects Monday, February 2, 2015 Summer 2015 projects NOTE: The February deadline is the most competitive of the year. Wednesday, April 1, 2015 Fall Semester 2015, Winter Break projects, qualifying summer PL experiences. Due by 5 p.m. on the day of the deadline to the Odyssey Office in SLTC 246. Note: If you are abroad, you may submit your paperwork via to Odyssey Funding Deadlines

What happens after I submit my request? 1.Proposal approved for Odyssey credit – you are sent an regarding this. 2.Paperwork is forwarded to the CEL for consideration. 3.CEL reviews all requests, deliberates and votes. 4.Funding decisions sent to the Committee on Faculty for final approval. 5.Notification letters are sent to all proposers. Allow approximately FOUR weeks for the decisions to be finalized.

The Committee on Engaged Learning makes the funding decisions. What happens if I receive funds? Sign a form agreeing to the following before any funding will be released: By accepting this Odyssey grant, I hereby acknowledge my obligation to complete the project for which this funding is awarded within ONE YEAR of the time of this acceptance or by the time of my GRADUATION from Hendrix College, whichever comes first. If I fail to participate in the project or am unable to complete the project prior to the deadline established in the preceding sentence I shall refund to Hendrix College the full amount of the grant set forth above. I acknowledge that the project is not considered complete until a Project Completion Form is submitted to and approved by the Hendrix College Odyssey Office. Sign a Waiver of Liability Form (if you receive funding for a project that involves travel). Participate in a mandatory orientation session at the end of the semester (if your project will take place overseas). Note that the Odyssey Office will try to pre-pay as many expenses as possible from your grant, but some may be on a reimbursement basis.

Finishing up… Turn in a Project Completion Form (and transcript notation form) Share your photographs to document your experience with the Odyssey Office or Communications. Share your experience with the campus: Odyssey Exemplar Presentations
