Quality Education for a Healthier Scotland Create and Archive Admin Accounts For Administration Teams (Deanery regional teams, Primary and Secondary Care)
To Create a new Admin Account Check to ensure the user is not already on SOAR – Search and spelling of surname Once assured user is NOT on SOAR: 1.Create the new user account Fill out the General Details for the new user Assign the user a dummy 7 digit GMC Number – for example AB12345 Allocate a new login name and password 2.Add the user’s role 3.Re-enter the password (to trigger an to the user)
Click on “ New User ” when logged in as administrator
Enter a dummy 7 digit GMC number Enter the new user’s name Enter the user’s address Fill out the rest of the General Details as appropriate Insert a new unique login name for the user Give the user a password Confirm the password Password must be at least 8 characters long and include a number Leave the “Security Questions” blank. The new user will add this information once logged in Click “ Save ” If the login name inserted is already in use you will be prompted to change it
When saved, a new “ Roles ” tab will appear - click on this Select the user’s Role from the drop- down menu Select the user’s Health Board from the drop-down menu Click the “ Add New Role ” button Click “ Save ” Return to the “ Details ” tab
Re-enter the password Confirm the password again Click “Save” This triggers an to the user informing them of their login details
Archiving Admin Accounts When an administrator no longer requires access to SOAR (e.g. leaves their post), their individual admin account needs to be archived. To archive an Admin Account: 1.Find the user on SOAR 2.Click on “ Roles ” tab 3.Click “ Remove ” to delete all user roles 4.Click “ Save ” 5.Click the button to change account from “ Live ” to “ Archived ” 6.Click “ Save ” again to retain changes
User Search Find user and click on their name From User Details, click on the “ Roles ” tab
First, the user’s Roles need to be removed by clicking “ Remove ” Click “ OK ” when popup box appears Click “ Save ” Account can now be archived Click “ Save ” again to store changes
