RDA FOR ACQUISITIONS & COPY CATALOGING 5/21/2013 1
Preparing for Change 5/21/ We will not try to get into the theoretical basis of RDA--but recognizing certain principles is unavoidable! Goals- Be able to recognize when a record has been cataloged using RDA rules Start becoming familiar with significant differences between AACR2 and RDA Avoid "correcting" RDA cataloging that differs from AACR2 Avoid adding AACR2 elements to in-process RDA records For those authorized, be able to complete CIP For those authorized, create RDA belletristic records and/or perform variant edition cataloging
RDA -- What Is It? 5/21/ RDA= Resource Description and Access Developed by Anglo-American national libraries and associations but usable beyond English- speakers Supersedes AACR2 cataloging rules for description and access; will affect subjects to some degree (for names, uniform titles) Intended to be more friendly to computers & users, and to be usable internationally Based on the IFLA Functional Requirements for Bibliographic Records [FRBR] and the Statement of International Cataloguing Principles
RDA Terms WEMI (Work, Expression, Manifestation, Item) Expression is used most often with translations & revised editions Manifestation (usually an edition) Preferred title (uniform title) Authorized access point (heading) Resource (what's being cataloged) Entity (person or a corporate body) Relationship designator (function of the entity used in an access point) Core (mandatory) 5/21/2013 4
RDA -- When? 5/21/ RDA was tested Oct. 1-Dec ; involved the Library of Congress and selected libraries (YUL was not one of them) Following the test period, some libraries have continued to contribute RDA records in OCLC LC testers trained in RDA resumed cataloging in RDA in Nov (including CIP cataloging) Decision by LC to implement RDA March 31, 2013 ("Day One," i.e. all staff trained in RDA by then; all new cataloging follows RDA) Yale original cataloging trained April-Dec.; RDA original cataloging is current Yale policy Day One; all new NACO records created by Yale catalogers follow RDA rules; for selected headings (Bible, Qu’ran, Dept.) most authority files (LCDB or OCLC) are updated to RDA form (computer generated); other elements of a computer updated heading may not be RDA
RDA Identifiers in MARC 5/21/ ‡e combined with Leader Cataloging Form i (NOT a)
Expectations 5/21/ All technical services staff across YUL: be able to recognize RDA records & the new MARC fields Acquisitions staff authorized to create order records: be able to use an RDA template in Orbis if no cataloging copy is available Acquisitions and Cataloging staff authorized to perform copy cataloging: avoid making "incorrect corrections" Acquisitions and Cataloging staff authorized to complete CIP: be able to update RDA CIP to full level following RDA rules Staff who use or create variant edition cataloging: be able to modify AACR2 cataloging copy to order, create or derive variant edition RDA cataloging (e.g., later editions, translations, & reproductions) "Belletristic catalogers" (catalogers authorized to update minimal- level in-process records to full level for fiction, poetry, & drama): be able to update minimal-level records to full level following RDA rules
What to Do: RDA Cataloging Copy 5/21/ Accept RDA cataloging found in OCLC as you would any other full/core level cataloging-- RDA cataloging is NOT a parallel record Caution: some of the changes resulting from the RDA rules will look like "errors" Do not try to revise RDA records to AACR2 (OCLC policy) Do not try to revise AACR2 records (Leader Cataloging Form: a) using the RDA rules (with the exception of variant editions)
RDA Principles 5/21/ Transcribe what you see Less emphasis on translating what is on the page or label, etc. into cataloging-specific conventions The record should be more comprehensible to the user (but not necessarily to the cataloger!) Avoid cataloging abbreviations unless well-known De-emphasize "catalogers talking to catalogers" Core is the new default (in practice use Encoding Level blank or I NOT 4) Maintain continuity with AACR2
NEW OCLC POLICY FOR AACR2 5/21/ Following March 31, OCLC catalogers generally can continue to contribute new records following AACR2, but catalogers will have the option to upgrade AACR2 fully cataloged records to RDA (or to add selected RDA elements to AACR2 records) LC (and YUL and most pcc libraries) will contribute all new records following RDA YUL: AACR2 OCLC full or core level cataloging copy should continue to be used; presumably this will also be applied by the LC Copy Cataloging Unit YUL: in process or minimal level records should be updated to RDA; optional: if an AACR2 LC MLC record is upgraded to full level, use cataloger judgment to decide whether to upgrade to RDA (prefer RDA if any changes to description will be minor)
TITLE STATEMENT (245) & EDITION (250) 5/21/
Transcription (General Rules) 5/21/ General transcription rules apply to MARC 245, 250, 260 [now 264], and 490 New transcription rules for RDA: Capitalization options Accounting for errors Parallel titles to record What elements to transcribe or record (or not) Some of the transcription changes may only affect one of the descriptive areas (will cover in the specific sections)
Found on the Title Page 5/21/ Harper's Dictionary of HINDUISM Its Mythology, Folklore, Philosophy, Literature, and History Margaret and James Stutley
Capitalization ‡a Harper's dictionary of Hinduism : ‡b its mythology, folklore, philosophy, literature, and history / ‡c Margaret and James Stutley. ‡a Harper's dictionary of Hinduism : ‡b its mythology, folklore, philosophy, literature, and history / ‡c Margaret and James Stutley. 5/21/ AACR2 RDA (Default)
Capitalization OPTION ‡a Harper's dictionary of Hinduism : ‡b its mythology, folklore, philosophy, literature, and history / ‡c Margaret and James Stutley. ‡a Harper's Dictionary of HINDUISM : ‡b Its Mythology, Folklore, Philosophy, Literature, and History / ‡c Margaret and James Stutley. 5/21/ AACR2 RDA (Alternative)
What to Do (Capitalization) 5/21/ If you use OCLC cataloging as the basis for creating an order record, for copy cataloging, or for fast-cat, and the record uses: AACR2/RDA capitalization: leave as is RDA optional capitalization: leave as is This applies to any catalog record found in OCLC: LC (fully cataloged), LC CIP Member copy full, core, or minimal Vendor records (EL 5 or 3) Do not attempt to "correct" the capitalization
Errors (Transcribe What You See) 5/21/ RDA: ‡a Cataloging non-prnit and internet resources / ‡c Mary Beth Weber _ ‡i Corrected title: ‡a Cataloging non-print and internet resources CAUTION: does not apply to serials AACR2: ‡a Cataloging non-prnit [i.e. non-print] and internet resources / ‡c Mary Beth Weber.
What to Do (Errors) 5/21/ Apply to procedures where the item is in hand If there appears to be a data entry error on the 245, 250, 260 [i.e. 264], or 490, verify the field against the item in hand If it is a data entry error, update to the form on the title page If the error is on the title page itself-- Determine whether the record is RDA or AACR2 Use the appropriate model on the previous slide for RDA or AACR2 corrections When in doubt, check with your supervisor!
No Media GMDs! (and What to Do) 5/21/ RDA records do not use the General Material Designator (GMD, 245 ‡h) Do not add ‡h for media to 245 in RDA records Do not remove ‡h from AACR2 records (OCLC plans to delete ‡h from all master records ca. 2015) MARC replace 245 ‡h; more about that later
Parallel Titles (Transcribe Where You See) 5/21/ RDA parallel titles do not have to be on the title page-- In addition to the title page, RDA cataloging can take the parallel title from the cover, half- title, anywhere within the book In RDA all parallel titles are transcribed; AACR2 limits to 2 parallel titles In RDA, if any parallel title is transcribed from a source other than the t.p., it is not bracketed
Parallel Title (RDA) 5/21/ Title page: Atlanterhavsveien -- forfattere Kristin Nekstad Cover: Atlanterhavsveien -- Die Atlantikstrasse -- Atlantic Ocean Road -- Route de l'Atlantique ‡a Atlanterhavsveien = ‡b Die Atlantikstrasse = Atlantic Ocean Road = Route de l'Atlantique / ‡c forfattere Kristin Nekstad. The parallel titles taken from the cover are not bracketed If more than one parallel title, current LC policy is to transcribe all
Parallel Other Titles 5/21/ If there are both parallel titles proper & parallel other titles, all of the parallel other titles are transcribed ‡a Ein Garten Eden : ‡b Meisterwerke der botanischen Illustration = Garden Eden : masterpieces of botanical illustration = Un jardin d'Eden : chefs d'oeuvre …
What to Do ( Acquisitions, Copy Cataloging) 5/21/ Determine whether the record is AACR2 or RDA If you are using the record for ordering, take it as is, since you will not be able to verify For in-process acquisitions work, or copy cataloging, where the item is in hand, verify that the title page parallel titles are transcribed correctly: Do not "correct" the RDA record by removing parallel titles not on the title page Do not spend time verifying any additional parallel titles that are on the book
What to Do (Belles Lettres, CIP) 5/21/ More likely to occur with belle lettres, but possible with CIP or variant edition cataloging If CIP, verify that the record is RDA; for belles-lettres based on minimal level member copy, change to RDA (i for ISBD; ‡e rda) if it isn't already Verify the parallel titles on the title page Check the cover and half title (page preceding the t.p.) for additional parallel titles-- especially if they are already in the CIP 245 Add any parallel titles not on the t.p. (do not bracket); remove any parallel titles not found in the book; if a parallel title is taken from the jacket, use brackets
Source(s) for SoR: Bracket or Not? 5/21/ SoR = Statement of Responsibility (245 ‡c) In 245 ‡c, SoR doesn't have to be on the title page; still required to begin with the title page, but the cataloger can take all or part of the SoR from somewhere else, as long as it's somewhere on the book; recording an SoR is mandatory even if it is not on the t.p. Title page: A New History of French Literature. Verso t.p.: Edited by Denis Hollier ‡a A New History of French Literature / ‡c Edited by Denis Hollier. No brackets to indicate that the statement of responsibility came from somewhere else on the book In 245, brackets are only used for information taken from sources outside of the book (examples: accompanying material; the jacket; the cataloger) Only the first statement of responsibility is required.
Titles, Degrees, etc. Titles, founding dates, degrees, etc., should be transcribed as they appear in the SoR (option to omit; ellipses not needed). Sections in blue are not transcribed in AACR2: 245 … / ‡c by E. Nolue Emenanjo, Executive Director, National Institute for Nigerian Languages, Ogbor Hill, Aba. 245 … / ‡c Reverend Peter M.J. Stravinskas, Ph. D., S.T.L., Editor ; Introductory Remarks by Cardinal Anthony J. Bevilacqua and Archbishop Theodore E. McCarrick. Alternative: 245 … / ‡c Reverend Peter M.J. Stravinskas, Ph. D., S.T.L., Editor. 5/21/
Examples of Titles, etc. in RDA SoRs 5/21/ / ‡c by Sir Richard Acland ; illustrated by Dame Betty Stowe. / ‡c by the late Julia Moore, M.D. / ‡c by Catherine, HRH the Duchess of Cambridge. / ‡c by Dr. Wendell Moore, Dean of Trinity College, Dublin. / ‡c by the Reverend Al Sharpton. / ‡c Skull and Bones, founded 1895.
What to Do (Member & LC Copy) 5/21/ YUL policy for fully cataloged member copy is to leave the record "as is" unless it is demonstrably wrong Expect inconsistency in RDA member copy 245 ‡c, RDA member records may have multiple SoRs-- or only one-- this is a cataloger decision RDA member records may or may not include titles, affiliations, etc.--this is a cataloger decision LC copy cataloging does not revise the description found in the record to LC practice, so some DCLC records may exclude some of the SoRs and titles, while original DCLC records will usually have all the SoR information.
What to Do (CIP) 5/21/ In 245 ‡c, the default rule is to transcribe the author/editor's titles, degrees, institutional affiliations, etc. Optionally they can be left out, but LC will generally follow the default rule in the DCLC SoRs w/the exception of LC Copy Cataloging For CIP, if there are titles, etc. in the CIP, leave them as is unless they are really not on your source For CIP, refer to your supervisor for a decision if the LC cataloger has left off titles, affiliations, etc. SoRs are not on your t.p. or in 245 ‡c, but you find an SoR elsewhere on or in the book
What to Do (Belles lettres) 5/21/ Generally record all statements of responsibility (usually there will be only one) In the same spirit, include all titles, institutional affiliations, degrees and so on if these are included in the SoR source ‡a Gertrude / ‡c by the Author of "Amy Herbert," "Laneton Parsonage," etc. ; edited by the Rev. W. Sewell, B.D., Fellow of Exeter College, Oxford.
SoR: Farewell "Rule of Three" When there are more than 3 authors: Only the 1st author listed is in 245 ‡c (‡c is always abridged) Title main entry 700 only for the 1st author 100 1_ ‡a Hughes-Hallett, Deborah ‡a Calculus : ‡b single variable / ‡c by Deborah Hughes-Hallett, Andrew M. Gleason, William G. MacCallum, and David O. Lomen. 5/21/ AACR2 (Rule of 3) RDA (No Maximum; Author Main Entry) ‡a Calculus : ‡b single variable / ‡c by Deborah Hughes- Hallett … [et al.]. First author listed is in 100 (even if more than 3); transcribe all co-authors Statement of responsibility is not limited to three authors Although not required, cataloger also has the option to make 700s for the other 3 authors. The cataloger can also be selective--just an added entry for Gleason could be made.
Alternative: Abridged SoR 5/21/ RDA has an option to abridge the SoR, but it is not considered best practice: ‡a Calculus : ‡b single variable / ‡c by Deborah Hughes-Hallett [and three others]. Cataloger can make 700s for one, two, three or none 700's for one, two, or three of the others do not need to be justified.
Editors are not Authors 5/21/ In RDA, as in AACR2, editors are not considered to be authors, so an editor will not be used as a main entry As with co-authors, justifying access points is optional ‡a The Blackwell Dictionary of Eastern Christianity / ‡c Edited by Ken Parry, David J. Melling, Dimitri Brady, Sidney H. Griffith & John F. Healey ; editorial consultant, John R. Hinnells ; foreword by Rt Rvd Kallistos Ware _ ‡a Parry, Ken _ ‡a Healey, John F.
Noun Phrases (Belletristic & Variant Edition Cataloging) 5/21/ Form of work: novel, poems, plays, essays RDA: if the relationship between the author or editor to the form of the work is explicit ["poems by …"], the entire phrase is entered in 245 ‡c If the relationship is not explicit, the form of work is generally entered in 245 ‡b If there is an explicit relationship but the form is combined with a phrase describing the content of the work, the form will generally be in 245 : ‡b Application so far has been no more consistent than AACR2 AACR2: does not make a distinction; form of work could be in either 245 ‡b or ‡c
Noun Phrase 5/21/ AACR2 ‡a Otherwise : ‡b three novels / ‡c by John Crowley. RDA ‡a Otherwise / ‡c three novels by John Crowley., but-- ‡a Otherwise : ‡b three fantasy novels / ‡c by John Crowley. AACR2 ‡a Antiquities : ‡b seven stories / ‡c John Crowley. RDA ‡a Antiquities : ‡b seven stories / ‡c John Crowley.
What to Do (Member & LC Copy) 5/21/ YUL policy for fully cataloged member copy is to leave the record "as is" unless it is demonstrably wrong, for example, Record has a mistranscribed word in 245 If RDA, the record has an inserted correction in brackets (which could affect retrieval) The following examples are relatively trivial since they don't have a significant effect in terms of identification or retrieval; ‡h will not affect OCLC loads Choice of entry: if the record is coded RDA & is not a compilation, be sure the first or primary author is in 100 even if there are more than 3 authors; otherwise, the rest is cataloger judgment Uses … [et al.] instead of [and x others] 245 ‡h Noun phrases: it is applied inconsistently anyway; consider it cataloger judgment
What to Do (CIP) 5/21/ RDA CIP: Leave the encoding level at 8 [new OCLC policy] Verify that all names on your source are transcribed, preferably with their titles, degrees, etc. Verify that any titles, degrees, etc. in the CIP match your source Verify that the author listed first is in 100 Remove all names not found on the title page from the SoR unless the names appear elsewhere in or on the book (the cover, pages before the title page; colophon page at the end); don't bracket names taken from elsewhere in or on the book If the CIP puts an editor in 100, move the editor name to 700; it's OK to insert [edited by] in 245 ‡c If the author or editor has an explicit relationship to the work on the title page or primary source, but the CIP does not, transcribe the relationship term (usually "by" or "edited by") and move the form part of the phrase from 245 ‡b to 245 ‡c
What to Do (Belletristic) 5/21/ RDA belletristic: Transcribe all names & titles from the title page Transcribe any responsible persons or bodies presented elsewhere in or on the cover (inside/outside), pages preceding the t.p., verso t.p. and the colophon Be aware of situations where the RDA application differs from the AACR2 application, e.g. first author is in 100 even if more than 3; the noun phrase
250 Edition Statements 5/21/ On title page: Second edition AACR2: 250 __ ‡a 2nd ed. RDA: 250 __ ‡a Second edition. Edition statement always ends with a period; if the statement ends with an abbreviation, do not add a second period (contra current RDA) On title page: 2nd ed. AACR2: 250 __ ‡a 2nd ed. RDA: 250 __ ‡a 2nd ed.
What to Do (250) 5/21/ Acquisitions, Copy Cataloging: leave 250 as is CIP: make sure the CIP 250 transcription matches the book Variant Edition: if using cataloging for an earlier edition, & using RDA for the new edition, remember to transcribe what you see (no cataloger supplied abbreviations) Belletristic cataloging: unlikely to be an issue, but if it ever happens, transcribe what you see

RDA Details: 264 Indicators 5/21/ RDA categories: Unpublished, Published, Distributed, Manufacture (Printing or the equivalent for other media) 264 categories are defined by the 2nd indicator: 264 _1 : Publication statement (the most common) 264 _2 : Distribution 264 _3 : Manufacture 264 _4 : Copyright date 264 _0 : Item is unpublished
MARC 264 Changes from 260 5/21/ No indicators In addition to the publication statement, includes distribution, printing, and copyright date. Distribution is recorded routinely Copyright date is given as c2013
Transcribe What You See 5/21/ RDA: transcribe publication, distribution etc. as found on the source-- no abbreviations unless they are present on the source In AACR2, publication, distribution, etc. had rules to determine what and what not to include in the statement; the larger jurisdiction was abbreviated Publisher name was given in the shortest form possible: "Knopf" if the book had the publisher as "Alfred A. Knopf" "Inc.," "Ltd" and other equivalents were generally not recorded
Place of Publication 5/21/ Place of publication. The higher jurisdiction is not supplied if not there [there is an option to supply the name in brackets], but the larger jurisdiction must be transcribed as found if present Only the first place of publication is needed Title page and verso title page. Bracketed Publication Information 5/21/ If there is no information about a publication statement element (264 _1 ‡a, ‡b, ‡c), RDA uses the phrases given in the examples: 264 _1 ‡a [Place of publication not identified] : ‡b Shoemaker Press, ‡c [date of publication not identified] 264 _1 ‡a New York : ‡b [publisher not identified], ‡c [2013?] Note that each subfield will have its own set of brackets, NOT: 264 _1 ‡a New York : ‡b [publisher not identified, ‡c 2013?]
264 _2, 264 _3 & [x … not identified] 5/21/ If the "not identified" phrase is used, and there is a distributor or printer, a 2nd or 3rd 264 field will be made: 264 _1 ‡a New York : ‡b [publisher not identified], ‡c [2013?] 264 _2 ‡a New York : ‡b Warehouse Company, ‡c If there is a "Distributed by" phrase, recording the phrase is not necessary; the indicator will generate a Distributor label in the public view For dates, if identification is supplied in brackets, additional 264s are not made: 264 _1 ‡a New York : ‡b Parker House, ‡c [2013] Do not make a 264 _2 for the distributor: 264 _2 ‡a New York : ‡b Warehouse Company, ‡c 2013.
What to Do (Acquisitions, Copy Cataloging) 5/21/ Generally accept publication statements in fully cataloged RDA records as long as they correctly identify what is being ordered, received, or cataloged On the positive side, the "transcribe what you see" rule may improve identification On the negative side, problems in identification could be caused due to RDA practices requiring only the first place & publisher or the absence of copyright date
What to Do (CIP) 5/21/ Use the guidelines to verify and edit publication statements in RDA CIP records Expect discrepancies: Different initial place of publication if more than one Incomplete publisher transcription, or the first publisher name differs Different date of publication
What to Do (Belletristic) 5/21/ Use the guidelines to update publication statements in in-process or minimal records Use 264 _1; modify 260 __ to 264 _1 "Transcribe what you see" (including errors): Verify, revise, or transcribe the first place of publication as found in the book-- not as found on the in-process record (and update 008 if necessary) Transcribe the complete publisher name (including Inc., etc.); never supply abbreviations but transcribe any abbreviations used in the book's title page Avoid "[place/date] of publication not identified]" as much as possible; for hard cases with dates, RDA may have helpful guidelines; but RDA does not have the option to use dashes to represent an unknown date span
Voyager Problems w/264 5/21/ All 264 fields display when an individual record displays, either in staff or public views Currently 264 does not display in browse displays, either in staff or public views The next update of Voyager hopefully will fix the problem
MARC 300, 1xx, 240, 7xx, 8xx Supplied (NOT Transcribed) 5/21/
Transcribed vs. Supplied 5/21/ MARC transcription fields include: 245, 250, 264, 490, and 5xx when the information is quoted or transcribed (e.g. 505) Basic principle: "Transcribe What You See" If a word is abbreviated, transcribe it as abbreviated; if a word is not abbreviated, do not abbreviate it (AACR2 required abbreviation of some transcribed terms, see edition statements) If a word or phrase is cataloger supplied (in brackets), follow RDA rules MARC fields for supplied data include: 240, 3xx, 1xx, 7xx; also, for non-quoted data: 5xx (e.g. 504 Includes bibliographical references … ) Basic principle: how you record is based on RDA rules; usually the information is supplied by the cataloger Generally, abbreviations are written out (for the benefit of the non- cataloging user) In particular, do not use Latin abbreviations

What to Do ( ) 5/21/ Acquisitions, Copy Cataloging. If the record is coded as RDA, use a local macro for books to add the 3xx fields (some libraries strip them off) Accompanying material: A 2 nd 300 and 3xxs for accompanying material are not required As long as the catalog record has a 2 nd 300, $e, or a note, leave it as is Some 3xx records will have code subfields ($b) as well as text subfields; leave them as is If accompanying material is not noted anywhere in the record, consult with your supervisor
NEW OCLC POLICY 5/21/ Beginning March 31, catalogers updating AACR2 master records will be able to: add 336, 337, 338 use the spelled out forms of abbreviations remove "[et al.]" & transcribe all authors or editors in records coded as AACR2 where the rule of 3 has been applied For these AACR2 hybrid records: Do not add "‡e rda" to 040 automatically Assume that a record without ‡e rda is AACR2 even if it contains changes listed in bullet 1 If the record is AACR2, the cataloger cannot change the choice of entry in the rule of 3 situation The AACR2 ‡h in non-print records coded as AACR2 should be retained (even if are added)
What to Do (3xx) 5/21/ Acquisitions: ordering & receiving should not be affected Copy Cataloging: the presence of 336 & spelled out abbreviations does not an RDA record make CIP, Belletristic (& Variant Edition if rda is to be used for the variant edition cataloging code): know your (non-)abbreviations! (& remember that cm is not an abbreviation)
490: Take What You See 5/21/ Series 490 is transcription In particular, volume captions are taken as found, written out or abbreviated Volume numbers are transcribed as found (including roman numerals) 490 can have 2 ‡xs for ISSNS, one for the main series & one for the subseries Reminder: no period after cm unless there is a 490
830: Authorized Form Supplied 5/21/ Series 830 is supplied not transcribed & is determined by the Series Authority Record Volume captions are abbreviated Numbering is arabic NEW: ISSN is entered in 830 as the last element MARS/BACKSTAGE will check & if necessary fix the authorized elements in 830
490/830 Example (From MARC Format for Bibliographic Records) 5/21/ 490 1_ ‡a Lund studies in geography, ‡x ; ‡v volume CI. ‡a Ser. B., Human geography, ‡x ; ‡v number 5 830 _0 ‡a Lund studies in geography, ‡n Ser. B., ‡p Human geography ; ‡v no. 5. ‡x 830 _0 ‡a Lund studies in geography ; ‡v v ‡x
What to Do (Series) 5/21/ Ordering: nothing to do! Receipt & Copy Cataloging: verify presence of the series on the item if there is 490 MARS/Backstage will make an 830 if or update if the 830 deviates from the controlled form, so don't enter an 830 manually if you only have a 490 field CIP: Verify that the series in 490 is on the item; verify that a series on the item has been transcribed in 490; update accordingly
What to Do (Belletristic) 5/21/ Transcribe series as found in 490 1_ Determine if there is a SAR Yes. Use the SAR form for title, caption, & number in 830; if there is an ISSN, remember to enter it as the last subfield No. Consult with supervisor, especially if the series has already been used on another record In Orbis, search for SARs using Staff Title
A Note about Notes 5/21/ AACR2 follows a standard note order which can be found in chapter 7 RDA has no prescribed note order; this is left to the cataloger to decide In some cases there might be a decision at institution level, but Yale cataloging only specifies that the 590 be the last note PCC-BSR requires 588 to be the last note (for now, enter 590 after 588) LC practice follows MARC order
More Notes about Notes 5/21/ Generally, RDA does not require most notes Source of title is still required if it is not from the priority 1 source (books: no note if title page; make a note if title source is the cover) Notes justifying main or added entries are not required in RDA 504 "Includes bibliographical references" notes are optional for pcc; mandatory for LC; for 504 notes, do not use brackets for unnumbered pages
What to Do? (Notes) 5/21/ Acquisitions, Copy Cataloging of Member Copy, & Belletristic cataloging: Reminder: language of 300 and 5xx cataloger notes determines 040 ‡b, which must be "eng;" if the source record was created by a non-English cataloging agency, it is important to delete the 040 and 035 with the OCLC ID number In the majority of cases, you should not have to correct fully cataloged RDA records by adding notes like "Includes bibliographical references [and indexes]"; the previous slide indicates that many familiar notes will not be mandatory CIP: include the bibliographical references & index note(s) CIP, variant edition, belletristic cataloging: RDA allows parallel titles and statement of responsibility to be taken from anywhere within the resource without brackets; notes for these elements not taken from the title page are not necessary Notes to justify access points are not necessary
CONTENTS NOTES (MARC 505) 5/21/ RDA "compilations" are: Collections of works by a single author (or collaborating authors) Collections of works by multiple authors Contents notes should be made for compilations An author's selected works (but not chapter titles of a single work) Collections of conference papers by multiple authors Collections of short stories, short novels, or novels, by multiple authors No limit on the number of entries ("unless burdensome," e.g. a large anthology of poems)
Multiparts & 588 Notes 5/21/ Multipart instructions are similar to instructions for serials Make a Description based on note in field 588 if a part issued later than the first part is the basis for cataloging The 588 field is always the last note When the first part is received, recatalog on the basis of the first part & delete the 588 note Follow the PCC guidelines for recording multiple publication statements if the publisher changes in midstream LC has ceased to record temporary information (volumes held) in angle brackets in 300 ‡a
What to Do? (505) 5/21/ Acquisitions, Copy Cataloging of non-CIP: take 505 as found, assume the titles are recorded correctly; if the 505 was enhanced with subfields, leave subfields as is CIP: Verify that the contents note matches the TOC, edit if necessary Belletristic: Only apply to collections by a single author. OK to copy TOC information from the publisher website; don't worry about ISBD punctuation; limit 505 to single author compilations
Including reproductions Variant Editions 5/21/
Variant Editions 5/21/ Variant editions are a category within the larger RDA/FRBR category manifestations that also includes reproductions and reprints Variant editions include: Editions published by different publishers (but not reprint editions, which are considered reproductions) Example: 1st American edition published by Penguin, 2014; 1st UK edition published by Faber, 2014 Translations Revised editions are in the category expressions, but will be covered in this segment as well Online e-books and/or digitized e-books are handled differently, more like the AACR2 practice
Example (Original Edition) 5/21/ ‡a ‡a (cloth) 040‡a DLC ‡c DLC ‡d BTCTA ‡d BAKER ‡d DLC 05000‡a HQ76.25 ‡b.M ‡a Meem, Deborah T. ‡q (Deborah Townsend), ‡d ‡a Finding out : ‡b an introduction to LGBT studies / ‡c Deborah T. Reproductions (and Reprints) 5/21/ RDA definition of reproductions encompasses microform, photocopies (including photocopies of dissertations), direct access electronic carriers, and reprint editions RDA definition includes online resources, but PCC deviates with "Provider-Neutral" guidelines applying to e-serials, e-books; PN could also be applied to local digitization projects
RDA Reproductions 5/21/ For reproductions (excluding online), description follows RDA rules; noteworthy: Transcription fields follow current RDA; you can't simply copy the original record description 300 fields are for the reproduction being described, not the original; no GMD; required No 533 field for the reproduction is made 775 or 776 linking field is made to show the relationship to the original (non-pcc libraries may use a note (but not 533) instead of the linking fields Reprint editions and microform reproductions are handled the same way
Example: Reprint (AACR2) 5/21/ ‡a Bowles, Thomas, ‡d ‡a Aristarchus, ‡a Menston : ‡b Scolar Press, ‡c ‡a [7], 266 p. ; ‡c 21 cm. 500 ‡a Facsimile reprint of 1st edition, Oxford, Printed for the author, AACR2 R11 90

Dissertations 5/21/ When cataloging in RDA, except for the archival "copy," consider all dissertations to be published: photocopies and microfilm of theses from ProQuest are published; all online dissertations are published Use 264 _1 for a publication statement: the location of the university, the printer or distributor, & the university, the printer, or distributor as appropriate; the date in brackets (usually based on the copyright date) In RDA, dissertations continue to be recorded in 502, but without "Thesis" and with new subfields; use in place of the 775/776

What to Do Full Cataloging of Reproductions & Reprints 5/21/ Ordering & Receiving. Fully cataloged reproductions (except online), reprints, & CIP: OK to use for the order record OK to process upon receipt as an in-process record (member copy) For e-books, look for a master record with multiple aggregator links & use as the basis for ordering
What to Do Using Variant Edition Records in Acquisitions 5/21/ Acquisitions. Primarily ordering: If cataloging is not found for the edition/reproduction to be ordered or received, a record for a variant edition or for the original of the reproduction may be used as the basis for the order or in-process record, but, Be careful to delete all identifiers related to the variant or the original: OCLC ID number (035), 040, 010 Be careful to change the publication information & the ISBN(s), replace with the publisher of the order item
What to Do Using a Record for an Online Resource 5/21/ Acquisitions. If no record is found for your (print) item, and variant edition copy is available in a different medium, you may use the record as the basis of the order/in-process record. Besides removal of identifiers & replacement of publication information, be careful to remove any media elements such as 007 and the 300 field (if the source record is for an online resource; generally retain 300 if the source is microform); change the EL to level 5 For RDA records, replace the with for your format (macros should be developed) CAUTION: if ordering an online reproduction & a fully cataloged source record for an online reproduction is found, but with a different service provider, do not treat it as a record for a separate online edition
What to Do … In Cataloging 5/21/ Cataloging: After pre-catalog searching, if no fully cataloged record is found for the edition or reproduction in hand, the record should be handled by staff with the equivalent of belletristic training or higher who are familiar with RDA description for reproductions (Exception: online resources)
What to Do … In Preservation 5/21/ Continue following current procedures until we can put together more detailed guidelines for print, microform, and digitized resources
Quick & Dirty Access Points 5/21/
Access Points (What's New) 5/21/ For corporate names, RDA practice is to spell out Department if it is spelled out in the source Change in Bible headings & the Koran Personal names: fuller form qualifier is only used to break conflicts Change in form and content for qualifier terms when the conflict can't be broken by date or fuller form
Access Points 5/21/ AACR2RDA Corporate names: "Dept." always abbreviated "Department/ Dept.": established form spelled out if corporate body spells out; abbreviated if the corporate body uses the abbreviation. When in doubt, spell it out.
Access Points (Bible) 5/21/ AACR2RDA Old Testament (as a whole) 130 _0 ‡a Bible. ‡p O.T ‡a Bible. ‡p O.T. ‡x Criticism, interpretation, etc. Old Testament is not abbreviated: 130 _0 ‡a Bible. ‡p Old Testament ‡a Bible. ‡p Old Testament ‡x Criticism, interpretation, etc. Books of the Old Testament 130 _0 ‡a Bible. ‡p O.T. ‡p Isaiah. ‡l Amharic ‡a Bible. ‡p O.T ‡p Isaiah. ‡x Criticism, interpretation, etc. "Old Testament "not used for individual books: 130 _0 ‡a Bible. ‡p Isaiah. ‡l Amharic ‡a Bible. ‡p Isaiah. ‡x Criticism, interpretation, etc. New Testament (as a whole) 130 _0 ‡a Bible. ‡p N.T ‡a Bible. ‡p N.T. ‡x Criticism, interpretation, etc. New Testament is not abbreviated: 130 _0 ‡a Bible. ‡p New Testament ‡a Bible. ‡p New Testament ‡x Criticism, interpretation, etc. Books of the New Testament: 130 _0 ‡a Bible. ‡p N.T. ‡p Acts ‡a Bible. ‡p N.T. ‡p Acts ‡x Criticism, interpretation, etc. "New Testament" not used for individual books: 130 _0 ‡a Bible. ‡p Acts. ‡l Afrikaans ‡Bible. ‡p Acts ‡x Criticism, interpretation, etc.
Access Points (Qurʾān, Corporate Names & Series) 5/21/ AACR2RDA 130 _0 ‡a Koran. ‡l English & Arabic. 130 _0 ‡a Qur’an. ‡l English. ‡f ‡a Qur’an. ‡f Series added entry (830) --use standard abbreviations for part captions (same ones used for 490) --ISSN is not recorded --use standard abbreviations for part captions (compare w/490, where the captions are transcribed as found) --Include ISSN (‡x) as the last subfield
Access Points (Personal Names) 5/21/ AACR2RDA Personal name dates are always included if readily available, even if there is no conflict The same in RDA Personal name fuller form qualifier used if there is an abbreviation in the forename or middle name, even if there is a date. (LCRI; earlier version of RDA/LCPS) Fuller form also used to break conflicts if no date available. Fuller form qualifier is only used to break a conflict (if the b. date has already broken the conflict, the fuller form qualifier would not be used; if the unqualified name lacks a date but does not conflict, the fuller form is not used in the established heading). The LCPS allows for deviation; headings that followed the earlier practice will not be updated. Terms of filiation (Henry James Jr., Henry James Sr., Henry James III) are only used to break conflicts Terms of filiation are required in RDA, even if there is no conflict.
Access Points (Personal Names) 5/21/ AACR2RDA In the absence of dates & fuller forms, conflicts can be broken by: degrees (M.D.); terms of honor or address (Sir); or profession (Printer). In all cases, the qualifier must be justified based on information from the title page. Conflicts cannot be broken by adding a degree. Conflicts cannot be broken by terms of honor or address, but the rules are being revised to allow this category to break conflicts, so you may or may not see these used in future authorized access points. Occupations or professions can be used to break conflicts; the information does not have to be based on the title page. Smith, Nicholas, ‡c poet Smith, Nicholas, ‡c (Poet)
What to Do 5/21/ FYI for Acquisitions, Copy Cataloging, CIP Belletristic & Variant Edition: Primarily if the heading is new: if the record is coded as rda, care should be taken to be sure all access points without an authority record are in RDA form Unless a personal name is no conflict, consult with your supervisor For an unestablished name, if birth and/or death date information is on the item, add in ‡d even if no conflict, but consult with supervisor; do not routinely add the ‡q to personal names If there is an authority record with a 667 note that the heading requires review, consult with your supervisor
Relationship Designators 5/21/
Relationship Designators (RDs) 5/21/ Relationship designators are entered in MARC ‡e for 1xx, 7xx; used only with personal & corporate names; ‡e is repeatable RDs use authorized terms to describe the function of the person or the corporate body LC practice is to make an RD only for the illustrator of children's books but LC catalogers can add more (their decision) PCC practice is to make a ‡e for authors at a minimum Until there is further clarification (hopefully from PCC), do not assign ‡e author to corporate names
Relationship Designators: Examples 5/21/ ‡a Pavel, Thomas G., ‡d ‡e author. 7001‡a Hawkins, Al, ǂe author ‡a McWilliams, Mary, ‡d ‡e editor of compilation. 7001‡a Good, Edwin M. ǂq (Edwin Marshall), ǂd ǂe translator, ǂe writer of added commentary. 7102‡a Helsingin yliopisto. ǂb Physiology Institute, ǂe issuing body. Relationship Designators 5/21/ AACR2RDA Relationship designators limited to music cataloging codes; LC also used for illustrators of children's books: Although LC practice limits to illustrators of children's books, PCC prefers relationship designators for at least the creator (100, 700). Designator terms must be from an authorized list; generally RDA terms 700 1_ ‡a Pollini, Maurizio, ‡d ‡4 prf LC: 700 1_ ‡a Sendak, Maurice, ‡e ill. What to Do 5/21/ Acquisitions, Copy Cataloging, & CIP: do not delete ‡e subfields in 1xx or 7xx Belletristic & Variant Edition cataloging: limit to ‡e author & ‡e translator Variant Editions: do not assign ‡e author to corporate names (including conferences)
For Belletristic Cataloging Uniform (Preferred) Titles 5/21/
Preferred & Conventional Collective Titles 5/21/ May be encountered in belletristic & variant edition cataloging: title by which a work is well-known If the preferred title is the same as title on the item cataloged, a 240 is not made. EXCEPTION for compilations. Conventional collective titles (Works. Selections; Poems. Selections); used for all compilations by a single author Bilingual editions: in RDA you cannot have 2 languages in 240 "Works" & "Selections" will not include a date; "Selections" must be preceded by a preferred or conventional title All single author compilations must be assigned a conventional collective title, even if the title is distinctive Single author compilations are not restricted to belletristic authors; watch out when cataloging variant editions A title main entry conflict with either a serial or a monograph requires a qualifier
Access Points (Dual Language Editions) 5/21/ AACR2RDA Dual language editions: one uniform title with both languages in ‡l. What to Do 5/21/ CIP: the LC record coded as rda will usually have a 240 or separate analytic added entries for bilingual editions so it shouldn't be a problem Belletristic & Variant Edition. Do the following but consult with your supervisor Remember that single person compilations always get a 240, so add the 240 when appropriate For variant edition cataloging, compilations by a non- literary authors get a 240; add when appropriate Variant edition cataloging: do not apply the conventional collective title to title main entry records, but if the title conflicts with another title--including a monograph, check with your supervisor

Workflow 5/21/
Inconsistencies 5/21/ Application of RDA is still a work in progress Testing resulted in modification of RDA applications used during the test Expect inconsistencies of application; using RDA will become more standardized as more libraries get on the "Day One" express Also: RDA allows much greater latitude for cataloger judgment, another source of inconsistencies
OCLC OCLC will not permit 2 master records in the database where one is AACR2 and the other is RDA OCLC: RDA original master records may be contributed; AACR2 records already in WorldCat cataloged as blank, 1, 4,8, I, or L can now be updated to RDA (some flexibility for serials) Minimal & Descriptive Rules i or blank records should be updated/upgraded to RDA; once done, they cannot be re-updated to AACR2 OCLC: if a record in WorldCat is coded as RDA, do not update it to AACR2 Website: 5/21/
OCLC After Day One 5/21/ OCLC catalogers will be allowed to do the following to AACR2 records: add relationship designators to the access points add complete statement of responsibility in place of [et. al.] spell out abbreviations in the non-transcription fields add Adding RDA information to an AACR2 record does not make it RDA, so do not add 040 ‡e rda to a DescCat a or change the DescCat from a to i OCLC has tentative plans to machine update legacy records by updating abbreviations to written out form or the RDA alternative term by adding fields (GMD will be left in media records until 2016) by removing the ‡h gmd from media bib records (but not until 2016) by changing Bible headings, Koran, Dept., and other headings to RDA form
What to Do 5/21/ Keep the post-Day One OCLC guidelines in mind Don’t interpret RDA differences from AACR2 as errors Don't interpret AACR2 records with RDA fields as errors-- or as RDA records Ask questions if you're confused (although the answers may be confusing); it's really useful to identify issues brought on by RDA
Key Points 5/21/ Many RDA records have begun to appear in OCLC Know the 040/Leader configuration for RDA records Once the record is identified as RDA, leave it as is By March , all LC cataloging will be RDA & all new or updated NACO records will be RDA In March, a big update to the national authority file will occur; headings on bib records will not be affected, though OCLC may do some updating in the future "Transcribe what you see"--capitalization, statement of responsibility, errors, no GMD No abbreviations in 250 and 264: transcribe what you see; significant reduction in supplied abbreviations (esp.
