Goal of the Program Visitor The goal of the Program Visitor is to deliver the RBS message to the recreational boating community through personal interaction While working to accomplish this goal, the Program Visitor must be able to adapt So what is a Program Visitor? 3

Program Visitors are:  Educators  Auxiliary Ambassadors  Recruiters  Salesperson  Source Of Information Can you think of some other things??? What is a Program Visitor? 4

When making Initial contacts:  Review the program objectives and benefits before hand Be able to answer questions without use of a reference  Understand the Partner needs Consider their geographical location (coastal or inland)  Know the material available Be able to recommend to the business owner a variety of pamphlets that their clientele may find useful  Wear the uniform; neatly and correctly Present a Professional “squared away” image Developing Partnerships Cold Calls 5

 Explain the benefits of participation To the partner To their customers To the general boating community  Provide a professional display of materials and service it regularly  Be reliable and available, if needed  Stress the Auxiliary’s commitment to Recreational Boating Safety & Environmental Protection Cold Calls continued 6

Instructor: Select a member from the class to participate as a USCG Auxiliary Program Visitor. The instructor will participate as the “Business Owner”. The Program Visitor will initiate a first contact (cold call) in an attempt to gain the “Business Owner’s” participation in the RBS Visitation Program. Class: Watch the interaction. Was there anything you would have done differently? Do you think the contact would have been successful? COLD CALL ROLEPLAY 7

Promotions:  Once you get a display box set up in a location, the work is just beginning: Use it to promote the Coast Guard and Auxiliary programs and missions Generate positive exposure for annual events like National Safe Boating Week, Fleet Week, and area specific events Educate the Partner /public about special programs: o The Maritime Domain Awareness Program o The America’s Waterway Watch o The Citizen’s Action Network o Public Education classes in your area. Promotions and Teamwork 8

Teamwork:  Make use of resources in your Flotilla  Work with your FSO-PV, FSO-VE, FSO-PA, FSO- PE, FSO-MA, FSO-MS, or anyone else you need to. These members can provide you with plenty of information about programs specific to their specialties.  Be flexible in your thoughts…. What do I need to accomplish my goals? Recognition:  Partner’s outstanding contribution to the RBS Program  Recommended by you, the Program Visitor  Flotilla Commander makes final determination Reward Your Deserving Partners 10

Certificate Availability:  Ordered through FSO-MA (ANSC-6022)  Requested from the SO-PV or your Flotilla Commander Presentation:  Prepared and presented by the Flotilla Commander.  Make it a media event! Invite representative to Flotilla meeting or go to their place of business Invite local media Have FSO-PA prepare news release with photo Reward Your Deserving Partners continued 11

 During visits to Marina Partners, the Program Visitor can conduct a survey for the purpose of updating the applicable Small Craft Chart  The PV should provide a clear explanation of the Small Craft Facility Updating program and how the information will be presented to the boating public via National Ocean Service (NOS)/NOAA charts, Notices to Mariners, etc.  NOAA 77-5a form is used in reporting discrepancies or change to a National Ocean Service chart. Instructions for preparation and submittal of the form are found on the back of the NOAA Form 77-5a Small Craft Facility Updating 12

Where do I find what I need?  Almost everything you need can be found at the Auxiliary National Supply Center (ANSC) ns/misc/DCAT.pdf  This catalog contains a listing of all available pamphlets, decals, certificates, manuals, display boxes, etc.  You will need to research this catalog and find the best information to display in your partners locations Materials and Supplies 14

How do I order?  Contact your Flotilla Commander or FSO-MA and have them complete a Flotilla Supply Requisition Form  The form can then be mailed or faxed in for processing  The order can be directly shipped to your address, if so desired. Your address must be entered in this space prior to submitting form  This is a 2 sided form. Make sure not to forget to mail or fax both sides Materials and Supplies 16

When documenting your activities please be careful to make sure that your reports are completed correctly It is very important to account for the time we spend in support of missions We are all responsible for the recording of our own hours and visits, so please take the time to submit the proper paperwork to get the credit and recognition you deserve Paperwork and Flow Reporting 18

Initial Certification:  Can a member in AP or IQ status, who has successfully passed the online or written exam and completed two practice visits under the supervision of a certified Program Visitor be certified a Program Visitor? NO, the member must be in a BQ status prior to certification Qualification Issues 19

Annual Currency Maintenance:  What is required? Program Visitor must complete at least four RBS visits each calendar year to retain certification Attend an annual Program Visitor workshop, when required by National, prior to the deadline date Qualification Issues continued 20

Recertification:  Required for: Failure to perform a mandatory workshop will result in lapsed certification status (REWK) Failure to perform annual currency requirements will result in lapsed certification status (REYR) Qualification Issues continued 21

 Requirements for Recertification Member performs two RBS visits as a Trainee under the supervision of a certified Program Visitor The Trainee visits must be recorded in AUXDATA If required, the PV workshop must be recorded in AUXDATA FC must submit the recertification request in accordance with applicable District requirements. Recertification is NOT automatic Once recertified, the Program Visitor is required to perform the annual currency maintenance visits prior to the end of the calendar year Qualification Issues continued 22

Important Note: Failure to perform the annual currency procedures for five (5) consecutive years will result in loss of qualification. The member will then be required to meet the initial qualification criteria in order to regain qualification. Qualification Issues continued 23

The workshop you have just participated in was not designed to train you to be a certified Program Visitor; but meant as a tool to help refresh your skills and get you thinking of the importance of this qualification.
