Queries – Part II An ACEware Webinar

Today’s Agenda Editing a Query –Switching Query Elements –Moving Query Elements –Bracketing Copy a Query Renaming & Deleting Report Filters & Flags Sample Queries

Add Fields If you don’t see the field you want to add to your query, click the Add List Item button. Remember, the fields must be available in the current query area; ie, you can’t add faculty information to a registration query.

Add Fields Clicking on the Add List Items Button brings up the Field Chooser screen, above. Fields are listed by table and presented alphabetically. Double-click the desired field

Add Fields 1.Supply a name 2.Click OK 3.Press ESC twice to go backwards and close the query. 4.Reopen (using Edit). The new field will now appear on the list. 5.Select the new field & continue

Editing a query Click OK Use the ESC key to work backwards through the conditions, editing as you prefer.

Switching Element Connectors If you select the incorrect connector (and vs or) you can switch the connector by selecting the query to edit. In the edit screen select the Switch button.

Moving (re-ordering) Query Elements Is order important? Yes, if the query contains three or more elements with mixed (and/or) connectors.

Changing Element Order 1.On the Query screen, click the Move button. The first element is automatically highlighted. 2.Click the query element you want to move (e.g. if you want to move the second element, click it). 3.Click where you want to move the query element (e.g. if you want it to be the first in the list, click the first query element). The element will move to your chosen position-- the other query elements will be shifted down.

Bracketing Query Elements 1.On the Query screen, click the Bracket button. 2.Click the Insert button. 3.Click the first condition you want included inside the brackets (e.g. Course Number does not begin with "MGT"). 4.Click the second condition you want to include inside the brackets (e.g. Course Number does not begin with "SUP"). 5.Your conditions will now be bracketed (i.e. parenthesis are placed around the conditions): Since conditions inside The bracket are Considered first, some Queries will not work as intended Without brackets.

Copying a Query If you need a query that is similar to one already created, you can copy the existing query then edit it to include/remove query elements. 1.Highlight the query you want to copy in the Query List Manager 2.Click the Copy Button 3.Enter a name for the new query, then click OK 4.The old query with the new name appears in the query list 5.Edit the copied query to match the title

Renaming a Query 1.Select a query and click Rename 2.Enter a new query title in the box provided and click Ok

Deleting a query 1.Select the query you wish to delete 2.Click Delete 3.Confirm by clicking Yes – Query is removed

Report Filters Set a filter which temporarily 'hides' the records that don't match your search criteria. For example, set a filter to show only participants in a particular course.

Report Filters This filter will limit future queries to only people who have participated in classes where the course number begins 07WACE010.

Sample Query 1.In what reporting area will you look? 2.What criteria will you consider? Chuck wants to know how many ACEware employees took Communication classes last fall

Sample Query Deb wants to know which coordinators created course records in a two week period.

Sample Query Sam wants to know how many people registered for Computer classes at the Nebraska Center Location during last March.

Sample Query Tracy wants to send a mailing to any person with interest code of Marketing, Management, Supervision or Computers who is from a range of zip codes.

Report Flag Example Jeannie wants to know all people who have taken ACEware seminars except those Who have signed up for the 2008 cruise
