Live Meeting 2007: Presenter's companion Set up voice and video The audio and visual features of a Live Meeting enable you to collaborate and engage with other attendees in real time without being in the same place. To make the voice and video capability of Live Meeting available to the attendees, you need to set up voice and video options before the meeting starts. This lesson explains how to set up voice and video options at the time of scheduling a Live Meeting.

Live Meeting 2007: Presenter's companion Set up audio options, Live Meeting service You can set up the audio options in Live Meeting based on your company’s deployment method. If you are using the Live Meeting service to access Live Meeting, you can set up audio by simultaneously using: The computer audio option The traditional audio conferencing option

Live Meeting 2007: Presenter's companion Set up audio options, Live Meeting service Computer audio The 2007 version of Office Live Meeting can deliver two-way audio through your computer. This does not require any telephone connection and is cost-effective. If you have set up the computer audio option, you and the attendees need only speakers and microphones for the meeting audio.

Live Meeting 2007: Presenter's companion To join the Live Meeting audio, refer to the Audio Information section of the invitation. If Computer Audio is indicated, the users will automatically connect to the computer audio when they join Live Meeting. Set up audio options, Live Meeting service To schedule computer audio for conferencing, do the following: 1.In Outlook, click Schedule a Live Meeting. This opens a new Live Meeting invitation. 2.To set the audio options, in the Live Meeting invitation, click Options. In the Meeting Options dialog box, click Audio, select the Include computer audio conferencing option, and then click OK.

Live Meeting 2007: Presenter's companion Set up audio options, Live Meeting service Traditional telephone audio conferencing In addition to computer audio, Live Meeting supports traditional telephone audio. If you already have a telephone conferencing account, you can configure your Live Meeting audio options to include the phone number and passcode information in your Outlook invitation. You can also modify the audio options to enable the Live Meeting service to call the attendees after they have joined the meeting.

Live Meeting 2007: Presenter's companion Set up audio options, Live Meeting service To use telephone conferencing in your Live Meeting, do the following: 1.In Outlook, click Schedule a Live Meeting. This opens a new Live Meeting invitation. 2.To set the audio options, click Options on the Ribbon. In the Meeting Options dialog box, click Audio, and then select Include telephone conferencing. 3.To configure the audio setting, select the conferencing provider name. 4.To allow Live Meeting to call the meeting attendees, select the Allow meeting participants to use Join Conference to have Live Meeting call their phone instead of dialing in option. 5.Specify the toll or toll-free number to connect to the Live Meeting audio.

Live Meeting 2007: Presenter's companion Set up audio options, Live Meeting service To use telephone conferencing in your Live Meeting, do the following: 6.Specify the country/region and the city/area code for the toll and toll- free numbers. 7.Enter the participant and leader codes assigned to your phone conferencing account. 8.Enter any additional dialing keys or audio information required for the attendees and the presenters. 9.To apply the audio settings, click OK. This sets the audio option to use telephone conferencing. If you wish to make the specified conferencing information as default setting for future meetings, click Set as Default.

Live Meeting 2007: Presenter's companion Set up audio options, Live Meeting service Now, to join the Live Meeting audio, refer to the Audio Information section of the Outlook invitation. If telephone conferencing is listed, click Join Audio in the Live Meeting interface. Alternatively, you can join a telephone conference manually by calling the conference call phone number provided in your invitation and entering the participant code. You can use both the computer audio and traditional audio conferencing options for the new hire orientation Live Meeting. These options allow attendees to choose an audio that suits them best and make it easier for attendees around the world to join the audio portion of the meeting, regardless of their long-distance or technical capabilities.

Live Meeting 2007: Presenter's companion Audio options, powered by Office Communications Server 2007 If your company uses Microsoft Office Communications Server 2007 to schedule a Live Meeting, you can use either computer audio or telephone audio conferencing. Connect to the meeting using computer audio. Dial in to the meeting using a telephone conference service. There are two ways to do this:

This opens a new Live Meeting invitation. 2.To set the audio options, in the Live Meeting request, click Audio. In the Live Meeting Audio Options dialog box, select the Connect to the meeting using computer audio option, and then click OK. 3.To join a Live Meeting audio, see the Audio Information section of the invitation. If Computer Audio is listed, you can connect to the meeting and use the computer audio for discussions.

Live Meeting 2007: Presenter's companion To use telephone conferencing in your Live Meeting, do the following: 1.In Outlook, click Schedule a Live Meeting. This opens a new Live Meeting invitation. 2.To set the audio options, click Audio on the Ribbon. In the Live Meeting Audio Options dialog box, select Dial in to the meeting using a telephone conference service. 3.Enter the Conferencing provider name, toll-free meeting phone number, and toll meeting phone number. 4.Enter the participant code and leader code assigned to your phone conferencing account. Live Meeting 2007: Presenter's companion To use telephone conferencing in your Live Meeting, do the following: 5.To apply the audio settings, click OK. This sets the audio option by using telephone conferencing. The telephone conferencing information will be reflected in your meeting invitation. After joining the meeting, select View Call in Details from the Options menu in the Voice & Video pane. If the Call Me option is listed, you can connect to the meeting by clicking Join Audio in the Live Meeting interface. This connects you to the Live Meeting audio conference. Live Meeting 2007: Presenter's companion Include video using a webcam Live Meeting allows you to use a webcam to view presenters and participants in real time. Here’s how to include video by using a webcam. 1.Connect the webcam to your computer. If you are installing a webcam for the first time, follow the instructions provided with the webcam. 2.Join your meeting. Live Meeting automatically starts the video so that you can view the attendees who have connected a webcam to their computers.

Here’s how to include video by using a webcam. 3.To show your video, in the Voice & Video pane, click the Web camera drop-down menu, and then click Start My Video. Other attendees can now view you in the Live Meeting presentation area.

Here’s how to include video by using a webcam. 4.If the main video is not visible, click the Voice & Video menu. In the Voice & Video pane, click the Web camera drop-down menu, and then click Show Main Video.

If you are connecting a RoundTable device to your computer for the first time, follow the instructions provided with the RoundTable device. 2.To join a Live Meeting, in the Live Meeting invitation, click Join the meeting.

Live Meeting 2007: Presenter's companion Panoramic video with Microsoft RoundTable To include video in your Live Meeting by using a RoundTable device, do the following. 3.To start the panoramic video, in the Voice & Video pane, click the Web camera drop-down menu, and then click Start My Video Panorama. This creates a panoramic view of all the attendees sitting in a conference room with the RoundTable.
