Toll Free: Project Manager Tutorial

Toll Free: Welcome to the Tutorial Northeast Web Design uses the latest in technology in order to build our websites. Our Project Management Tool is one of the primary lines of communication between all parties involved in the creation and maintenance of your website including administrators from your company and our staff at Northeast Web Design. You will find that the Project Manager (PM) is very user-friendly. By the end of this tutorial, you will be an expert!

Toll Free: Log In This is the standard log in screen that you will see. We will set you up with a username and password that will grant you access to the Project Manager.

Toll Free: The Main Tabs Once you log in, these tabs will be there to greet you. Log in brings you automatically to the Overview page. The other tabs are shortcuts to other important areas of the Project Manager. This tutorial will go through each of these tabs in great detail.

Toll Free: The Overview Page The Overview page gives a general list of all the latest activity on the Project Manager including messages, to-do’s, milestones, writeboards, and files. You can click on an item in the list when it is in blue and underlined. A strikethrough means that item was completed. If you look to the right of the screen, it tracks activity of the users. At the top of the list in red, are shortcuts to creating new messages, to-do lists, milestones and files. User Activity

Toll Free: Messages Messages are posts that communicate with other users on the Project Manager. To the right of the blue bar at the top, you can choose between the expanded or list view. To the very right, you can click to Post a new message as indicated by a green cross. The Categories listed on the right below the Post a new message button allow you to choose which type of messages you would like to view. Otherwise, the default setting is All Messages.

Toll Free: Post a new Message Once you click the button, you will find this screen. Write your title here You may choose a category for your message. The body of the text goes here. You may attach a file. You may choose to connect this message to a milestone.

Toll Free: Post a New Message Notifications Once you have created your message, you may then choose who you would like to receive notifications. Finally, you can choose to post this message directly or you can choose to preview your message and then post.

Toll Free: To-Do To-do’s are tasks assigned to certain people that will keep the project organized. To the right of the blue bar at the top, you can choose to reorder lists. To the very right, you can click to create a New to-do list as indicated by a green cross. Show to-dos assigned to: drop down allows you to see only the tasks that are assigned to certain users. The default setting is Anyone. The Current to-do lists on the right allow you to choose a to-do list that has already been created. Under each list, the red underlined says Add an item, which allows you to create a new to-do item on that particular list.

Toll Free: New To-Do List Once you click the button, you will find this screen. You can choose to use a to-do list template Write the title of your to do list here You may choose track time to monitor effort spent on this particular task. Add a description if you want. You may choose to connect this to- do to a milestone.

Toll Free: New To-Do List Items Once you create a new to- do list, you have to add items. Enter the Title of the item. Assign this item to a user. This portion relates to the list itself. It is already created in the step before. This section allows for editing of the list.

Toll Free: To-Do List Icons This will be the view that greets you when you click on the to-do list tab. The lists are on the left. Hovering over a list or item brings up a few icons that you can click. The trash can deletes items, Edit allows you to change your items, the green clock allows you to track time (see screenshot on left). Finally, to the right of the item is a message bubble that allows you to add a comment.

Toll Free: To-Do List Time Tracking If you enable time tracking on your to-do items, they will appear in a list in your Time tab. To-dos are indicated in orange.

Toll Free: Milestones Milestones allow you to plan out various tasks and keep organized between members of the team. The Milestones tab will bring you to this page. Here you will find your milestones listed and divided into three sections: Late, Upcoming, and Completed. Hovering over any milestone will bring up a set of icons similar to those in the to-dos. The trash can represents delete, you can Edit, and the speech bubble allows for comments to be added. On the right you can click to Add a new milestone. You can also Subscribe to your milestones on your calendar programs. Lastly, there is a calendar that shows your milestones by their corresponding colored categories.

Toll Free: Add a new milestone Once you click the button, you will find this screen. Use the calendar to chose your due date, Enter a title and assign responsibility of the milestone.

Toll Free: Writeboards Clicking on the Writeboards tab will bring you to this page. The writeboards are listed on the left. Clicking on the underlined blue titles will allow you to access the writeboard. On the right, you can click to Create a writeboard or even Import a writeboard. Writeboards are helpful when you need to create a document and would like multiple people to edit and add their input.

Toll Free: Create a new writeboard Once you click the button, you will find this screen. Enter the title of the writeboard and then click Create a new writeboard.

Toll Free: Create a new writeboard Once you create a new writeboard, you can enter the body of the text. At the bottom, you can check the box to note that it was a minor edit and a new version shouldn’t be saved. Do not check this box if this is the first version.

Toll Free: Writeboards The Project Manager also allows you to add comments to versions of a writeboard. You can then select people to notify of your comment. Notice to the write of the this page, you can select different versions of the writeboards. It also lists when and who created this version.

Toll Free: Writeboard Versions In writeboards, you can choose to compare two versions of the document to see the changes that are made. The Color Key allows you to understand these changes.

Toll Free: Time Time allows you to track time spent on the project. Recall that to-dos also allow for time tracking that that info is also loaded into this page. If your time is not related to a to-do, you may enter it here. Enter the date (default is the current date), the person (default is the current user) and the hours (in decimal form ex: half an hour is.5) and a short description of the time spent. Then click Add to log. For time tracking already completed, you can choose to Edit or delete by the icons on the right. By clicking Create a time report in the top right corner, you can create a list of time tracking by specific people during a specific time frame. Most of our clients do not have access to our time tab. It is mostly used for internal organization. You can choose to ignore this section in the tutorial entirely. Otherwise, you may take the time to learn about one of our organization tools that help your project run smoothly.

Toll Free: Files Files allows you to share files with other members of the team. Upload the document and others can download the file onto their computers. Notice to the right you can Upload a file. You can view your files using Sort by and Categories.

Toll Free: Upload a file Once you click the button, you will find this screen. Browse your computer to upload a file. You can choose to assign it to a category. You can add a description. You can choose to upload another file. You can choose to notify people via .

Toll Free: People Now that we have covered all the tabs to the left, we will now cover the two tabs to the right. The first of these tabs is People. This allows you to see all the people on the project and includes their contact info.

Toll Free: Search The tab farthest to the right is the Search tab. It allows you to search for specific words or files within the project.

Toll Free: Personal Info Across the top of the Project Manager is the link for My info. Clicking on this will allow you to Edit your personal information and even upload a picture.

Toll Free: Your training is complete! Even though the technology may seem complicated at first, you have learned the basics of the Project Manager. As you can see, the multitude of features and applications has not compromised the usability of the program. By mastering the instructions in this tutorial, you have become an expert user of the Project Manager.
