Merging Duplicate Records in Family Tree

Duplicate records – why not just delete one of them? This record for Elizabeth Berry shows her as the child of one father but two different mothers, who are duplicates. Her son, John, is also listed with a possible duplicate.

Merging is a complex process. Take the time to review carefully.

MERGING What YOU do: See all of the information and relationships from both persons. Compare each piece of information and each relationship. Choose which information to keep and which to discard.

MERGING What FAMILY TREE does: Keep the original record. Add to the original record the information that you selected from the duplicate record. Remove and archive the duplicate record. Record these actions on the change history so that they can be undone if needed.

To Prevent Incorrect Merges

Before the Merge Review the reason statements, sources and discussions. Know what information is well- documented and explained. Keep notes.

Look for any documentation

From the person’s details page Click on a piece of information, see contributor, and look for a reason statement. Check out sources.

After the Merge Make any necessary corrections. Check sources and detach any that are not applicable. Merge other connected family members. Contact a previous contributor. Start a discussion. Do more research.

To Start a Merge From the person’s page, click on Possible Duplicates The system is limited to 100 results. Keep repeating this step until no more appear.

Merging Duplicate Records by ID

Already identified duplicates that cannot be merged are listed beneath

For each name on the remaining list, click on REVIEW MERGE

Sometimes a merge can only be done by switching Click on Switch Positions if you want to keep the person on the right. Switching will be necessary if the person on the right has restrictions preventing it from being deleted after a merge.

Merge Tips and Tricks: Click REPLACE to move information to the left and overwrite what is already there.. Click ADD to keep information or relationships by moving them to the left. If you leave a spouse or child on the right, the relationship will be deleted but not the spouse or child’s record.

Clicking REJECT doesn’t move anything over, but it helps you keep track of the information you have reviewed

To compare details of each piece of information, click on blue text or Open Details

Audio, documents, photos and stories are merged automatically. Notes and discussions are also merged.

Resolving Common Merge Situations Situation : The duplicate record contains a more accurate or complete piece of information What to Do: Click Add or Replace to move information to the record being kept. JaneJoyce/JaneJoyce

Situation: The duplicate record contains information that is not correct. What to Do: Do not move the information over to the record being kept. Click Reject. Before you finish the merge, make sure that all incorrect information remains on the right side of the screen.

Situation: The duplicate record contains a nickname or other name variation that should be preserved. What to Do: Write down the name from the duplicate record. After you finish merging the record, add the name as an Alternate name in the person’s Other Information section.

Situation: One record contains an accurate date. The other contains and accurate place. Neither record contains both the correct date and place. What to Do: 1.Click the information to see the contributor and reason statement. 2. Keep the version that is easiest to correct. If one version has a good reason statement, keep that version. It is often easier to enter a date or place than it is to write a clear reason statement. 3.Write down what corrections you need to make after the merge is done.

Situation: Both records contain different versions of a piece of information, but you do not know which is accurate. What to Do: 1.Keep the most reasonable version. Reasonable information fits with the time, the place, and the family data that you already know is accurate. 2.Keep notes so that you know what further research to conduct about this person after you complete the merge. 3.Enter your concerns in the reason statement for the merge. 4.Enter your concerns in the person’s discussions.

Situation: The duplicate record contains duplicate spouses and/or children What to Do: 1. For each duplicate person, click Add to move him or her to the record that is being kept. 2. Finish the merge. 3. Go to the spouse's record, and merge the duplicates. 4. Go to the records of each child, and merge the duplicates. JaneJoyce/Jane

Situation: The duplicate record contains duplicate parents. What to Do: 1.For each duplicate person, click Add to move him or her to the record that is being kept. 2.Finish the merge. 3.Go to the record of each parent, and merge the duplicates.

Situation: The duplicate record contains spouses, children, or parents that are not accurate. What to Do: Do not move the information over to the record being kept.

Situation: The record being kept contains spouses, children, or parents that are not accurate. What to Do: Return to the person’s record. Delete the relationships to the wrong spouses, children, or parents.

Situation: One or both records contain inaccurate sources. What to Do : 1. Finish the merge. 2. Go back to the person’s details page. 3. Detach or edit incorrect sources.

Situation: The duplicate record appears to be about a completely different person. What to do: 1. Scroll to the bottom. 2. Click Not a Match

Some duplicates cannot be merged

Reasons why records won’t merge The gender on one record is male, and the other is female. Once record indicates the person is alive, the other is deceased. Two living individuals cannot be merged. One of the records has restrictions. One of the records came from new.familysearch.org where it has been combined with too many other records. (IOUS) Both records come from membership records The duplicate record has already been deleted due to another merge.
